Labels with Synergy and Mail Merge Microsoft Office 2003
1. Go to the Class List found under: Click Tree>Synergy SIS> Schedule> Reports> List
2. Then choose Teacher or type in Section ID of class you would like.
3. Click on the Sort/Output tab and then select Excel from the file type dropdown.
4. A screen should pop up and ask if you would like to open it. Make sure it opens with Microsoft Excel. Click OK. If this box doesn’t pop up then it went to your download folder. Notice that the file name is very long numbers and letters. Find it and open it.
5. When the excel document opens go to file save as. From the drop down next to “Save as type” scroll all the way up and select Microsoft Office Excel Workbook. Make sure to name it and put it somewhere you can find it. Now you can exit your excel spreadsheet.
6. Now go to Microsoft Word. Then click on Tools> Letters and Mailings> Mail Merge
7. A bar on the right will appear titled Mail Merge. Select labels and then at the very bottom of the box click “Next: Starting Document.”
8. Under select a starting document click “Change document layout.” Then a box will pop up for you to select your label type. Click on the label type and click OK. Then click on “Next: Select recipients” at the very bottom of the blue box.
9. Under “Select recipients” you need to click “Use and existing list” and then click on browse. A box will pop up and you navigate to where you have saved your Microsoft Office Excel Workbook and click Open.
10. Simply click OK when each of these boxes pop up. Now click “Next: Arrange your labels.”
11. Now the upper left label is the example that the rest follow. Under Arrange your labels click “More items…” and a box pops up. Click on the fields you want on your label. After you have the fields you want then you may add spaces or returns to it. You may also change the font, make it bigger or bold or underline whatever you like. ***Note: if you are going to make labels with the same fields on it you can save the document at this point as a sort of template. Then you would need to click previous until you got to “Select recipients” and find the new excel document from synergy. Then just click next until you get to the arrange labels screen again. Make sure to click update all labels!!! Lastly click “Next: Preview your labels.”
12. Lastly click “Next: Complete the Merge.” And now print.
