Job Description Role: Office Manager Reporting to: Head of HR __________________________________________________________________ OVERVIEW i-D Magazine launched into the UK market in 1980 as the original style title. With an impressive black book of contributors and maintaining its core values for more than 30 years i-D continues to have significant presence and respect in the worlds of fashion, art and culture. THE ROLE i-D is looking for an organised and self-motivated Office Manager to coordinate the day-today running of their busy head office in London. You will be responsible for ensuring the office is kept safe, secure, clean and tidy at all times. In this role you will be running reception and the magazine archive, and will assist the Finance Team with billing and payments as requested. You will also be dealing with ad hoc requests as they arise, so you should be able to effectively prioritise tasks whilst maintaining a high quality of service and support. You must have at least 1-2 years’ experience working in an office management role. You will need to be highly organised, pro-active, have a warm and friendly manner, and be comfortable with the responsibilities below. Experience in a similar industry would be useful. OFFICE: Assessing and managing risk; ensuring the office is a clean and safe place for staff to work and compliant with health and safety laws. Being responsible for office security. Managing suppliers, monthly ordering and preparing a cost report for finance on a monthly basis. Overseeing the recruitment for the i-D internship programme and managing their workload during their internship. Liaising with Operations Manager to source and book contractors for maintenance works and supervising them while on site. Recording any first aid incidents and making sure the office is complying with Health & Safety and Fire Regulations. Tracking staff holiday and absences and reporting to Management. Implementing a disaster recovery plan alongside the Operations Manager, IT and HR if necessary. Managing contributor and supplier invoices, payments and petty cash. Managing magazine archive including distribution and reporting. RECEPTION: Receiving and handling telephone calls. Handling the meeting room booking process. Organising and distributing post. Booking and receiving couriers and taxis.

Mailing out new magazine issues to contributors and global offices. Managing office diary. Coordinating office events and celebrations. Booking travel and researching to find the best deals.
OTHER: General administrative duties as required. To be an ambassador for the brand at all times.
