Operations Team Assistant SwimTrek runs swimming tours at over 25 worldwide locations. This role involves assisting the Operations Team to enable our trips to be safe, efficient and of course fun! Job Title: Responsible to: Location: Pay: Hours: Contract Terms

Operations Team Assistant Operations Manager of SwimTrek SwimTrek, 6 Hove Manor, Hove Street Brighton & Hove, BN3 2DF. UK. £17 – £19,000 per annum Full Time, (40 hours / week), 9-6pm. Please note that you will be required to work weekends as required. You may also be required to be on an ‘on call rota’ out of hours. Permanent Contract

Principal Accountabilities The principal accountabilities are the key responsibilities of the role: 1. 2. 3. 4. 5. 6. 7. 8. 9. 10. 11. 12. 13. 14.

Handling general operations administration. Liaising with partners in the UK and overseas on matters including service contracts, contract compliance and general operations. Organising supplies of equipment, including researching, ordering and stock-taking. Organising equipment logistics for trips. Organising health and safety paperwork. Organising guides recruitment administration. Organising guides travel arrangements – including booking flights. Consistent drive on reducing inefficiencies in the business. Checking and processing supplier invoices and expenses. Monitoring customer feedback. Assistant with planning and prioritising all operations activities. Supporting event management at selected swim events, and occasionally providing safety cover. Undertaking guiding / trip familiarisation when required. This may involve travel overseas. Using Microsoft Office, task management software and other electronic systems to support effective administration.

Essential To hold or be able to hold a current SLSGB/RLSS Beach Lifeguard qualification or foreign equivalent;* To hold or be able to hold a First Aid at Work Qualification or foreign equivalent;* To hold or be able to hold an RYA Powerboat Level 2 Qualification and International Certificate of Competency;* To hold or be able to hold a Food Hygiene Certificate Level 2;* To hold a full Drivers Licence (no endorsements).

    

Desirable Knowledge of the locations SwimTrek operates in; ASA Level I or II teaching qualifications or swimming coaching qualifications; Knowledge of the risk assessment process; Knowledge of open water environments and associated risks; Knowledge of effective open water swimming techniques and coaching;

* You do not need to be able to hold these qualifications in order to apply and on the job training may be available. However, you should be able to demonstrate you have the ability to complete these qualifications. Experience   

Essential Experience using Microsoft Office effectively for general administration; Experience working in a team environment; Experience of using initiative to solve problems.
