Position Description Office & Engagement Coordinator Company profile Bangarra Dance Theatre is Australia’s leading Indigenous performing arts organisation, fulfilling a dual role of creative producer and cultural agent. Under the visionary leadership of Stephen Page, Artistic Director since 1991, Bangarra has created an extensive repertoire of distinctively Australian theatrical experiences weaving traditional and modern cultures seamlessly into its award-winning dance theatre productions. With studios at Sydney’s Walsh Bay, Bangarra tours extensively to national, regional and remote centres across Australia and internationally each year. Position Description We are seeking an Office & Engagement Coordinator. This is a permanent full time position. The Office & Engagement Coordinator will be responsible for general office administration and customer service as well as supporting the Youth Program and Community Engagement departments. The role reports directly to the Customer Relationship Manager who in turn reports to the Director, Marketing & Communications. The role works closely with the Youth Program Director and Manager, Community Engagement. Aboriginal and Torres Strait Islanders are encouraged to apply for this role.

Areas of Responsibility 1.

Office Administration & Customer Service 1.1.

Maintain a high level of professionalism and customer service when attending to emails, phone calls, visitors, suppliers and staff.

1.2.

Act as the first point of contact for customer enquiries, ticketing and merchandise sales.

1.3.

Assist the Customer Relationship Manager in the allocation of staff tickets and VIP requests.

1.4.

Assist the Customer Relationship Manager in the build of ticketing offers and pulling customer data as requested.

1.5.

Maintain and store office supplies and staff amenities.

1.6.

Manage incoming and outgoing post and deliveries.

1.7.

Work with the Finance & Operations Coordinator to maintain the Company’s premises and venue hire calendar to ensure the smooth running of venue hire. Host and assist with site visits as required.

1.8.

Coordinate merchandise sales support to the Marketing & Communications team.

1.9.

Work closely with the Customer Relationship Manager on communications to customers before, during and after seasons including tactical, pre and post show EDMs.

1.10. Assist with end of season reporting. 1.11. Assist in the maintenance of customer data. 1.12. Reconcile credit card statements for the Director, Marketing & Communications and Youth Programs Director 1.13. Provide general administrative support to Bangarra staff as reasonably required. 2. Youth Program administration support 2.1.

Create, implement and maintain administrative systems for the Youth Program department. These will include: 2.1.1. Monitoring and prioritising incoming communications (phone calls and emails). 2.1.2. 2.1.3. 2.1.4. 2.1.5. 2.1.6. 2.1.7. 2.1.8. 2.1.9. 2.1.10.

Assisting with Registrations and administration for each Gathering. Assist with travel and accommodation bookings for the team Prioritising tasks according to the line schedule. Liaise with Community Venue contacts for venue bookings Maintaining constant contact with upcoming venues including following up with venues after each Gathering. Filing and maintaining Rekindling statistics and documents on the server year round for use in internal and external reporting, working closely with the Development team Assisting in the creation of the end of year Youth Program Department report. Liaise with key partners and stakeholders for collaborative project planning Any other administrative duties as reasonably requested by the Youth Program Director

Community Engagement administration support

3.1.

Support the Manager, Community Engagement with regional workshops coordination and relationship tracking.

3.2.

Assist in processing participants involved in the Company’s Wilay, Community performances and Community Outreach programs.

3.3.

Coordinate the Community communications content schedule in collaboration with the Marketing & Communications team.

3.4.

Coordinate communications and maintain relationships with schools around workshops, performances and other activities including emails, phone calls and direct mail.

3.5.

Build and maintain the company’s Community database nationally, including relationship tracking.

3.6.

Assist with tracking and reporting on Community activities including the company’s Work Place Giving program.

3.7.

Any other duties as reasonably requested by the Manager, Community Engagement.

Skills & Expertise          

Relevant qualification/training combined with subsequent relevant work experience. Highly competent computing skills including Word and Excel. Experience with Tessitura (desirable). Excellent organisational, communication and customer service skills and strong attention to detail. Well-developed time management skills Ability to prioritise a range of tasks. Calm demeanor. Sound problem solving skills. Ability to work collaboratively and independently within a small business environment. Cultural awareness in relation to Indigenous peoples.
