Group Booking Agreement CONFIRMATION OF BOOKINGS Sales Manager must approve and confirm all bookings and cancellations. To confirm your booking the attached form must be completed and returned, by fax or email, within 5 working days of a tentative booking being made, otherwise the management reserves the right to release the booking and allocate the space to another client. WINE ROOM DINING / COMMUNAL TABLE Bookings in our Wine Room will be subject to a minimum expenditure. A deposit of $10/person will be charged on your credit card 7 days prior to your event to secure your reservation. A change of date or increase in numbers may change this amount. BACK OF YEW DINING & RECEPTION Bookings in the back of YEW may require a deposit of 50% of the quoted minimum food expenditure which would be charged on your credit card 30 days prior to your event. Minimum food and beverage expenditures vary based on time of year and day of week. SERVICE CHARGE + TAXES A 15% service charge, 3% administrative fee and applicable taxes will be added to all food and beverage charges. Taxes will be applied in strict accordance with federal, provincial and/or local tax regulations on all other charges. Subject to change. GUARANTEED NUMBERS A guarantee on the total number of attending guests is required 7 days prior to the event. If this number decreases within 7 days of the event, a charge appropriate to the agreed upon menu price may be applied CANCELLATION Cancellations within 30 days of booking may be charged 50% of the quoted food & beverage expenditure. Cancellations within 14 days of the booking may be charged 100% of the quoted expenditure. DISPLAYS, EXHIBITS & DECORATIONS All displays, exhibits and/or decorations proposed by the Patron shall be subject to the prior written approval of the Hotel in each instance. The Hotel assumes no responsibility whatsoever for displays, exhibits and/or decorations, etc. brought into the Hotel by the Patron or any third party in connection with the Event, including, but not limited to, claims of personal injury or property damage related to the displays, exhibits and/or decorations. Balloons are not allowed. IDEMNIFICATION The parties agree to indemnify and hold harmless each other and each of its directors, officers, employees, managers and agents from and against all liabilities, losses, claims, demands, damages, costs and expenses suffered or incurred and arising as a direct or indirect result of any claim, proceeding, civil, criminal or administrative action, inquiry, suit or legal action instituted in respect of the Event or the Patron’s use of the services and facilities of the Hotel.
