Region 572 Board Meeting Minutes February 13, 2015
Call to Order: The meeting was held at Sunburst Trout Farm Office, 314 Industrial Park, Waynesville, and was called to order at 7:04 pm by Scott Clontz. Present were Scott Clontz, David Ponder, Joe Reinman, Anna Henderson, Michelle Smith, and Michelle Thacker. Review of Previous Months Minutes: The minutes were reviewed and amended to include Anna Henderson to those present, and then approved by unanimous show-of-hands vote Regional Commissioner Report: Scott said that he had met with Audra to review her report for the meeting, since she was unable to attend. He then reviewed the Expo events and commented on how worthwhile it was. He said the new uniforms were in, and that the registration banners had gone up in three Waynesville locations. Joe asked if a banner could go up in Canton at the Blackwell Dr/New Clyde Highway intersection. He said that that was always a good location in the past, and that he would like to see more attention paid to the eastern side of the county for soccer. He also volunteered to put the banner up. Scott said that there were no extra banners available. A point of order was raised concerning whether we had the necessary quorum to allow votes on issues. Scott pointed out that since Audra had given him her “proxy” we had the necessary votes to proceed. Treasurer’s Report: Anna Henderson distributed the Treasurer’s Report of for review. She pointed out that the AT&T service was disconnected on January 23, yielding a $6.00 refund. The report was accepted by unanimous voice vote. Boys and Girls Commissioner Reports: Scott Clontz had nothing to report. David Ponder suggested that the Board consider eliminating the Boys and Girls Commissioner positions, because they were not needed, since the heavy lifting was done by the Division Commissioners. Regional Coaches Administrator Report: David pointed out that AYSO policy states that every player should be allowed to , and encouraged to play every position, especially the younger age groups, up through U12. He said that the Refs should be aware of this, and that the policy would be stressed at the upcoming coaches meeting/training on March 14. David mentioned he was in talks with bringing in Adam Gee of AYSO Soccer Camps to help direct coach training day. A room at the Rec Center or Armory was being sought after for training.
Regional Referee Administrator Report: Michelle Thacker informed the Board that she is not scheduling referee training yet because she cannot yet conduct the classes. She is required to “student teach” with a certified instructor for final Referee Trainer certification. She is scheduling this the first day of practice. Registrar Report: Michelle Smith reported that the school registration flyers had been approved by the School Board, and a permission to distribute letter obtained from them. The flyers have been printed, sorted by school, and she requested that the delivery volunteers take the flyers with them after the meeting. She also said that registration training had been completed, and confirmed with Scott that the Registration page on the web site is up and ready to use. Safety Coordinator Report: Aimee Hoyle not present. Child Volunteer Protection Advocate (CVPA) Report: Kelly Hartzog not present. Division Commissioners Reports: The Division Commissioners had nothing to report. VIP Commissioner Report: Kelly Hartzog not present. Old Business: New Covenant pastor has agreed to allow use of their fields for two days a week, provided that the goals are put away each day. These fields will be use only by U8 teams. Audra will schedule a meeting the end of March with the School Board to discuss the use of the Clyde Elementary fields. New Business: Volunteers were requested to staff the tables at the upcoming registration events. The registration dates are March 3, 5, 7, and 12. Tables include computer stations for new registrants, returning players registration, uniforms, sales, volunteer recruitment, and fee collection table. Scott will send an email with this information to the members. Concussion training was heavily discussed at the Expo meeting with the consensus being that AYSO national will soon make it mandatory for all volunteers. Scott moved that Region 572 adopt this policy, effective next season, seconded by Joe. The motion carried unanimously. Updated training books for coaches and Referee training are needed. David provided an inventory of the current Coaching manuals: U6 – 4 books, U8 – 6, U10 – 2, and U12 – 0. The coach manuals are $10.00 each. David moved to approve the purchases, Michelle seconded. Motion passed unanimously.
The new uniforms are in, but we have not received the sponsor decals yet. They should be in by April 10 for distribution at the mandatory meeting. It will be the parents’ responsibility to apply these. No new Coach t-shirts will be purchased this season. Scott presented a new logo design for Region 572. Color choices and applications were discussed, including using the design on our end-of-season award medals and bags. Patti Pinkston has said that the award bags are “ready to go” at a price comparable to the medals. The new logo can be used on them. Michelle S. moved that the new logo be approved, seconded by David. The motion passed unanimously. Target training dates for coaches and referees is April 10, along with field prep and mandatory meeting. Closing Remarks: Scott thanked all of the volunteers who are participating in the registration events, and flyer deliveries.
