RHS Setter Club Meeting Monday, March 13, 2017 Minutes Meeting was called to order at 7:00pm Members in attendance: Patty, Dan, Colleen, Sue, Tina, Kelly, and Jen. Not in attendance: TJ Others in attendance: Tracy, Andy Bruskiewicz, RAYVA President, Rick Eggers President’s Report: Patty met with new board members Sue and Kelly individually to welcome them to the booster club and go over their respective positions/roles. Vice President’s Report: No report Secretary’s Report: Submitted February Meeting Minutes for review and approval. Motion to approve minutes by Tina; 2nd by Colleen. Motion carried. Fundraising Report: Royal Court Classic update, need 1 more team for the 14’s to be full. We need more volunteers especially for Sunday. Coaches Report: No report Treasurer’s Report: Dan presented the current budget as well as information on taxes. The taxes the booster club paid for 2016 were $502 compared to $1,389 in 2015. Current bank balance is $33,557.00. Motion to approve treasurer’s report by Jen; 2nd by Colleen. Motion carried. Volunteer Coordinator’s Report: Kelly met with Jennifer McGraw for an overview of the position and to learn to manage the Dibs site. Membership Drive Report: Sue met with Tracy to go over the ins and outs of the Membership Drive. Membership Drive will take place on Wednesday, May 17 after the school day. New Business: •

Royal Court Classic (RCC): Tina needs the water donations sign up removed from Dibs, she was able to get enough water donated. Tina needs emails to be sent asking for more volunteers. Health Source will be at RCC doing massages for a free will donation and any donations will be given to the RCC. Bylaws: Patty updated the bylaws to reflect accurate dates for voting in new board members. A motion to accept and approve amendments to the bylaws Section 4.3 Officer Election was made by Jen; 2nd by Dan. Motion carried. Dan and Patty will sign the new bylaws and get them distributed to board members, Jen will post to website. Rockin’ Rogers Parade: Colleen will be our contact/coordinator again this year. Colleen will fill out the registration form and send it in to the Lions Club. The parade is Saturday, June 24 at noon. Colleen will contact Seth (w/RAYVA) to coordinator our joint float. We have beach balls for distribution at the parade. It would be nice to have a few more youth players walking with the group. Lion’s Club Donation:

ANGP Donation: Jodi Norberg contacted Patty to see if the booster club would make a cash donation to the ANGP (All Night Grad Party). Motion to donate $250.00 was made by Colleen; 2nd by Tina. Motion carried. Stadium Chairs: Mary Rokke will no longer be coordinating the stadium chairs, we need to find a new coordinator for this position. 2017 Calendar: Not many dates for the calendar yet. Tentative dates for the Youth and High School volleyball camp is June 26-29. Upcoming Setters Club meetings are: April 3, May 8, and June 12. Scholarship: Final changes have been made. Information regarding the new scholarship and scholarship materials will be posted on the website and emailed to current booster club members. Dan will pick up completed scholarship packets from the PO Box and remove identifying information, assign a number and then pass on to the scholarship committee so the applications remain anonymous. So far the scholarship committee consists of three board members and one parent, we are in need of one more parent. Faculty Night: Motion to eliminate faculty night by Tina; 2nd by Kelly. Motion carried.
