Team Dues Team dues will be levied such that if a family participates in no fundraising they will have contributed their share of the team expenses. This way we do not need families to “buy out” of certain fundraisers. They will do so by virtue of paying their dues and in the end it will effectively accomplish the same thing.
Fundraising Fundraisers are pursued to help families offset their out-of-pocket expense (dues above). Families with a reduced balance will either not need to pay after a certain point if their dues are covered by fundraising, or may even get a refund. It is hoped that each family (even coaches and managers) on the team run a fundraiser. Running a fundraiser means you organize it, assign jobs, and handle all logistics. Running a fundraiser does not mean you have to do it on your own. Everyone is expected to pitch in. Participants in a given fundraiser are eligible to share evenly in the proceeds for a given fundraiser. So for example, if ten families participate significantly, they all receive 1/10th of the proceeds. Each family gets credit for this amount on their budget “tab”. This offsets their team dues. Events within events (50/50, gift baskets, etc.) count toward the event itself and proceeds are added and split as if the sub-event was part of the main event. Each fundraiser will have a per-family target for pre-sales, sales, and participation in the event. For example, each family might be required to sell 5 tickets to a pancake breakfast, and attend and serve pancakes for at least half the time the event runs. While families will not be penalized directly per event if they don’t meet the target, they will not be eligible to get a share of the overall yield of the fundraiser. Fundraisers will be tracked on a spreadsheet visible to all. Participation levels will be included. Proceeds from a fundraiser must be sent to the team treasurer with a very clear annotation as to what fundraiser the funds are from. Further, the fundraiser captain must inform the team treasurer who has participated in the fundraiser so the treasurer can credit the correct tabs. This all gets logged on the team budget spreadsheet.
Sponsors Every family is encouraged to go to businesses in the area and solicit sponsorships. Sponsorships are always shared among the whole team. If you are going in person to solicit a sponsor, we encourage your player to wear their jersey if the sponsor doesn't already know you. This way sponsorships ARE tax deductible. The sponsorship check and form are sent into our team treasurer so he/she can keep a record and verify against the team fee RYH levies. If a sponsor contributes $100, they get a personalized, framed team photo. If they contribute $250, they get their company name on a team banner that we will bring to games, plus the photo. If they contribute $500, they get their company name silkscreened onto the back of our practice jerseys, plus the banner and the photo. Sponsors should be given the option of declining the benefits if they want. When you obtain a sponsorship, you should inform the team manager what benefit was promised, if any, and supply the company name and logo art for the banner or silkscreen.
