SCANNER CONSIDERATIONS When purchasing a desktop scanner, there are some key features you should take into consideration prior to making your final purchase decision: 1. Speed: 15-25 pages per minute is a very acceptable speed for an office with a few producing reps. 2. Document Feeder: For offices that have substantial volume, a smaller document feeder (50 pages) will force a processer to either reduce the size of the batch of documents to scan at once, or they’ll need to continue adding pages into the feeder multiple times to complete the scan batch. 3. Daily Max: Scanners have a ‘load’ of how many pages they can handle on a daily basis. You should consider again identifying your expected daily load of scanned images. 4. Scan Software: Dedicated scanners have scan software that integrate with the PC to which they are attached. In most cases, scanners come with a supporting application. Docupace offers its own scan software solution, *DocuScan, that provides added benefits to a user. 5. Scan Setting (DPI): Dots Per Inch determine the strength of the image quality. It is suggested to use no less than 240 DPI; most users stay with 300 DPI. 6. Image Output: Scanner should be able to scan images to .tiff (Tagged Image File Format) format or .PDF format. To use DocuScan, Docupace’s scan software, the system must be able to scan to .tiff. 7. Need: We do not encourage users to purchase a new scanner if they already have a scanning solution. Docupace can integrate with any scanner/type on the market. As such, we suggest you incorporate your new scanning process to your existing hardware if available. It is possible you will not to make an additional purchase at all. 8. Scanner Type: There are primarily three different types of scanners in the marketplace. All three integrate with Docupace, though their business applicability depends on each client: a. Desktop Scanner: They are attached to a dedicated computer. Costs run generally from $400 and up. These are good for a single producing rep or small office that produces a fair amount of business and prefers to maintain a dedicated scan station. They are very small and compact and very easy to install. *They can integrate with DocuScan.

Docupace Suggested Scanners b. All-In-1: Printer, Fax, Copier, Scanner. The lowest entrant, they are extremely functional for the single producing rep that doesn’t have an extremely high volume of document flow. Attached to a dedicated computer (unless wireless enabled as some come now). It is a practical piece of hardware that supports all the rep’s office requirements in a single machine. These units tend to be lower cost than the Desktop Scanner but also scan fewer pages per minute and have a smaller document feeder. They are relatively small and easy to install. *They can integrate with DocuScan.
c. Network Multi-Network Function: Larger “Scanner, Copier, Printer” device that is network-enabled to send images to a server, a user’s email or each individual’s personal computer. These are higher volume machines. They are relatively more expensive and traditionally require a service person to configure it and, at least the first time, to set it up. They are traditionally the office hub and heavily used for many functions. *As a network solution with all controls directly built in, they DO NOT have access to the DocuScan software, though are still capable of integrating with Docupace.

DESKTOP SCANNER SUGGESTIONS Below is a list of some suggested Desktop scanners. The market for All-in-1 devices is extensive (generally 10-15 models available at any given time at an Office Depot or Staples) and always changing and therefore difficult to present. The same applies for the Network scanners. If you do have any other questions, please contact Docupace.
