STUBBIN WOOD SCHOOL JOB DESCRIPTION - SCHOOL BUSINESS ASSISTANT Grade: Hours: Responsible to:
5 37 hrs per week x 40 weeks Headteacher (School Business Manager)
Post Objective: To discharge, under the supervision of the School Business Manager and with the Principal Administrative Officers, appropriate administration duties to ensure the efficient and effective operation of the secretarial, administrative and financial support for the school and the Governing Body. Other considerations: It will be necessary to work with information and communication technologies and, where appropriate, existing technology agreements and consultative procedures will be applied in accordance with the policies of the school. Duties and Responsibilities: 1. Operate all computer based and manual administrative and financial systems within the school in a secure manner. 2. Undertake work in relating to the secretarial, administrative and financial management systems in accordance with agreed policies, appropriate legislation, financial regulations and standing orders to ensure that the school and its Governors meet their devolved financial and statutory responsibilities. 3. In accordance with financial regulations operative at the time: a. Undertake the safe collection, correct handling, recording and banking of cash and related tasked, including the financial administration of the school meals, including free school meal eligibility, debt management and collection. b. Manage the day to day operation, reconciliation and budget monitoring for ParentPay catering income c. Assist in the operation of the Imprest and School Fund Accounts. 4. Undertake reception duties, where required, including the meeting of visitors to the school, responses to all telephone calls, faxes, e-mails and other communications or enquiries and the provision of refreshments as necessary 5. Assist in the ordering of goods and processing of invoices using the financial systems within school, also process journal transactions and create school invoices to send to external suppliers. 6. Be responsible for the upkeep of the school website ensuring it complies with all statutory guidance on the information the Governors must publish on the website, and has up to date and relevant information for all who access the website.

7. To assist the Headteacher with absence monitoring and the School Business Manager with HR duties. 8. To assist in the school liaison with private transport operators and local authority commissioners to ensure smooth running of the school transport system and satisfactory discharge of school obligations. 9. To use knowledge of school exclusion procedures to ensure satisfactory adherence to legislation, and to certify completion of all exclusion documentation, making arrangements for school disciplinary meetings as required. 10. Ensure the daily monitoring of the Derbyshire Schools Extranet website, disseminate information, assisting the Headteacher and Receptionist with the management of the HT and all school diaries. 11. Be responsible for the publication of the school newsletter, collating the information, creating the layout, arranging publication and distribution as appropriate. 12. To assist in maintaining school uniform sales and stock, and ensuring all staff and student ID badges have the appropriate door entry, photocopying and Parentpay permissions attached to them. 13. To be the first point of contact with all photocopier/printer issues within school, and to liaise with the photocopier leasers on arranging call outs and regular maintenance visits. 14. Jointly liaise with both teaching and non-teaching staff and respond to enquiries from parents and visitors on matters within the areas of responsibility listed within this job description. 15. Attend and participate in school based INSET as required by the Headteacher and such training as may be appropriate for the effective fulfilment of the post 16. Undertake any other reasonable duties as delegated by the School Business Manager or School Business Officer commensurate with the grading and level of responsibility of the post 24. In the absence of the School Business Officer assist the School Business Manager by undertaking those duties essential to the daily life of the school, including financial management, staffing returns and records, and arranging for teaching and non-teaching supply cover in liaison with the Deputy Headteacher or other senior members of staff as appropriate
