TEMPORARY PURCHASING ASSISTANT (May 8, 2017 – June 7, 2018) PURCHASING SERVICES $43,808.00 per annum

SCOPE Reporting to Manager, Purchasing Services, completing all duties assigned in an effective and efficient manner, while adhering to the B. P. S. Procurement Directive and the Policies and Procedures of the HWDSB. DUTIES 1. Demonstrate initiative and leadership in providing confidential support to the Purchasing Staff: ensure effective day-to-day office operation, update and maintain department records, including administration of contracts using document management software; provide office management; respond to telephone inquiries from other Board staff and outside vendors. 2. Create and scrutinize requisitions and process Purchase Orders for supplies, goods, services and equipment through the BAS2000 system. Monitor compliance to department budget and alignment with program expenditures and communicate appropriately. Ensure all purchasing activities comply with BPS Supply Chain Directive mandatory guidelines. 3. Provide coverage in Buyer’s absence by managing phone inquiries and assisting vendors. 4. In accordance with the B.P.S. directive administer low-dollar quotations and make recommendations for award. 5. Manage information on the Purchasing webpage within the Board’s website and biddings ensuring it is current and accurate. 6. Manage posting of competitive bid information on electronic bulletin board ensuring it is current and accurate. 7. Assist in the competitive bid process: prepare and maintain documents including RFQ, RFP and RFI; close competitive bid in accordance with the deadline; create spreadsheet of tender packages ensuring completion and accuracy and noting initial results; update and maintain master procurement files. 8. Other duties as assigned.

QUALIFICATIONS 1. Successful completion of OPBA Principles of Effective Public Purchasing Certificate or equivalent as determined by the Purchasing Manager. 2. Experience in a public sector purchasing role is preferred. 3. Successful completion of Supply Chain Management (P.M.A.C.) course is an asset. 4. Excellent computer skills including advanced knowledge of Microsoft Office (Word, Excel, Access, Publisher), BAS2000, LaserFiche. 5. Excellent written and verbal communication skills. Ability and confidence to communicate effectively with staff, vendors and community. 6. Ability to organize and prioritize a busy workload, meet deadlines and multi-task. 7. Knowledge of Board policies and procedures, school budgets, office operations and procedures. 8. A record of demonstrated job competence combined with an excellent employment and attendance record in a challenging working environment.
