guiding principle

Our goal is to seamlessly serve our readers and advertisers, both online and in print, during an emergency. In this document emergencies are defined as situations that would prevent us from publishing either online, in print, or both. By their very nature, emergencies are dynamic situations with infinite possible variations. We should expect that every emergency will have unique qualities and that we must be prepared to adapt our plans and improvise solutions. This document is therefore not intended as a rigid set of instructions that must be blindly followed or even a solution to every possible emergency.

critical points

There are 4 critical points in our operation that must be operational for us to publish normally. If any 1 of these 4 points go offline we are in a state of emergency. They are: • The Jersey Journal office at One Harmon Plaza • The data center at The Star-Ledger • The press facility at The Staten Island Advance • Advance internet / NJ.com And can be in 1 of 3 possible conditions: • fully operational – green • operationally limited – yellow • not operational – red

contact list

critical staff

An emergency contact list of all Jersey Journal staff, plus outside resources is being created. Please let us know if your contact information changes so we can update the list. This is the minimum staff required to produced a newspaper. It does not include mobile staff, which are expected to continue to function independently. 7 am to 3 pm • 1 person from customer service • 1 person from production for obituaries • 1 person from production for ads, pages, and layout • 1 person from editorial 3 pm to 12 am • 1 person from production for pages • 4-5 people from editorial

We have created a Dropbox account as a place to keep backup copies of fonts, templates, presets, settings, etc. as well as a central place to store working files when we do not have access to our servers. The data center at The Star-Ledger is where almost all of our editorial and production servers are kept. We access them through the internet via Citrix or fat client-server interface. The laptops assigned to Margaret Schmidt, Ron Zeitlinger, and Augie Torres are designated as emergency laptops. Reliable high-speed internet access is essential to our operation. We need it to post stories online, to interface with our production and editorial systems, and to send pages to the pressroom. There is no scenario where we can continue operating without reliable high-speed internet access.

glossary of terms

Generally speaking, hotels and other public networks will not have a sufficiently fast or reliable network for more than online posting. Cellular networks are better, but have historically suffered during widespread emergencies. internet security

While access to the data center is done through the internet, only recognized internet addresses (IP's) are permitted direct access. Apart from pre-established locations, we must use virtual private network (VPN) software to access the data center.

We have 3 unassigned laptops that are temporarily assigned to editorial staff. In an emergency where we have to leave One Harmon Plaza, they'll be used at the emergency production site. The temporary emergency production site. We use VPN software to access the data center remotely. It must be pre-installed on any computer that needs access to the data center. Jersey Journal email is unavailable if the data center is not operational. In that situation, we will need to use free 3rd party webmail services, e.g. Google mail, Microsoft Outlook.com mail, or Yahoo mail to communicate. All of the reporter laptops come with an Outlook.com email address that can be used. Everyone else will need to either use their personal webmail account or create another one for the duration of the emergency.

One Harmon Plaza is open and fully operational, but access is, or will be, severely restricted. Examples: Heavy snow or ice; closure of Meadowlands Parkway or Harmon Plaza Boulevard.

Mobile reporters and retail sales staff will continue work normally outside the office. Staff with laptops that do not need to be in the office will work from home via VPN. If available, the 3 library laptops will be given to selected production staff so that they can work from home via VPN. Selected critical staff who need to be in the office will be accommodated at the hotel across the street.

One Harmon Plaza is not operational as the result of a localized problem. We may, or may not, have access to the office. Examples: Power failure; internet outage; fire/ police activity; biological/chemical hazard.

Mobile reporters and retail sales staff will continue work normally outside the office. Staff with laptops that do not need to be in the office will work from home via VPN. Selected critical staff will meet at the rally point as directed by their managers.

Depending on the timing and nature of the causative event, we will have up to 6 laptops – the 3 library, plus the 3 emergency laptops – and 2 VOIP phones. If the causative event necessitates an immediate evacuation, we should expect that some or all of this equipment may be trapped in the office. We will replace any missing laptops with desktop computers from our storage room at The StarLedger and VOIP phones borrowed from The Star-Ledger. Ultimately we will need: • Work space, power, and internet access for at least 6 people. • At least 6 computers • At least 2 VOIP phones for customer service and main editorial

Company phones will be down so most communications will have to be through cell phones (see the Emergency Contact List). VOIP phones such as main customer service and main editorial can be accessed at The Star-Ledger. Unfortunately, the line for obituaries is on a digital phone and cannot be transferred. As a result, we'll need to contact the funeral directors with a temporary number as soon as possible.

The data center at The Star-Ledger is not operational as the result of a localized problem. Examples: Power failure; internet outage; fire/police activity; biological/chemical hazard at The Star-Ledger facility. Even with One Harmon Plaza fully operational, the loss of the data center will make all of the following services and systems non-operational: • Editorial and production systems • Classified and circulation systems • Layout and ad tracking systems • Jersey Journal email system • ACD reporting system • Jersey Journal voice mail system

Editorial Mobile reporters and photographers will continue to post stories and photos online, but will now also email copies of their photos and stories to the page production editor(s) via webmail. Editors will gather, select, and edit stories and photos from webmail. Along with night production staff, they will paginate pages using InDesign and Photoshop. Finished pages will be sent directly to the pressroom via FTP (Filezilla). Display advertising Retail sales will continue to sell display and online ads using the existing rate cards for display advertising. Ad orders will need to be sent via webmail to Ad Services for processing. Billing information will have to be entered and processed after the data center is back up.

Customer Service At the beginning of the emergency we'll rerun the previous day's classified pages since many of the ads would have run anyway. At the same time, customer service will take continue to take new classified ads using Word and the Simplified Emergency Rate Card (SERC). Credit cards can be accepted via paper forms, but will have to be processed after the data center is back up. These new ads will be paginated by production using InDesign. Production & ad services Ad Services will create page layouts manually on paper and production will create/the folios on the blank pages in InDesign. Production staff will produce display ads with InDesign, Photoshop, and Illustrator and will place the finished ads on the InDesign pages. Ad tracking will be done on paper. Production will enter, create, process obituary ads using MS Word, InDesign, Photoshop, and the SERC. rally point staff hardware software

Both One Harmon Plaza and the data center at The Star-Ledger are not operational as the result of an area wide problem. Examples: Hurricane; area-wide blackout. The loss of both One Harmon Plaza and the data center will make all of the following services and systems non-operational: • Office Internet access, both wired and wireless • Office phone service, both digital and VOIP • ACD reporting system • Jersey Journal voice mail system • Jersey Journal email system • Editorial and production systems • Classified and circulation systems • Layout and ad tracking systems

Company phones will be down so most communications will have to be through cell phones (see the Emergency Contact List). We will need to establish and publish, both online and in print, temporary emergency contact numbers for: • Editorial main number • Customer service main number • Obituaries main number If we're lucky enough to have access to landline phones, these may be preferable to using cell phones, especially for Customer Service.

For example, a flat modular rate for display ads and a counted line rate for liners. • Negotiated a room rate and establish an invoice account for payment with The Empire Meadowlands Hotel by Clarion. • Software on selected desktops in our storage room at The Star-Ledger. • VPN software on all laptops. • InDesign, Photoshop, and presets on all 3 library and all 3 emergency laptops. • Dropbox on library and emergency laptops. • Software, presets, fonts, templates, and standing art in emergency Dropbox account and offsite repository. • Templates usable for non-Jazbox InDesign.
