Glenwood Athletic Boosters Meeting Board Meeting: February 18, 2016
Board Members present: Gilmore, Dierkes, Hobbie Members Present: Margy Smith, Zach Thornton
Gilmore called meeting to order at 7:00 at the GHS commons. Approval of Minutes: Hobbie presented Minutes from the January 2016 meeting were presented and approved. Treasurer’s Report: Dierkes reported Provided financial report for YTD August 2015-January 2016. Balance as of the end of January is $65,383.30. Old Business: Gilmore reported that the discount card fundraiser has been ongoing and collection of sold cards is being concluded at both the middle school and the high school. Those collection envelopes will be given to the treasurer to be tallied.
Smith reported that the Sadie Hawkins dance is scheduled for March 12 th at the GHS commons. Fliers are being handed out and tickets are being sold during lunch hours starting soon. She was able to secure the DJ from last year at a discounted rate. STUCO is still planning to sell the puppy chow as far as she is aware.
Glimore reported that plans for the summer basketball shootout are well underway and going well. We have secured 17 teams including our own GHS team. We will be looking for a few more teams to complete the shootout. Sponsorship forms have been sent out and there seems to be good feedback. The DO has approved our use of both gyms at the high school and possibly GES if it is needed.
Gilmore reported on the concession stands and their status. County volleyball will be this coming weekend at both GMS and GIS fieldhouse. After that then those schools should be finished with indoor concessions for the season. Men’s basketball is finished at GHS on the 26th of February. Sadie Hawkins volunteers will need to give us a list of items they wish to sell so we can make sure and have enough inventory for them. The plan will be to move inside inventory back outside the week of March 14 th as the spring sports start March 21st. Gilmore will reach out to Coach Rourke to ask assistance from the early bird classes to help in that movement.
New Business: Gilmore reported that there has been a request from the middle school for a new high jump matt. That request was voted on and approved. A total will be provided at a later date. There has been a request that the boosters supplement uniform costs for spring sports. That request was approved and a payment up to $9,000 will be made to the athletic department upon request.
A discussion was had regarding advertising. We will continue to approve each request as they are presented to us focusing on advertising for our own events.
Hobbie presented a new athletic scholarship idea. This proposal was submitted to board members before the meeting so that they could have an informed discussion. Terms, timeframe, eligibility qualifications, etc. were discussed and changes were made. It was decided to send the proposal to the DO for feedback and also Coach Rourke as well. The plan will be to proceed to implement this scholarship yet this year. A selection committee will be voted on at the next meeting; however, the AD of the high school will be an automatic member of the selection committee. Thornton and Gilmore both volunteered as well to be on the committee.
At the present time the board title of President is vacant. Gilmore has been assuming the role since October of 2015. A motion was made by Hobbie and seconded by Dierkes to officially place Gilmore in the role of President for the remainder of this school year. Motion passes. Dierkes has stated that this will be her last year as treasurer. Gilmore will take nominations for the upcoming school year at the March meeting before a formal vote to be taken in April or May.
