HFL Sports Boosters Meeting Minutes – April 13, 2015 Attendees: Sam Villanti, Michele Shone, Carol Bellavia, Lauri Hofmann, Randy Scroger, Rob Meehan, Tom Ward, Brian Donohue, Tracey McGrath, Stephanie Templeton Financial Review – Sam (in Matt’s absence):  Numbers are still ahead of last years in lower cost of goods (free pizza continues to make a big difference) and increased Membership dollars (from more donations because actual number of members is about the same as last year) Funding Requests – both requests will be reviewed by Board via email as only 2 voting members were present at meeting  Request for girls modified & varsity tennis – 24 hours of instructional time with tennis pros at Mendon Tennis Club for 2 weeks in August (prior to the fall season). Approximate cost is $1000.  Swim lane lines replacement plus a lane line saver (to prevent damage to lines when removing from pool). Total cost is $3105. AD Report – Brian Donohue: see attached  Master Facility Planning – there are 2 major items being proposed for consideration by the Athletic Dept o New tennis courts o New baseball field – cost to redo current field OR replace with turf field and lights Chow Hut:  Volunteer sign up is going very well with the majority of slots being filled consistently  All coaches emailed their teams requesting parents to sign up to volunteer  Tom is checking on pricing of new pizza warmer with Allen Associates – current one is owned by the school but continues to break down  CH is in need of a major clean up and purge of unused items. Action Item: schedule clean up and purge after the spring season is completed  Purchase of a small wet-dry vacuum to help clean up CH was approved. Action Item: Michele to order Membership-Michele  Membership for the 2014-15 school year is 126 families (which is close to last year’s total of 137) but membership dollars are up, which means overall donations are higher than last year. Apparel, Bracelet fundraiser & Brick Sales:  Bracelet sales are going very well  Cougar Wear sale is still underway – profits from winter sale will be included with spring sale check  Currently have 8 new orders for bricks. New bricks should be ready for installation before graduation.

Other Business  There will be 3 open board positions as of the end of the summer – Vice President, Secretary and Membership. The Board is currently working on securing possible candidates for these positions. 2014-15 Meeting Dates - meetings are held on the 1st Monday of each month at 6:30pm in the HS Cafeteria  May 4th, June 1st Open 2014-15 Issues from the Punch List 2014-15 Goals:  Increase SB membership from current levels to 80% of all athletic families  Develop greater board participation through subcommittees such as membership, fundraising, PR, etc.  Generate at least $28,000 through concession activities  Generate at least $3,000 through merchandise sales. Also standardize the use of HFL athletic logos  Plan and implement one significant capital campaign - possibly to rebuild Chow Hut building  Utilize our website, signage and local media to promote the SB club to a broader audience
