Importing Exam Taker Data This is the first step in the process of importing an institutions’ data into the ExamSoft database CHP. Exam Taker (ET) data needs to be imported for ETs to have access to exams. 1.

Login to the CHP as an Administrator.

Download and review the ‘Data Import Overview’ and ‘Data Import Instructions’ to learn how to format the data files.

When saving the file, ensure that the file name begins with the word students (i.e. Students File) in order for the importer to recognize the file.

Save your file type as ‘Text (tab delimited)’ file.

11. Once you have saved the Student File, go back to the Import Data Files page on your CHP. 12. Next to the Students.txt field, click ‘Browse.’ 5.

Download and review the ‘Sample Students File’ to ensure you have the correct column headings and content in your spreadsheet.

Create your student file database in a spreadsheet. a. StudentID: must be unique for each student Password: an asterisks (*) will generate a random one by the system for each ET b. Lab Equipment: 0=personal computer, 1=lab c. Accommodation Group #: (optional)

13. Browse through your files to find the Student File spreadsheet you just saved. Click on the saved file name and then click ‘Open.’ 14. Next, click the

15. The name and size of your file will appear on the page as confirmation of upload.

If you need to create an accommodation group, please speak with your Account Manager. Each institution’s accommodations will be defined with a number. If known, place this number with the ET information during data import. If not, it can be added later. (Review: Managing Accommodations Rules)

16. If you have import email alerts enabled, you will also receive an email confirmation within ten minutes of your Student file uploading. If there were any errors during the import, they will be listed in this email. Common Data Upload Errors:     

Use of commas in any field Invalid email Address Format Invalid StudentID (use of symbols or special characters) Invalid StudentID Length (preset by institution) Missing Information (complete all fields)
