Opportunities - Levels, Benefits & Rates The Midwest Business Group on Health’s (MBGH) Annual Conference is one of the largest and most respected educational and networking events for human resource and health benefits professionals in the nation. Sponsorships are offered on a first-come, first-serve basis and the event sells out quickly. This document contains an overview of the sponsorship levels, benefits of participation and rates for each level. To ensure you receive the sponsorship level that works best for your company, complete the contract as soon as possible. Verbal and email requests to hold sponsorships will require a signed contract within 36 hours. To register chose your desired level by checking the box to the left of the sponsorship options below; read the entire contract, sign and date it at the bottom. Payment in full is due on or before April 6, 2016 to guarantee your sponsorship.

General – All matters and questions not covered by this contract are subject to the decision of the Midwest Business Group on Health (MBGH). The MBGH Annual Conference includes a tradeshow designed to provide a showcase of products and services either specifically designed for, or customarily used with employer groups. MBGH reserves the right to refuse rental of display space to any company whose display of goods or services is not, in the opinion of MBGH, likely to be compatible with the general character and objectives of the exhibition.

Sponsor/Exhibitor Logistics – Each exhibit space is approximately 8 feet in width and 8 feet in depth; pipe and drape is not provided. Sponsors/exhibitors are not permitted to have backdrops exceeding eight (8) feet in height, nor can they attach or hang banners, materials or anything from the walls or ceiling. The exhibit hall provides space for table-top exhibits and pop-up backdrops only, with no exhibit exceeding 8’ by 8’. MBGH does not offer freight/drayage services, nor does it contract with a conference services company. It is the responsibility of each sponsor/exhibitor to make their own arrangements specific to their needs. The logistics contact from sponsors/exhibitors will receive a Sponsor FAQs Document in February containing the following information:     

Agenda Exhibit hall schedule with set up/tear down times Information on specific deadlines Registration information for complimentary passes Information on the Mid-America Club, including shipment, delivery, directions and maps

Assignment of Booth Space – Booth assignments are based on the level of sponsorship and the date when registration and payment are received. If two registrations for the same space are received at the same time, priority will be given to firms who are members of MBGH. MBGH has the right to assign space to the sponsor/exhibitor, rearrange the floor plan, and/or relocate any exhibit at any time before or during the conference.

Care of Space – Sponsors/exhibitors shall be responsible for properly maintaining their exhibit space, and may not place anything in the aisles during exhibit hours.

Payment – Contracts received by MBGH will be recorded in the order in which they were received.

Upon receipt of completed, signed and dated contracts, MBGH will send confirmation, along with an invoice payable to MBGH. Checks are to be made payable to MBGH, and payment must be received by April 6, 2016, unless other arrangements have been made. If paying by credit card, contact Lori Hurtt at [email protected]. If payment is not received by the pre-determined due date, your sponsorship and/or booth assignment is subject to cancellation.

Cancellations – Cancellations must be received in writing no later than April 6, 2016, at which time a full refund will be given in approximately 45 days. No refunds whatsoever will be made after this date.

MBGH 36th Annual Conference Sponsorship Opportunities Liability – Neither MBGH, its members, officers, representatives or employees, nor the Mid-America Club, its representatives or employees, will be responsible for any injury, loss or damage that may occur to the sponsor/exhibitor or the sponsor/exhibitor’s employees or property from any cause whatsoever, prior, during or subsequent to the period covered by the sponsorship contract. Each sponsor/exhibitor must make provisions for the safeguarding of his/her goods, materials, equipment and display at all times. The sponsor/exhibitor agrees, by signing this “Sponsorship Contract,” to insure itself, at its own expense, against property loss or damage, and against liability for personal injury. In the case that said premises shall be destroyed by fire or the elements or by any cause, or in the case of Government intervention or regulation, military activity, strikes, or any other circumstances that make it impossible or inadvisable for MBGH and/or the Mid-America Club to provide exhibit space, then and thereupon the contract shall terminate and the sponsor/exhibitor shall waive any claim for damages or compensation, except the pro rata return of the amount paid for space, after deduction of actual expenses incurred in connection with the show, and there shall be no further liability on the part of either party. In case any part of the exhibit area is damaged, or if circumstances make it impossible for MBGH to permit a sponsor/exhibitor to occupy the space assigned during any part or the whole of the period covered, then under such circumstances the sponsor will be charged for space only for the period the space was or could have been occupied by the sponsor/exhibitor, and MBGH is released from any and all claims for damages which may arise in consequences thereof.

Amendments – MBGH reserves the right to interpret, amend and enforce this Contract. Written notice of any amendments or interpretations shall be given to each sponsor. Each sponsor/exhibitor, (individuals, their agents and employees), agrees to abide by all Contract rules set forth herein, and/or by any subsequent amendments, or interpretations. Please show your agreement to these rules by signing below and returning the original to MBGH.
