Mercersburg Youth Baseball – Monthly Board Meeting Minutes October 18, 2017 @ 6:00 pm – MMPW Meeting Room Attendees: President: Marty Towns, VP: Jason Pine, Secretary: Amy Egli, Treasurer: Erin Martin At Large Members: Dan Moreland, Jeff Mellott, Jimmy Clark, Cliff Pine Coaches: Roger Glessnor Call to Order – Monthly Board Meeting was called to order by President, Marty Towns at 6:06 pm Secretary’s Report: 1. 9/20/17 – Meeting minutes were e-mailed for review on October 14 a. Jason made a motion to approve minutes as is. Second: Jimmy b. Vote was unanimous Treasurer’s Report: 1. Erin sent the report via e-mail on October 16, 2017. Ending balance as of September 30, 2017 and reconciled with the bank = $11,182.13 a. Jeff made a motion to accept treasurer’s report. Second: Dan b. Vote was unanimous 2. Winter expenses should be minimal with the exception of insurance renewal, which is around $3,000 Old Business: 1.
“Little League” age change - Little League is changing their cutoff date from May 1 to August 31. They are doing this so that no child will be too old while playing in the league (to make a younger league). a. Continued discussion on MYB following the new age change rule: - Update on Chambersburg Suburban League: (Contact Corey Daley) o Delayed vote until November, but in November they will vote on one of three options: 1) Change with the Little League, 2) Stay how they are now, or 3) Change to Cal Ripken/Babe Ruth rules - Marty suggests that we wait because we do not want any child, not to have a league to play. We should have all the information before we decide what is best for our league - Erin suggest that we looking at options 1 or 2 because we do not know enough about Cal Ripken/Babe Ruth to change, nor do we have enough time to convert - Jason says we should wait. We should match the competition. We don’t want to lose the better players for a higher level league. We should align with the pony league. - Jimmy, Jeff, Dan: all agree we should wait - Roger agreed, we want to make sure that every child can play - Amy confirmed that we are not going to try to ease our way into the change like brought up last meeting. We will change or not change once we have all the information. - Cliff agreed we should wait and we should make the decision that is best for the whole league b. Table till November, it will be voted on at this time 2. Halloween Parade a. Marty has a person who is willing to donate and drive a float that he is using for another parade b. The theme will be “spooky” and player should where their jersey’s and dress “spooky” to continue the theme. We will use the MYB sign from last year and baseball card prompts c. Amy will email information to families 3. Rules – major, minor a. Rules for the major and minor were revised on October 4 and 11 for the 2018 season
b. Addition to rules (we forgot) will be no “fake” bunting and requiring 9 year and 6 year olds to try-out to determine the league that will fit them best c. Amy will post rules on website once they have been edited 4. Renewal of lock box at the bank a. Tami Towns contacted the bank, on our behalf, and their lawyers suggest that we drill the lock box since we have not located keys b. The bank said we are allowed to open it c. Erin made a motion to drill open the lock box for a price of $175. Second: Jason i. Vote was unanimous. ii. Tami will follow up for a time and date to complete 5. T-ball Guidelines/ Rules a. Cliff went through the guidelines/rules that he created b. Discussion: i. Second half of the season, teams will get points if they get an out ii. Runner will stay on base after getting out iii. A player will play first base not a coach iv. Coaches will have to make the out or safe call c. Suggestion - to have a coaching clinic for new coaches at the beginning of the season, to help with how to run practice. d. Suggestion - to put drill suggestion on our website New Business: 1.
New bat regulations a. We should inform the parents by: handing out flyers at registration and putting it on the website 2. 501c3 – now what? a. Suggested that we start going to businesses and make it known that we are now 501c3 b. Erin suggested that we ask for “bat” donors since we discussed buying bats for our teams c. Cliff suggested that our donors know what they are getting for donating to our organization 3. Update on fire of our batting cages a. Marty researched the price of our damaged batting cage i. Dimensions: 55 feet long, 12’-14’ wide ii. Just the nest: $900-$1300 b. Marty will contact the Fire Marshall c. Amy will call insurance for options to get it replaced 4. 2018 Registration prices a. Last year’s prices were: Regular registration $65. We did offer an early bird for $55. Late registration was $75 b. Surrounding area’s registration fees are around $50 c. Discussion on price per player being around $44-$50 d. Discussion on more fundraising e.
