Mercersburg Youth Baseball – Monthly Board Meeting Minutes August 23, 2017 @ 6:00 pm -- MYB Fields Attendees: President: Marty Towns, VP: Jason Pine, Secretary: Amy Egli, Treasurer: Erin Martin At Large Members: Dan Moreland, Jeff Mellott, Jimmy Clark Coaches: Roger Glessnor Parents: Kelly Stoner, Mark Wise Others: Eduardo Magalhaes Call to Order – Monthly Board Meeting was called to order by President, Marty Towns at 6:00pm Secretary’s Report: 1. 6/26/17 Meeting minutes were reviewed and e-mailed on August 17 a. Jason made a motion to approve minutes as is, Second: Dan b. Vote was unanimous 2. 7/31/17 Meeting Minutes were reviewed and e-mailed on August 17 a. Erin made a motion to approve the minutes as is, Second: Jeff b. Vote was unanimous 2. We have successfully transferred the bank account to the new Board of Directors 3. Amy reviewed the Board member duties, as the At Large members review the list; they are to let Amy know which activities they would like to take the lead on, by the next meeting 4. We have an insurance claim filed from Ms. Horst, who fell during the all-star tournament. Marty and Amy talked with the insurance company; Horst is just looking for payment of the out of pocket medical expenses she paid from her injury. Our insurance will cover this once they get the documentation. Treasurer’s Report: 1. Erin sent the report via e-mail on August 18, 2017. Ending balance as of July 31, 2017 and reconciled with the bank = $14,591.83 a. Jeff made a motion to accept the treasurer’s report, Second: Roger, b. Vote was unanimous 2. 501c3 has been filed, we are waiting for results Old Business: 1. 8U Fall Ball -- posted on Facebook, no interest, 146 views We did have a 9 year inquire a. We discussed ways to promote fall ball next year, maybe add interest section on the spring registration 2. Football bought leftover concession stand food- paid $125 – came and got it on August 8 3. Quotes to professionally winterize the water line in the concession stand – Tabled 4. Inquire about method to reduce community use of the dumpster during the off season a. Erin called and left message but no call back b. Maybe cheaper to just dump once at the beginning of the season instead of paying for removal of container and then bringing it back New Business: 1.

Early registration – Not prepared to hold registrations this early a. We will consider early registration in Dec., like last year 2. Townfest – Discussed maybe having a booth to have games and be seen in the community but not to do early registration a. All are to come with ideas for a booth to the next meeting 3. Halloween Parade – Yes, we will participate, the deadline for registration is October 18, 2017 a. We will need to decide what category we will enter

b. Amy will create an event on Facebook c. Marty will talk to Rod Hisong about the use of a wagon Plan for reviewing and validating the by-laws a. By-laws were distributed to board members, we are to read and have amendment ideas ready to discuss by September 6. 2017 Plan for reviewing rules for major, minor, and t-ball guidelines a. Amy suggested that we split into two meeting, major league rules and minor/t-ball guidelines b. Marty said we will have umpires present for the major league rules meeting c. Jason suggested to create draft rules as well “Little League” bat rules change for 2018 – Bats as of January 1, 2018 must have a USA Baseball sticker and have a 2 5/8 barrel - We are not required to follow these changes because we are not affiliated with Little League - If we do not follow the new rule, it may be a liability a. Discussion on MYB following the new rules change: - Roger made the point that if we play in tournament we will have to use certified bats - Jason suggested that we have a bat checker tool and we buy certified bats for each team to use - Mark said that we almost have to supply bats for each team because the certified bats are expensive, we should also advertise that we will supply bats so our families know that they do not have to buy a new certified bat - Eduardo suggested that we could possibly increase registration price to offset the cost of buying bats b. Erin made a motion that MYB will follow the Little League bat rules starting in the 2018 season. Second: Roger, Vote was unanimous “Little League” age change - Little League is changing their cutoff date from May 1 to August 31. They are doing this so that no child will be too old while playing in the league (to make a younger league). a. Discussion on MYB following the new age change: - Jason suggested we talk to local pony league (Cory Daley) to make sure they are ready an increase in player - Marty wants to figure out how many player this would affect in our league - Erin wanted to make sure that all players have a league to play in b. Tabled – We will vote next meeting - Marty is going to talk with Cory Daley and Coach Sanchez (JBHS) to make an informative decision Field Spraying and reseeding a. Jeff suggested that we spray for the clover around the ball fields, so that will not invade the ballfields. He said that if he sprays the clover in late September, then he can fill in with grass seed in around November. He may need to rent a power seeder if necessary. b. Erin made a motion to let Jeff take care of the clover by spraying, for a cost of less than $200. Second: Roger, Vote unanimous Communications with other leagues; State Line and Fulton County a. Most thought it was a good idea to continue a good relationship with other leagues b. Jason suggested that we also look at playing St. Thomas Location of Board Meetings a. Marty will contact someone about the use of the Fire Hall Meeting Room or basement of the Activity Center
