Ball State University Occasional Meal Policy & Procedure Athletics Compliance Office NCAA Bylaw 16.11.1.5 Occasional Meals. A student-‐athlete or the entire team in a sport may receive an occasional meal in the locale of the institution on infrequent and special occasions from an institutional staff member. An institutional staff member may provide reasonable local transportation to student-‐athletes to attend such meals. A student-‐athlete or the entire team in a sport may receive an occasional meal from a representative of athletics interest on infrequent and special occasions under the following conditions: a. The meal may only be provided in an individual’s home, on-‐campus or at a facility that is regularly used for home competition and maybe catered; and b. A representative of the institution’s athletics interest may provide reasonable local transportation to student-‐ athletes to attend the meal function only if the meal function is at the home of that representative. It is the responsibility of the coach to inform the Athletics Compliance Office when an occasional meal is scheduled to occur, whether it is with an institutional staff member, a RAI or a booster. 2. Should a student-‐athlete be invited for an occasional meal, it is their responsibility to inform the Athletics Compliance Office when the occasional meal will occur. 3. The documentation must be submitted two (2) business days prior to the occasional meal. 4. Ball State and the MAC have determined that student-‐athletes may partake in two (2) occasional meals per month. Exceptions may be made with advance approval from the Athletics Compliance Office. Procedure: 1. The head coach will complete and submit an Occasional Meal to the Athletics Compliance Office at least two (2) days prior to the occasional meal. 2. The Athletics Compliance Office will approve or deny the request and will keep the Occasional Meal on file.
