Challenge Pacific Rail Engineering (PRE) is an Australian engineering company based in New South Wales. As part of their operation the company holds quality accreditation from the International Organization for Standardisation (ISO). To maintain this accreditation the company must
ensure process and procedure documents are of a high standard with formal version control. PRE uses Microsoft Dynamics AX for all of its enterprise resource planning (ERP) functions, from finance and inventory to sales, purchase orders and job costing.

The company was operating to a high standard but knew it could become even more efficient if it had a better way to manage business processes, both within Microsoft Dynamics AX and across the rest of the business. It needed a systematic way to map processes so that it could see how to improve them. It also needed to keep the integrity of quality management in place through better document control.
This saves training costs and the time associated with bringing new employees up to speed on Microsoft Dynamics AX.
One of the business functions provided by PRE is the servicing of freight rail rolling stock wagons. This involves field staff inspecting wagons onsite using a paper-based inspection form. The original process included two forms: one that articulated specific aspects of the wagon to inspect, and a second to be filled in during the actual inspection.
PRE used the UXC Eclipse Business Process Solution to map the processes involved in activities such as the wagon inspections, improving and streamlining the process to make it more efficient.

The solution is web-based so employees can access the information from anywhere. By simply following the process, any employee can now use Microsoft Dynamics AX more productively, sooner.
Importantly, the Mavim software is platformagnostic. This means it will work well with Microsoft Dynamics AX requirements but also be completely extendable throughout the organization to help modify and improve processes quickly and easily.
By mapping the process end-to-end the redundant steps became obvious and easy to eliminate. As a result the company went from using two separate forms to using a single form, which has saved time for everyone involved in the process. This streamlining process is now set to occur across more of the company’s documentation and processes. PRE uses the Business Process Solution as a way of controlling process and procedural documents but, more importantly, it is an invaluable tool in getting a clearer map of processes and improving them. PRE is integrating all policy and procedure documents into a single location so that employees can go to a single source to find out how to execute a particular task.
