Player Handbook Mission The IM Sports department seeks to meet the recreational needs of students, faculty and staff at Georgetown University by programming sport leagues and events for the campus community. By offering a diverse selection of events throughout each academic year, we provide recreation opportunities for ALL campus participants, regardless of experience or athletic background. Our dedicated staff of student officials, scorekeepers and supervisors provide a safe recreational environment based on sportsmanship and professionalism. In the spirit of campus community and ‘friendly’ competition, IM Sports integrates a Sportsmanship System into all events. Players and teams are rated and rewarded for good sportsmanship. By providing opportunities for fun and fitness, IM Sports seeks to enhance the quality of student life and community for Georgetown University.
Basic Policies ● ● ● ●

Online registration is REQUIRED before participation in any IM event. Checkin with GoCard or a government issued ID is REQUIRED to participate. No Exceptions, No Substitutes. Only active Georgetown University students, faculty and staff are eligible to participate. For league events, players may participate for ONLY one “Open” division team and ONLY one “Coed” division team. Players may not participate for multiple “Open” division teams in the same event. For example, participating for BOTH an “Open A” team and an “Open B” team is a roster violation. Regular season games will not be rescheduled.
Eligibility All active students (undergraduate and graduate), faculty and staff are eligible to participate in outdoor IM events. Yates Field House members who do not meet this criteria are NOT eligible. Alumni and students on a leave of absence are also NOT eligible. A Yates Field House membership is required to participate in any indoor IM event . This policy applies to faculty & staff who are not Yates members, as well as parttime students who do not meet the minimum enrollment credits for automatic Yates membership.
Varsity Athletes Student athletes are prohibited from participating in any IM event that corresponds to their varsity sport (Example = varsity football players cannot play IM Flag Football). This applies to all players who played OR practiced on a varsity team during that same academic year. EXCEPTION Graduating varsity soccer players can participate in IM Soccer in their graduating spring semester. However, there will be a maximum of TWO such players per team.
Divisions of Play Divisions of play vary by event. In general, league events will feature “Open” divisions and “Coed” divisions. These are explained below: ● ●
OPEN Teams have no gender ratio requirement during play. COED Teams have a maximum limit of male players during play. For example, Coed Flag Football is 4M/3F. A maximum of FOUR male players can play on the field at any time.
Many events are separated into “Undergrad” and “Grad” leagues. Grad leagues also include faculty and staff participants. Participants can NOT play in the noncorresponding league when these divisions are separated.
Registration & Roster Policies Online registration is REQUIRED before participating in any IM event. Players can register online using our IMLeagues system for Georgetown Intramurals. Once fully registered, players will appear on the corresponding rosters for their team(s). For league events, players may participate for ONLY one “Open” division team and ONLY one “Coed” division team. Players may not participate for multiple “Open” division teams in the same event. For example, participating for BOTH an “Open A” team and an “Open B” team is a roster violation. Teams Captains must create a team (and pay team fees) before ANY players can join that team. Teams must register by the indicated team entry deadline for an event. Players Player registration will remain open throughout league play. Unregistered players have until 5PM the day following the game to join the team through IMLeagues. If any players are not registered by this time the game will be a forfeit. Online registration will be closed once playoffs begin. No players can be added to teams during the playoffs. Free Agents Players may register as a Free Agent before the indicated deadline for an event. Free Agents are only eligible for appropriate divisions (Example graduate free agents in the
“Grad” league only). Roster Violations The following actions are considered roster violations: ● ● ● ● ● ● ●
Participation on multiple “Open” teams or multiple “Coed” teams during an event. Participation in a noncorresponding division. (Example = grad student participating in an Undergrad division.) Attempting to join a team after the playoff registration deadline. Attempting to register online with a false name or email address. Attempting to checkin with false information. Using an ineligible player, including alumni, guests, students on leave of absence, or nonYates members for indoor events. Exceeding team limits for corresponding graduating varsity soccer players.
Violations may result in a forfeit for the corresponding team or penalties for subsequent violations will be at the discretion of the Intramural Staff.
CheckIn & Equipment IM staff will provide all necessary equipment and jerseys for IM events. Equipment will be issued upon checkin. Equipment must be returned after each game ends. Failure to return IM equipment will be considered as theft and will be reported to GUPD and the Office of Student Conduct as needed. Gloves are NOT provided for IM Softball.
Team Captains Captains create IM teams and submit necessary fees to confirm registration. Only online payment through our IMLeagues system is accepted. Team Captains have several additional responsibilities for their teams: ● ● ● ● ● ● ● ● ● ●
Recruits enough players to ensure appropriate roster size. Communicates schedules to players. Ensures that players understand event rules and policies. Ensures that all rostered players are ELIGIBLE to participate. Reports eligibility issues to IM staff to prevent violations. Participates in pregame Captains Meetings. Inspects players for jewelry or other prohibited items. Confirms gamescore and sportsmanship rating at the conclusion of every game. Ensures sportsmanlike behavior from all teammates and team spectators. Submit Cancellation Requests to the IM Office for impending forfeits. Submit time preferences via imleagues.com and specific scheduling requests to
[email protected] prior to the release of the schedule for that season. Captains are responsible for the conduct and behavior of their team and spectators and can be subject to penalty for sportsmanship and roster infractions. Captains are NOT required to be present for every game. If a captain must miss a game, he/she should designate a proxy captain for that specific game.
Player Uniforms, Clothing & Safety IM staff provide jerseys for every IM game. Teams/players do not need to provide their own uniform. Players must wear athletic clothing in order to participate. Shirts and shoes are required at all times. Other uniform policies: ●

Jewelry is prohibited at all times. Items of religious/ethnic significance are permitted but must be secured to the body using athletic tape. Medical alert medals can be worn and taped to the body. Tape will not be provided by IM staff. No wristbands of any kind, including watches. No hats. No jeans. Athletic braces/casts must be soft, with no metal or plastic protrusions. Cleats are allowed, but metal spikes are not permitted. Cleats may not be ideal for Kehoe Field, which is an astroturf carpet. Football cleats will not be permitted for soccer. Shinguards are optional for IM Soccer. IM Staff will not provide shinguards.
Awards IM Sports championship Tshirts will be awarded to champions for league events and winners of individual tournaments. In addition, champions for some events may be featured on our IM Sports website & blog.
Assumption of Risk & Photo Waiver I acknowledge that I am voluntarily participating in Georgetown University Intramural Sports. I assume all risk of injury or any illness or medical condition that might result from my participation in intramural sports, as well as any damage, loss or theft of my personal property. I hereby relieve Georgetown University of any liability in connection with these activities. I acknowledge that I have either had a physical examination and have been given my physician’s permission to participate or that I have decided to participate in intramural sports without the approval of my physician. I agree to comply with the Policies and Procedures of Yates Field House as they pertain to intramural sports. I understand that my participation in intramural sports may be revoked or
suspended if I am in violation of University policies relating to intramural sports. I further understand that my membership at Yates Field House may be suspended or canceled if I am in violation of these policies and that I will not be entitled to any refund of membership fees paid (if applicable) for the period after cancellation of my membership. Photo Waiver I hereby authorize the Intramural Sports Department at Georgetown University, and those acting pursuant to its authority, to videotape, audiotape, film, and/or photograph, me for use in news releases and/or promotional materials, in any and all media, as the Intramural Sports Department deems appropriate and necessary. I further authorize the copyright, reproduction, publication, sale, exhibition, broadcast, telecast, and/or electronic distribution of said material without limitation by the IM Sports Department.
Payment, Fees & Refunds All payment for IM Sport events will be processed using PayPal in our IMLeagues system. Payment is required before any team entries are confirmed for league events. Some IM events may be free of charge. IM fees consist of entry and forfeit payments. Entry Fee Entry fees are nonrefundable after the team has been confirmed for the league and the schedule has been released. Forfeit Fee Forfeit fees are refundable payments retained by the IM Office as insurance against game forfeits. Forfeits are costly they take a game opportunity from the opposing team and they cost the IM Office in scheduled staff salary. As an incentive to prevent game forfeits, we charge the forfeit fee upon team entry and return the amount once the league ends.
Reschedule Requests The IM Office does NOT grant rescheduling requests. Due to limitations with facility space, we cannot reschedule games once a season has begun. For conflicts regarding specific games, please follow the "Cancellation Request" procedure.
Forfeit Policy A forfeit will result in a loss by one score in any sport. For example, 60 will be the score in
football, 10 in every other sport. For the purposes of Georgetown Intramurals, a "forfeit" is defined as any of the following: ● ● ●
Failure to have the minimum number of players within five minutes of the start of the game. Failure to have the required ratio of players for a scheduled Coed game. Failure to email
[email protected] by 12pm of game day not
The penalties for a forfeit include the following: ● The team receives a "Loss" for the game. ● The team receives a sportsmanship rating of zero (0) for the game. ● The team loses its forfeit fee for the intramural event. Subsequent forfeits can result in loss of playoff eligibility and potential removal from the event. To avoid forfeits, the IM Office provides captains with a "cancellation request" procedure.
Cancellation Request Procedure Any team captain aware of an impending forfeit must contact the IM Office with a "Cancellation Request." Cancellation Requests must be received by 12:00pm on the day of the game in question. Any cancellation requests made beyond this deadline are not valid and will be deemed as a forfeit. Any team that successfully submits a cancellation request will be credited with a "Loss" HOWEVER, the team retains its forfeit fee and playoff eligibility. Sportsmanship rating will be a 2.0. How to Submit a Cancellation Request To submit a cancellation request, send an email entitled "IM Cancellation Request" to
[email protected]. Include the following information: ● ● ● ●
Team Name and Division Captain's Name Date and Time of cancellation request Opponent's Team Name
Sportsmanship System IM officials issue a sportsmanship rating for each IM game. Sportsmanship scores are used in playoff tiebreakers and for team awards. Each team must have a minimum (3.0) rating to be eligible for advancement into the playoffs. Team captains are required to acknowledge and sign
off on sportsmanship scores after each game. The sportsmanship rating scale is specified below. Ratings are ultimately at the discretion of the game crew. (4.0) Exemplary behavior. Respectful towards officials and opponents. (3.5) Good behavior. Minimal arguing over calls, minimal physical play. (3.0) Behavior is generally good. Play is too physical at times. Occasional arguing over calls or verbal exchange with opponents. Maximum rating for an unsportsmanlike penalty or technical foul. (2.5) Behavior is inappropriate. Notable verbal abuse of officials or opponents. Play is often rough. Warnings were required by IM staff. (2.0) Behavior is consistently inappropriate, despite warnings from IM Staff. Play is dangerous and interactions with staff and opponents are willfully disrespectful. Team captain fails to control players. Maximum rating for a player ejection. (1.5 and below) Behavior is abusive and unacceptable for inclusion into IMs. Verbal and/or physical abuse warrants suspension from IM programs and possible referral to GUPD and the Office of Student Conduct. Ejections Upon notification of removal from an IM event, the ejected player must immediately leave the game site. Suspensions will be issued at the discretion of the Head Official(s) after reviewing ejection circumstances. Whenever possible, suspension details (if any) will be emailed within 36 hours of the ejection. Suspensions When issued, suspensions will vary at the discretion of the Head Official(s). A meeting with IM Director(s) and Head Official(s) may be required before eligibility is restored. Suspended players that attempt to participate in any IM event will receive indefinite suspension and may be subject to removal of Yates Field House privileges. Teams that use a suspended player will receive game forfeiture and possible removal from the event.
Playoffs Rules Each major league event will be followed by a playoff tournament. Total numbers of advancing teams will depend on the league and division. In case of ties, cumulative sportsmanship score and points allowed will be used to determine the advancing team. The tiebreaker will be determined as follows:
1. HeadtoHead 2. Sportsmanship Rating 3. Points against Playoff teams must maintain a 3.0 sportsmanship score in each playoff game in order to advance.
Inclement Weather In case of bad weather, players should assume that all games are ON as scheduled, until notified otherwise by the IM Staff. Whenever possible, weather cancellations will be made at least 2 hours before the beginning of a game shift. We will do our best to reschedule cancelled games. For cases of bad weather when a shift is underway, the IM Supervisors on duty will make all decisions on game postponements. IM Sports follows a strict 30/30 lightning policy. Once lightning clears, IM staff must wait 30 minutes before resuming games. In some cases, some games will be postponed, but later games may be played once the bad weather dissipates.
Alcohol and Substances Policy Use of alcohol and controlled substances is prohibited by all participants AND spectators, regardless of age, at IM events. Players & teams that violate this policy will be removed from the event & lose their forfeit fee and may also be referred to the Office of Student Conduct at the discretion of the IM Office. Sunflower seeds & tobacco products are also prohibited, as they cause significant litter on the fields. Trash of this type left on the fields may cause the IM Office to lose access to outdoor facilities.
First Aid Policy IM staff are NOT authorized to treat injuries during IM events. Staff can provide bandaids and ice for players to use. For significant injuries, IM staff will contact GERMS or D.C. emergency response as needed. An injury report must be filled out for any treatment given. If a player refuses treatment or GERMS, he or she must sign for refusal of care.
