AIM Internship Overview
March 2016
AIM Internships have been designed to allow students to gain practical experience across a variety of core business areas within the AIM organisation. AIM Internships offer students the opportunity to enhance their capabilities through participation across a variety of projects designed to facilitate on-the-job learning. By participating in an internship, not only will students gain valuable experience and insights into day-to-day business practices, they will also develop a greater understanding of their desired career path.
Internship Guidelines This handbook is applicable to all AIM Student Members (AIMs) participating in an internship through the AIM Membership Division. All AIM internships are offered for one full day per week over a period of 8 consecutive weeks. Internships are paid at the rate specified in the Internship Agreement (to be provided to interns prior to the commencement of an internship). All internships must be completed in the timeframe specified in the Internship Agreement.
Roles and Responsibilities Intern Responsibilities Pre-Internship It is important to ensure that AIM has all the required information prior to interns commencing their internship. Interns must: • •

complete all relevant HR documentation and return signed documents to their Workplace Supervisor within the specified timeframe read their position description carefully and make a note of any questions they may have. These questions must be brought along on the first day of the internship so that the Workplace Supervisor can address them. respond promptly to any requests for information or correspondence from their Workplace Supervisor.

Internship Handbook March 2016 During the Internship It is expected that all interns display and maintain a high level of professionalism throughout their internship. Adhering to the following will assist interns with this: • • • •
Complete the Learning and Development Plan (see Appendix A) in conjunction with the Workplace Supervisor (this should be done on day one). Be punctual and adhere to all company policies. Attend all work days. In the event of absence from work due to illness, interns must contact their supervisor immediately to notify them. Keep a Learning and Development Activity Log (see Appendix A) detailing daily experiences, the work completed and the things learnt for use in post-internship discussions.
Post-Internship Providing and reviewing feedback from the internship will allow interns to further their development beyond the time spent working at AIM. Interns should: • •
provide honest and accurate feedback to AIM via the Interim Evaluation and Exit Reports (see Appendix A) for the purposes of program improvement discuss the Evaluation Report with the Workplace Supervisor and other parties such as university careers centre contact/advisors so as to identify opportunities to build on strengths and bridge any skill gaps.
AIM Responsibilities Pre-Internship AIM is responsible for providing their interns with the following items prior to the commencement of their internship: • • •
Position description Employment contract (for the duration of the internship) Details of their internship Workplace Supervisor and Workplace Mentor
AIM will also provide compulsory induction for each Workplace Mentor to ensure that they are familiar with all relevant policies and procedures needed to assist their intern for the duration of the internship.
During the Internship • Detailed workplace orientation (see Appendix B for full checklist) including an introduction to colleagues, an overview of company policies and procedures, a safety induction, and a tour of the workplace. • Practical guidance and assistance throughout the duration of their internship including provision of a Workplace Mentor to provide necessary support, a clear complaints/dispute resolution process and all appropriate resources needed to fulfil their job requirements. Internship Handbook March 2016 • Assistance in creating a tailored intern Learning and Development Plan (see Appendix A) to ensure that the internship results in the attainment of clear objectives for both the intern and the organisation. • Meaningful tasks and/or projects to work on.
Post-Internship • Provide honest and accurate feedback to the intern via the Progress and Final Intern Evaluation Reports (see Appendix B). • Take on-board feedback from interns as to how the AIM Internship Program may be improved and (where possible) implement these changes for the betterment of the program.
Workplace Supervisor and Workplace Mentor What is the difference between a Workplace Supervisor and a Workplace Mentor? Interns will be assigned both a Workplace Supervisor and a Workplace Mentor for the duration of their internship. A Workplace Supervisor is the person that is assigned to act as a manager during the internship. This is the person interns will report to on a daily basis and who will guide them through the work projects and assist in fulfilling the objectives outlined in the intern’s learning and development plan. A Workplace Mentor is the person who is assigned to act as a ‘work buddy’ during the internship. The Mentor is there to ensure that interns have sufficient support and someone to talk to in the unlikely event that they have any issues with their Workplace Supervisor or other colleagues. Duty of care requires that Workplace Mentors undertake all reasonable steps to ensure the safety of the intern for the duration of the internship. Any intern experiencing difficulties should speak with their Workplace Mentor immediately.
Learning and Development Plan Each intern is required to create a Learning and Development Plan in conjunction with their Workplace Supervisor in order to establish clear learning objectives for their internship. By tailoring the learning objectives to the needs of the individual, as well as ensuring alignment with AIM business needs, it creates a more relevant and valuable learning partnership. A template for your Learning and Development Plan is included in Appendix A of this document. The S.M.A.R.T method is extremely useful in goal setting as it helps to ensure that interns consider all aspects of their goals. As such, it is important that interns follow this method when setting their learning objectives in their development plan: Page 4 of 27

Australian Institute of Management of 7 Macquarie Place, Sydney in the State of New South Wales ("Australian Institute of Management") INSERT NAME of INSERT ADDRESS in the State of NSW ("The Intern")
Background For the purpose of assisting the Intern to obtain work experience, Australian Institute of Management has agreed to offer the Intern a paid internship ("the Internship") with Australian Institute of Management's INSERT NAME OF UNIT/DEPARTMENT. The Intern has accepted Australian Institute of Management's offer on the terms set out in this Deed.
THIS DEED WITNESSES that in consideration of, among other things, the mutual promises contained in this Deed, the parties agree:
Interpretation In this Deed: "Confidential Information" means the following, whether oral, written, electronic or in other form: (a)
the terms of this Internship Deed and its subject matter;
(b)
all information, intellectual property rights, know-how, technology, trade secrets, proprietary information, proposals, tenders, contracts, plans, goals, objectives, personal information, specifications, drawings, data, software, manuals, diagrams, graphs, charts, projections, specifications, formulae, estimates, concepts, documents, accounts, plans, designs, techniques, processes, client lists, correspondence, letters and papers of every description (and copies and extracts made of or from such information) relating to: (i)
Australian Institute of Management or any of its Related Body Corporates, suppliers, business associates, customers or potential customers;
(ii)
the operations, dealings, organisation, business, processes, dealings, finance, strategies, policies, transactions, prospects, markets, customers, know-how of Australian Institute of Management;

and including without limitation that which is not specifically marked or identified as such would reasonably be regarded as secret commercial information of the owners, but excluding any such information which: (i)
was lawfully known to or in the Intern's possession or control without restriction prior to the Intern performing the Internship; or
(ii)
is in the public domain or subsequently enters the public domain other than as a result of a breach of this Internship Deed.
"Intellectual Property Rights" means all intellectual and industrial property rights, including without limitation copyright, trademarks or trade names, patents, designs (whether registered or pending registration), goodwill, trade secrets, secret processes, moral rights, the right to have confidential information kept confidential and other like rights whether arising by common law or by statute; "Australian Institute of Management's Intellectual Property" means all intellectual and industrial property rights owned or licensed to Australian Institute of Management at the time of entering this Internship Deed or subsequently acquired or developed (directly or indirectly) by or for Australian Institute of Management or licensed to Australian Institute of Management during the term of the Internship Deed; "Works" means all Intellectual Property Rights and any Documents created by the Intern during the course of the Intern's employment with Australian Institute of Management; and unless the context herein indicates a contrary intention: (c)
"person" includes an individual, the estate of an individual, a corporation, an authority, an association or a joint venture (whether incorporated or unincorporated), a partnership and a trust;
(d)
a reference to a party includes that party's executors, administrators, successors and permitted assigns, including persons taking by way of novation;
(e)
a reference to a document (including this Deed) is to that document as varied, novated, ratified or replaced from time to time;
(f)
a reference to a statute includes its delegated legislation and a reference to a statute or delegated legislation or a provision of either includes consolidations, amendments, re-enactments and replacements;
(g)
a word importing the singular includes the plural (and vice versa), and a word indicating a gender includes every other gender;
(h)
a reference to a party, clause, schedule, exhibit, attachment or annexure is a reference to a party, clause, schedule, exhibit, attachment or annexure to or of this Deed, and a reference to this Deed includes all schedules, exhibits, attachments and annexures to it;
(i)
if a word or phrase is given a defined meaning, any other part of speech or grammatical form of that word or phrase has a corresponding meaning; and

"includes" in any form is not a word of limitation.
Nature of the Internship Australian Institute of Management and the Intern agree that the Internship is a work experience one only. The Intern will receive a payment of $ over for performing any work during the Internship and will not for any purpose become an employee of Australian Institute of Management Group Limited as a result of performing the Internship.
Term of the Internship The Internship will commence on INSERT DATE ("Commencement Date") and (subject to clause 5) end on INSERT DATE ("Cessation Date"). The Internship may not be extended beyond the Cessation Date except by further Deed in writing executed by the Parties. The Internship may be terminated prior to the Cessation Date in accordance with clause 5 of this Internship Deed.
Intern's Obligations and Acknowledgements While performing the Internship, the Intern agrees and acknowledges the Intern's obligation to: perform all work allocated to the Intern to the best of the Intern's ability; exercise all due care and skill; comply with all lawful and reasonable directions and instructions given to the Intern by officers or employees of Australian Institute of Management during the course of the Internship; comply with any and all Australian Institute of Management policies and procedures that apply, or may apply, to the Intern during the course of the Internship; at all times comply with any and all legislation, codes or guidelines, in whatever form, that are applicable to the Intern; and undergo any and all training that Australian Institute of Management deems necessary to enable the Intern to safely and efficiently perform the Intern's duties during the Internship. At all times, including after the Internship, the Intern agrees and acknowledges that:

the Intern will keep confidential any and all Confidential Information of Australian Institute of Management that comes into the Intern's possession; all Intellectual Property Rights developed by the Intern while the Intern is performing the Internship under the Internship Deed are hereby assigned to and vest in Australian Institute of Management immediately as created; Australian Institute of Management owns and retains all rights at all times to Australian Institute of Management's Intellectual Property; that nothing in this Internship Deed, nor the performance of the Intern's obligations under this Internship Deed, will be construed as granting, or giving rise to, any proprietary right or interest in favour of the Intern in any Works or Australian Institute of Management's Intellectual Property; the Intern must not, otherwise than at the written direction of Australian Institute of Management, apply for registration of, nor in any way do anything to infringe on, harm or contest the right of Australian Institute of Management, or any person approved in writing by Australian Institute of Management, in or to any Works or Australian Institute of Management's Intellectual Property; the Intern will execute all documents and do all things that are necessary or desirable to give effect to this clause; and The Intern consents to Australian Institute of Management using the Works without reference to the Intern and without regard for the Intern's moral rights and the Intern releases Australian Institute of Management from any liability, which may arise, in relation to the Intern's moral rights in the Works.
Termination of Internship The Intern accepts that the internship may be terminated prior to the Cessation Date, at Australian Institute of Management's sole discretion.
Insurance The Intern acknowledges that, for the duration of the Internship, the Intern is not a "worker" within the meaning of the Accident Compensation Act 1985 (Vic) and is not entitled to claim under Australian Institute of Management's workers' compensation insurance. However, should the Intern suffer an injury during the course of the Internship, Australian Institute of Management may, at its sole discretion, make a claim under its insurance policies in existence from time to time.

Indemnity Subject to clause 5 of this Internship Deed, the Intern hereby indemnifies and unconditionally releases Australian Institute of Management and its officers, employees and agents from any Claims against Australian Institute of Management and its officers, employees and agents that may be made by:

the Intern, in relation to the Intern's performance of the Internship; or
(b)
any other person who makes any Claim that relates to the Intern's conduct in the course of the Internship.
General (a)
This Deed is governed by the laws of New South Wales and the parties submit to the exclusive jurisdiction of the courts of New South Wales.
(b)
This Deed constitutes the entire Deed between the parties as to its subject matter to the exclusion of any prior Deed whether written or oral, express or in any way implied.
(c)
This Deed may only be varied by amendment in writing and executed by both parties.
(d)
In this Deed a reference to Australian Institute of Management shall be read as a reference to and including as appropriate, Australian Institute of Management's successor, transferee and assignees.
Counterparts This Deed may be executed in any number of counterparts and by the parties on separate counterparts. Each counterpart constitutes the deed of each party who has executed and delivered that counterpart.
