Old Business Review / Approve meeting minutes from June – Brian Smith motioned, Brian Owen seconded, approved unanimously without change Andrew Pillsbury – Minnesota Positive Coaching Alliance was to present. He was unable to make the Board meeting. We are looking to have him present at the August meetings. It was suggested that we continue to invite individuals who are interested in board positions to our upcoming meetings. We hope to have some individuals present at the August meeting.

Discussion of splitting teams and level they will be playing at. This will be discussed with the new board starting in October

Board Reports: 13-15 Age Group Coordinator o Not present 10-12 Age Group Coordinator o Discussion of next year’s tournaments. Are there additional places teams would like to play (i.e. nonmetro vs. metro). Will continue to discuss at upcoming board meetings. Treasurer o Mike went through the YTD numbers. Seem to be on track in most areas. Still waiting for final invoices for tournament umpires and field usage. The board will need to determine how to facilitate reserve dollars for next season. Possible discussion around updating dugouts at VMS. Secretary o No report Concessions o Discussion topic for the next board will need to be around outsourcing concessions to other organizations (i.e. football boosters, baseball boosters, etc.) where they are in charge of all aspects of concessions. AVTB would make up the difference in potential increased fees but the advantage would be in not having families having to run concessions during tournaments. We will still need a Concession Director from the board to facilitate all activities. Equipment o Will be requesting coaches turn in equipment bags now that the season is complete. Fields o Discussion of issues at certain fields during the year relative to drainage and preparation. Also discussed adding onto “shed” at VMS for additional storage. Tournament Registrar o No Report Tournament Coordinator o Discussed again the challenge of finding tournament directors for the weekends we have no teams playing. Need to make sure this is addressed for next year. Proposed a documented Refund Policy in case of rain shortened or rained out tournaments. Proposal No games played – full refund 1 game played - $200 refund 2 games or more played – No refund Jason Sanders proposed, 2nd by Kirby Hoeft. Voted all in favor. So passed Also proposed those teams that sign up for tournaments, but then “back out”. How do we refund? Proposal 2 months out from tournament date – Refund $200 of the $350 1 month out from tournament date – No money refund (at discretion of board) but we will do our due diligence to find a replacement on their behalf. Motioned by Mike, 2nd by Brian Owen – Voted and passed

We must continue to recruit new members to add to the board. Next meeting will be August 11, 2014 at 7:00pm. Meeting was adjourned at 8:45, Kirby H. motioned, Brian Smith. seconded, unanimous.
