VUSC Business 1) President’s Report 1) Meeting with VAA 3/20 at 9:45 am - to formalize the transition from VUSC to BVU 2) Formal vote for MYSA record regarding merger with BFSC to form BVU – VOTE Formal approval of merger – APPROVED by VUSC Board. 2) Director Reports 1) Treasurer i) Financial Report – REVIEW AND APPROVE February financials Sparkle emailed February financials; APPROVED. ii) Prepare for process of transferring funds to BVU bank account late in season Transfer of funds to BVU should be done through Allison. iii) Team Fee reconciliation process in place with Molly and team managers? TBD 2) Boys & Girls Directors i) Teams are training! ii) Review Base Team Fee holdouts – assign contact lists • 86% of players are paid/current. 35 families with issues. 4 major issues. • Discussed and decided to release 3 BU17 player’s passes for tournament play. • Sam to email team managers with delinquencies. • Talked about a review of payment policy. iii) Confirm all Girls and Boys registered are on a roster BU16 team outliers (Meza, Garcia, Westendorf). Jay to coordinate. iv) May 1 Intraclub transfer deadline and play begins 3) Vice President i) Mine Survey Monkey feedback for useful comments 4) Uniform Director i) ETA on Lotto order? ii) Any Coach/Trainer or Keeper shirts in stock? Derrick has Coaches shirts. Keith has Keeper shirts. iii) Compile list for uniform credits – transfer to BVU iv) January & February 2017 minutes – REVIEW AND APPROVE Both APPROVED. 5) Manager & Website/Communication i) March 31 game rescheduling begins & Apr 14 it ends ii) Team Fee reconciliation process in place with Molly and Sparkle? TBD iii) Teams and contacts list to website Adult passes say “Coach” or “Manager”, enter into Affinity with the correct “role”.

• Discussed adding a “BVU Info” addition to the website; Kim TO DO? 6) Registrar i) All teams registered with Affinity by March 6 deadline ii) No Pay No Play Deadline – April 15 iii) Update on quantity of players with Fees Owed iv) Update on status of available Financial Assistance funds v) May 1 Intraclub transfer deadline and Play begins vi) June 16 New Player deadline 7) Fields/Indoor Space Director i) March 21 schedule released for fields and April 14 schedules locked Fields have been assigned to scheduled games. ii) Special Use dates – Academy Match date (AVIT), June 12-16 Footholde camp iii) Ref clinics – Mar 18 (recert) & Apr 22 (entry level) iv) Backup space secured for May 15 & 16 picture days? Complete; Mary coordinated. 8) DOC & Academy Director i) All teams have coaches! ii) Work with Tom Noonan to determine assistant coaches for VDP Coach to player ratio discussed. iii) April 17/18 & 24/25 ODP Tryouts for 2000, 2001, 2002 in Maple Grove iv) All coach contracts finalized except BU17 v) Spring coach meeting date TENTATIVE – Mid-April 9) Technical & Equipment Coordinator i) Plan to install nets on outdoor goals New nets are on order. First Aid supplies are on order. Still responsible for VAA nets? – Wendy to investigate. ii) Create plan to collect ALL VUSC equipment at end of season 10) AVIT Tournament Director Tournament registration has been great so far. 64 total teams with 51 being non-VUSC. • AVIT planning email to come out in April. ii) Promote BVU at AVIT tourney iii) 2016 Sponsorship collections –Hirschfields $375 iv) 2017 Sponsors v) Email blasts to solicit registrations – club DOCs/Presidents & VUSC teams Rolf needs a DOC/Coach email list? • Add sponsorship logos to email blasts vi) Bracket committee meeting date 11) Volunteer Coordinator Report i) Begin to post AVIT shifts No Field Marshall Coordinator position this year. Make that a Floater instead. • Note: Friday night will be a heavier schedule this year. ii) Process for collecting buyout money 12) Recruiting/Marketing Director i) Caribou event – we have 6 lbs of coffee and $30 g.c to use ii) Healthy Parks / Healthy People – quarterly for VAA & EVAA Misc: BV United Town Hall Meetings went well. Meeting adjourned at 9:18PM. Next Board Meeting: No meeting in April. May 21 @ 8:15pm 90% focused on AVIT.
