Opportunity Replace IBM Lotus Notes with a modern, integrated solution for communication WASGAU AG had an IBM Lotus Notes environment for internal and external communication. The administration of approximately 700 Lotus Notes users proved to be increasingly difficult and time consuming. Adding to this, the fax and UMS solution used by WASGAU AG had reached its “end-of-life” cycle and had to be replaced by a new, integrated solution.
WASGAU Produktions & Handels AG (WASGAU) is a company with more than 4,000 employees. It is present in more than 90 consumer markets and owns two production facilities and seven cash-and-carry markets. This makes WASGAU AG the regional specialist for fresh and quality-controlled food in Rheinland-Pfalz, Saarland, in northwest Baden-Wuerttemberg, as well as, in South Hessen since 1925.

This resource hungry environment, the resulting problems with the IBM Lotus Notes client, and the high administration costs increased the urgent need to find a replacement. The task of finding a modern, efficient and integrated solution that could replace its current environment was set in motion. WASGAU conducted a round of extensive tests of various collaboration solutions, including Zimbra. Due to its high performance, scalability and adaptability, Zimbra was chosen. Virtual Network Consult (VNC) was selected to perform the Zimbra integration.

Solution Open source communication platform for lower operating costs and greater flexibility and transparency As the future communication platform for WASGAU AG, Zimbra was carefully examined and deemed more than suitable to replace the incumbent system. The objective was for Zimbra to provide all functions of email communication, scheduling, address management, file storage and data provisioning for appointments, documents and more. One specific requirement was that the central management and the management process of all Zimbra be automated as quickly as possible. To realize the fax functionality, two additional software components were to be integrated with Zimbra: Asterisk, a modern Open Source PBX system, and HylaFax. This solution allows users to send faxes via Zimbra and share one central fax address book. On the hardware side, the fax solution would be built on a gateway by beroNet. During the planning stage, this combination proved to be more economical than a comparable proprietary solution, which had also been under consideration. One important criteria of the proposed approach was

to exclusively use open source components. Open source software solutions stand out because of their extremely low operating costs and substantial freedom from licensing and update costs. Also, non-proprietary software enables corporations to build technically transparent and, consequently, extremely safe communication solutions.
Results VNC smoothly transitions all 700 WASGAU employees to Zimbra with the push of a button The migration from IBM Lotus Notes to Zimbra took place within a timeframe of about four months, after the completion of detailed planning workshops with the customer. The new communications platform was to be implemented on site, but the project implementation itself was done remotely. Considering the scale of this project, this was a rather unconventional approach and required some work on both sides. However, this was not a problem for WASGAU AG. In fact, the company was very open to such an approach and later commented on this type of cooperation in a very positive manner. During the migration process, 700 mailboxes - including their contents - were successfully migrated to the new environment. This corresponded to an overall data volume of about 1.5 terabyte in calendar, mail, address book and user details. Migrating data and users was done during regular business hours, while the platform change was carried out over a single weekend. The thorough preparation process ensured the change went smoothly, with the push of a button and without any downtime.
