Webster Youth Hockey Association March Committee Meeting March 20, 2014 7:00 pm In Attendance: R. Abraham, F. Campbell, T. Flaherty, J. Hall, T. Hall, S. Hildenbrand, S. Hill, C. Provenzano, T. Klee, G. Stappenbeck, T. Van Dyne Topic Discussions Actions Approval of Minutes None Announcements -T. Klee wondered if we had made any -Place S. Hill as the WYHA point person for RWB Old Business: decisions about our RWB teams; perhaps for the organization and Empire. Committee Reports building a select team. -T. Van Dyne will email T. Klee the Empire 1. House – Rick Abraham/ C. -J. Hall said they want to break it into three meeting invite for RWB discussion meetings. Provenzano House Evaluations dates are set: different levels by skill to get competition Monday, March 24, 2014 more even 6-9PM - Empire recommendations are to have a Tuesday, April 1, 2014 Jamboree early to determine competition level. 6-9PM. -J. Hall suggested we have a point person from On-Ice & Clipboard help is still needed WYHA, and J. Hall recommended S. Hill for House Registration live on website this point person. House Coaching Applications live on -S. Hill volunteered to be the point person for website WYHA. New House Jerseys 2. VP Hockey Operations – Tim Byrnes All team patches have been distributed to the teams in their mailboxes and notified by email.

3. Travel – Fred Campbell Communication and website will be updated following our vote on Thursday. 4. Beginner Dev. Program – Jeff Coffed For beginners, the only things worth noting are: Only 4 sessions left (two Wednesdays and two Saturdays) Todd gave us the end of season pins – thanks I will be letting parents know their path forward for next season (house evaluations) 5. Ice/Ref Scheduling – Jeff Hall All ice has been scheduled and final bills have been sent to appropriate teams. I have been asked about the WNYAHL play off fees that will be paid by the organization and whether teams are responsible for this charge. Bantam Major is looking for a refund for its unused ice due to a modified season. 5 hours under allotment. This will be discussed at the officers’ meeting.

There will be no more referees scheduled I will have the lap top ready to be handed in at the April committee meeting I will officially no longer be the schedule at the time of this lap top exchange (Yahooo!!) 6. Boulter – Rick Abraham I wanted to thank everyone for all the help with the Boulter Tournament. Tom & Barb Klee went above and beyond with all they did for WYHA. Heather, Frank, Tim, Maura, Tammy & Val’s efforts showed in the ease in which the weekends went seamlessly. Thanks to all the officers for their help during the Boulter weekends. We made around $1800.00 on the raffle tables. I need to get all of the numbers together to give an accurate final report. Don’t have all of the income vs. expenses information. 7. Equipment – Frank Riggi Sent out today an email to Travel Coaches/Mgrs to begin to return alternate player jerseys. Sent out today an email to House Coaches/Mgrs. to return RWB Loaner Goalie 9 pc. Sets. We have 8 sets. Many 3

have come back incomplete and filled with personal, dirty belongings. Pucks and Pails should be returned by coaches who will not be coaching here next year. Request included in both above sent emails. Sample House jersey viewed by Todd and Rick. Liked. Travel Tryout jerseys ordered and delivered in one week’s time by Pro Shop and me! Travel socks are in.. House socks are going to be different and use different vendor. More info to come. 8. Girls – Tammy Hall 14U NTB (DeYoung) won a tournament in Tonawanda last weekend. Team had an extremely successful year. Girls not interested in the travel program can be evaluated on 3/24 6pm for 10U, 3/24 7pm for 12U/14U/16U or 4/1 6pm for 10U, 4/1 7pm for 12U, 14U, 16U and will 9. ACE – Jeff Hall Coaches Thanks You/ADM meeting went well. About 25 coaches attended. All very supportive of the ADM with many suggestions on how coaches can work together to utilize their shared ice. Also felt that more gatherings/meetings where the coaches could discuss their ideas and concerns would be a good thing. All Training is complete and I will have a final training cost spreadsheet complete for the April committee meeting. 5

-Discussion around putting guidelines in place for playing up or down in travel. -Is it a matter of talent, fielding a team, or parent demands.

-For this set of tryouts, F. Campbell, as travel director, will make the decisions. -Officer Board will begin to discuss putting a procedure in place for next year.

10. Registrar – Darrin Jones 75 releases have been asked for and delivered. Usa Hockey will be live for registration s beginning April 1st. I need to speak directly to Bill (need a contact number) or I set up the registrations and he does not need to do so. Also Bill needs to make sure all the previous year’s registrations are closed. USA hockey rosters will be all completed online this year, so new player birth certificates will need to be collected for every age group including beginners. As for house eval night, forms are ready to go…just need to make sure that either Tom or I are available for those nights to capture credit cards. 11. USA/NYSAHA – Tom Klee *Tom was unintentionally eliminated from email distribution list, so he gave his report live.

-Championships for House at Rochester Youth – not happy – want to come back to Webster. -Refund for play downs - WYHA overpaid. -Coaches/Managers Dinner eliminated – money put into education and other programming – thank you happy hour for coaches was done last week.

12. Treasurer – Tom Flaherty

-West Section spring meeting – April 12th (Northtown) at noon – no agenda yet. -T. Flaherty still in discussion with Yeger and Taviso about working with the organization to take over more of the day to day functions of the organization.

T. Flaherty will meet with organization’s accountant to review the books and account for our new purchases on Monday, March 24th.

13. Secretary – Susie Hildenbrand No report. New Business: 1. Shane Hill - Equipment rental program

-

Retention of coaches

-Wants to start an equipment rental program for beginners to alleviate the costs until they are sure they want to commit. -USA Hockey has a 2 plus 2 program that might be worth looking into it.

-T. Flaherty will ask the accountant about how to collect old equipment for a tax receipt. -S. Hill/G. Stappenbeck will come back to the next meeting with a proposal to start the equipment program here.

-His son has had seven different coaches in the past few years, and it is a concern. -T. Van Dyne presented that John Desick will be our new Beginner/Developmental Program head to help mentor young coaches. -J. Hall stated that the new ADM program will also provide more support to new coaches.

- RWB Roster is incorrect -G. Stappenbeck will contact D. Jones to fix the roster. --

Action Items: F. Campbell Will make the decisions about playing up or down for travel teams this season, but continue to work with the officer board to put procedures in place for future seasons. T. Flaherty Will meet with organization’s accountant to review the books and account for our new purchases on Monday, March 24 th.
