Background The C40 Cities Climate Leadership Group, now in its 12th year, connects more than 90 of the world’s greatest cities which have committed to tackling climate change. We bring mayors from around the world together to learn from each other in reducing greenhouse gas emissions and creating resilient, sustainable and low carbon cities. C40 cities represent more than 650 million urban citizens and their economies account for 25% of global GDP. Our recent ‘Deadline 2020’ report sets out the critical role that the world’s major cities have to play in delivering the historic Paris Agreement to prevent catastrophic climate change. C40’s growing team of 100+ staff is headquartered in London, with offices in New York, Rio de Janeiro, Copenhagen, Beijing and Paris, and individual staff based across 25+ different locations. C40 has an operating budget of c.$25m per year and is primarily funded through the generous support of philanthropic foundations. The strategic direction of the organization is determined by an elected Steering Committee of C40 mayors, which is chaired by the Mayor of Paris, Anne Hidalgo. Three-term Mayor of New York City Michael R. Bloomberg serves as President of the Board of Directors, which is responsible for operational oversight. An eight person management team, led by Executive Director, Mark Watts, leads the day-to-day management of C40. C40 Initiatives & Networks To drive city-to-city collaboration, C40 convenes networks - active and dynamic working groups of C40 cities that have identified common opportunities, interests and priorities. These networks are organized under overarching thematic initiatives: Adaptation; Energy & Buildings; Waste & Water, Urban Planning & Development; and Transportation. Each network has typically one workshop each year, which is a unique opportunity for cities to meet face-to-face and build strong working relationships, identify opportunities to collaborate and learn from one another in order to further their priority climate actions, and to set the medium-long term work plan for the network. Position Description The Workshop Project Officer works closely with the GI Programme Manager, Initiative Heads and Network Managers to ensure the effective and professional delivery of approximately 18 network workshops and side events per year (some of which the officer will attend) in an array of international cities, such as Bogota, Chicago, Stockholm, Yokohama and Dar es Salaam. They will be charged with organizing complex logistical planning for multiple workshops and juggle competing demands throughout the year, working to accommodate differing objectives, event formats, adjoining events, and city tours and visits relevant to the climate change action area of the network. Workshops are typically attended by 10-20 city representatives from global locations, and need to be delivered to an exceptional standard. As the Workshop Project Officer gains more expertise in C40 workshop delivery, they will also play a crucial role in workshop agenda development and be an authority on workshop best practice across the organization. Responsibilities: • Support C40 Global Initiatives team to ensure that network workshops align with C40’s mission and design event programming to achieve high-quality, well-run events. • Manage all event logistics in coordination with the host city and relevant Initiative Head/Network Manager, including: scheduling, attendee tracking and management, visas, interpretation services, coordination of air travel and local travel, hotel contracts, meals and catering, site visits, equipment and materials, logistics briefings, etc. • Support the development of host city agreements, invitations, participants’ lists, confirmation letters, agendas, facilitators briefing and workshop reports as required. • Provide on-the-ground assistance (logistics lead) for at least 4-6 workshops a year. • Manage information storage & revision of workshop materials as needed. • Support quality control and internal learning, as well as maintaining overall workshop scheduling • Liaise with C40 Finance and Legal teams to coordinate flight reimbursements, invoice payments, and contracts management. • Coordinate with C40 Communications Team to develop event marketing and branding as needed. • Other duties as assigned. Strong interpersonal skills and the ability to engage professionally with C40 cities. Strong coordination, organisation and event management (logistics) experience. Problem-solving and strategic thinking capabilities, attention to detail and a delivery-oriented approach. Prioritisation and time management skills for planning multiple workshops at one time. Language skills: fluency in English (required); significant preference given to those that speak additional languages. • International experience, particularly working across different cultures, languages and time zones. • Relevant events management qualification will be an advantage. Other Requirements: Applicants must already have the right to work in the United Kingdom or the United States of America. Moderate to significant travel will be required, as part of the role (equating to approximately 25% to 30% travel).
