Minot Soccer Association Board Meeting Minutes January 5, 2016-‐ 6:30 pm-‐South Hardee’s __________________________________________________________________________________ Board Members Present: Mike Anderson, JoAnn Blake, Michelle Laukner, Nate Hagerott, Paul Lepp, Jon Van Deventer, Michelle Weishaar, Tanya Burke, Denise Markle. Director of coaching/coaches present: Jason Spain Guests present: Shawn Lennon Absent: Janel Feehan (Board Member), Donna Hegsted (Board Member), Steve Hopkins (Competitive Coordinator) Opening: The regular meeting of the Minot Soccer Association was called to order at 6:30pm at South Hardee’s by Michelle Weishaar. Approval of Minutes: The minutes from the previous meeting were unanimously approved and distributed. MSA received $1000 donation from Scheels. A thank you letter has been sent. Recreational Report Paint machine ordered. The cost was $2900.15. It should be delivered next week. It will be delivered to the Altringer building by the Weishaar family after it arrives. 102 kids registered. Reminders were sent out that the season was starting. JoAnn B delivered all the registration forms to the schools. Schedule: 4-‐5 year olds from 545-‐635pm /6-‐8 year olds from 645-‐735pm /9-‐12 year olds from 745-‐ 835pm Jason S has coaches lined up. We need volunteers to keep smaller kids in order. Team managers will receive email for volunteer hours for indoor rec instead of Volunteer Spot until Janel F returns from 1
vacation. Jason S would like to have older players help at his coaching sessions to get them involved and for players to receive volunteer hours for their families. Equipment-‐ We have plenty of balls, pennies and cones for rec sessions. 2nd registration for winter rec is coming soon. Adult League 34 teams signed up, 244 people, 125 games. There will be a 10 pm game on WED nights. There will be rosters for every team instead of player’s cards. Adult league volunteer hours needed. Will set up on Volunteer Spot. Competitive Report Steve H is still working remotely until he returns in mid-‐January. We are going to charge $5 per day or $10 per weekend for the Minot Indoor Tournament. This is similar to last year. We will need to post volunteer hours for the event so parents can plan ahead. January 15 is deadline for the 2nd part competitive winter registration fees. Team managers are to collect at this time. February 3 (6pm or 7pm) is the MSU Beaver signing day. MSU Coach Jason S would like to have a good showing there, perhaps players from our club. Location to be announced. March 17, 18, and 19-‐-‐-‐ State B Basketball— The MSU girls help with parking at MSU. They earn $1500.00 for Thursday/Friday/Saturday (7am-‐10pm). The competitive league will be at the Fargo tournament on Saturday, but may help on Thursday or Friday if they wish. Jason will need to know how many parents and what times they are available. Jen Wagner was looking into online payment option for the club. She was not present for discussion. All Seasons Arena Facility/Turf The turf is seamed together with heat tape by Travis Irwin. His cost was $1000.00. The tape is hard on the turf. When we roll it up, we will need to heat the tape up so it doesn’t rip the back of the turf. We discussed using Velcro strip to replace the tape. Jon V will check on the prices of sewing the Velcro on. Pat the Sewing Lady may be an option. Some of the high school kids were using the turf without permission from MSA, sometimes until 10 pm. Not all of the players were part of the MHS or MSA soccer programs. Michelle called the fair to make sure maintenance would not let them use the turf for safety reasons. Two sets of indoor goals were purchased last year for the All Seasons Arena. We still need some small goals brought over from the Altringer building for indoor rec (small fields). Jon Markle and his coworkers from RDO Equipment brought the turf and goals over to All Seasons Arena for their business community enrichment. Thank you! Michelle W and NDSF discussed the use of fork lift at All Seasons Arena. Make sure the person using it has experience. Jim’s welding fixed broken goals. A thank you letter has been sent. 2
Fundraising January 23 is the deadline for the coupon books-‐ If you sell 5 books, you receive a free book. Michelle L will send a reminder out to team managers for the deadline. We have opportunity to sell raffle tickets for the car raffle at the Hostfest. Requirements for this raffle would put us at a state level, requiring much more paperwork for taxes. MSA would get part of the profits. We may have Pamela Davey from Hostfest come to next board meeting to explain what MSA’s involvement would be. Board Positions Out-‐going members – Donna Hegstad, Janel Feehan, Michelle Weishaar, Michelle Laukner, Zona Schmidt Zona Schmidt is stepping down as treasurer. Open officer positions and interested parties are as follows: o President: Nate Hagerott o Vice President: Jon Van Deventer o Secretary: Tanya Burke o Treasurer: NONE A vote took place and all interested parties were elected unanimously. Motioned by Mike Anderson. Paul Lepp seconded the motion. MSA is looking for a treasurer. MSA is taking nominations for 4 open board positions. There will be voting at the annual meeting. Adjournment: Meeting was adjourned by Michelle Weishaar at 8:30pm. The next meeting will be the annual meeting at 6:30 pm on February 9, 2016 at Somerset Court.
