AYSO Region 599 - San Luis Obispo, CA Board Minutes October 16, 2017 SLO Business Center, 4251 South Higuera Suite 501 Attendees: Heather Billing, Nick Drews, David Marshall, Duane Hall, Todd Cooper, Brad Dolezal, James White, Dina Clark, Zac Self and John Freeman Conditionally Selected 2017/18 All Star Coaches: Desiree Dellinger (B10A), John Freeman (B10B), Chad Immoos (G10A), Roland Vanderhayden (B12A), Bruce Williams (B12B), Cynthia Perrine (G12A), Brad Dolezal (B14A), David Marshall (G14A) Absent: Jen Melton (G12B), Jay Cooper (G14B) • Call to Order & Intro: Heather Billing @ 6:30 PM • September 2017 Minutes: Motion to approve by Duane Hall second by Todd Cooper board approves unanimously with no changes. • Registration: James White • Fall registration is complete, will inform Waiting List that Fall season is closed. • Treasurer Report: Nick Drews • NAP password changed and new format. • Revenue $4,000 less than forecasted, credit card fees are a part of that ($2,000 - $3,000). • Expenses to date are as forecasted except for security in parking lot. • Equipment: Brad Dolezal • Ordering 10U Goal bags, ordered flags. • Coach Administrator and All Star Director: David Marshall • All Star Evaluation day 10/15/17: B10U-40 apps, G10U-25 app. B12U-45 app. G12U-38 apps. B14U-28 show up, G14U-25 girls show up. Coaches are available for all of the divisions. Most divisions will field 2 teams each. • Proposed cost per player for All Stars. $325.00. Scholarships cost is $100.00 no warm up jacket. • Todd motions to hold player fee to $300.00, each team must skip one tournament, player scholarship $100.00/no warm up jacket, AS uniform cost not to exceed $80.00. Nick seconds the motion. Motion passed unanimously. • Discussion regarding the All Star fees and Scholarship help we can offer as a region. • New Referee Deposit Policy covers all the referee deposits for all teams entered. It will only be held (then cashed if a check is not cut) if the Region does not fulfill all its obligations. If a team misses their ref assignment then they have to cover the cost prior to their next tournament. Heather motions, Duane seconds. Motion passed unanimously. • How are we to handle the ref swap of covering games for other regions at tournaments? Discussion. Area Q needs to clarify. • Jacket: keep the All Star SLO logo, or jacket with new region logo. (David Marshall) Motion to stick with the original logo. Group discussion included AS logo says All Stars region logo does not, how many of the AS appliques/patches are currently in stock, some families use AS gear season to season and to expect transition time to if we go with new region logo for AS. (John Freeman) Revise motion if Perfect Stich, Martina, has enough patches with Region AS logo in stock to cover 2017 AS season we will go with past AS SLO logo. If not, we will switch to the new region logo because we have patches of Region logo in stock and embroider “All Stars” on each jacket. Heather, seconds the revised motion. Motion passed unanimously. • Coach Administrator: David Marshall o Uncertified coaches- B10U-2 ; G10U-1; B14U-1; G14U-1 (Both 14U CoachesCertified but not in system). o EOS Tournament planning- schedule is out. More research needed from David to figure out the next step in organizing the tourney. Meeting with the division coordinator. Birth Certificates need to be checked-best route is using the division coordinators to validate birthdates (email, text, human contact). • CVPA: Todd Cooper o Nothing to report. • Safety: Dina Clark o Nothing to report. We can discuss a specific incident report at a later meeting. • Referee Admin and Webmaster: Duane Hall • Last training date for Regional Referee training was 10/13/17. Date is set by Area Q management, not our Region. • 10U build out line working well. Clarification on the release of the ball- that once the ball leaves the hands of the keeper the ball is live. It does not have to leave the penalty box. • Regional Commissioner’s Report – Heather Billing • 2018 SNT Update: Super Bowl weekend. Heather meeting with Tina, Contact Talley to ensure field space. • Parking lot security hired. Yellow jackets. • Madonna Inn volunteer dinner- November 9th • YSA Meeting Wednesday 10/18, Laguna Middle School- get schedule for All Stars coaches.
