  Ball  State  University                                                                    Coaching  Designation  Policy  &  Procedure    Athletics  Compliance  Office     NCAA   Bylaw   11.7.1   Designation   of   Coaching   Category.   An   individual   who   coaches   and   either   is   uncompensated   or   receives  compensation  or  remuneration  of  any  sort  from  the  institution,  even  if  such  compensation  or  remuneration  is   not  designated  for  coaching,  shall  be  designated  as  a  head  coach,  assistant  coach,  volunteer  coach,  graduate  assistant   coach  or  undergraduate  assistant  coach  by  certification  of  the  institution.   Documentation  Required:         Department  Individuals  Involved:   1. Countable  Coaches         1.  Head  Coach   2. Undergraduate  Student  Coach  Approval     2.  Athletics  Compliance  Office   3. Volunteer  Coach  Agreement   4. Student  Manager  Agreement     Policy:   1. Each   team   must   declare   the   names   of   each   full-­‐time   coach,   volunteer   coach,   graduate   assistant   coach,   undergraduate  student  coach,  and  student  manager  prior  to  each  academic  year.  Each  time  a  coaching  change  is   made,  the  head  coach  must  declare  the  change  to  the  Athletics  Compliance  Office.     2. If  a  sport  has  not  reached  its  limit  on  the  number  of  coaches  in  any  category,  any  type  of  coach  may  be  counted   in  said  category.     3. The   Athletics   Compliance   Office   is   responsible   to   ensure   all   coaches   listed   as   recruiters   on   the   Countable   Coaches  document  have  passed  the  NCAA  Coaches’  Certification  Examination  to  recruit  off-­‐campus.     4. Coaches  may  use  student-­‐athletes  as  coaches,  provided  they  meet  NCAA  rules  and  regulations,  and  receive  prior   approval   by   submitting   the   Undergraduate   Student   Coach   Approval   document   to   the   Athletics   Compliance   Office.  Coaches  may  utilize  volunteer  coaches,  provided  they  pass  the  NCAA  Coaches’  Certification  Examination   on  an  annual  basis,  follow  all  NCAA  rules  and  regulations,  and  complete  a  Volunteer  Coach  Agreement  prior  to   their   involvement   with   any   Ball   State   University   athletics   program.   This   includes   completing   and   submitting   information  for  a  background  check.  Coaches  may  use  student  managers,  provided  they  complete  the  Student   Manager  Agreement.     Procedure:     1. The  Athletics  Compliance  Office  will  distribute  the  Countable  Coaches  document  to  each  head  coach.     2. The  head  coach  will  complete  and  submit  the  Countable  Coaches  document  to  the  Athletics  Compliance  Office.     3. The   head   coach   will   keep   a   copy   on   file.   Any   time   a   coaching   change   occurs,   the   head   coach   must   submit   an   updated  Countable  Coaches  form  to  the  Athletics  Compliance  Office.     4. The   Athletics   Compliance   Office   will   work   with   the   Faculty   Athletic   Representative   to   certify   all   coaches   with   recruiting  responsibilities  have  passed  the  NCAA  Coaches’  Certification  Examination.     5. Coaches   wishing   to   utilize   student-­‐athletes   as   coaches   must   submit   to   the   Athletics   Compliance   Office   the   Undergraduate  Student  Coach  Approval.     6. All   volunteer   coaches   must   submit   to   the   Athletics   Compliance   Office   a   Volunteer   Coach   Agreement   prior   to   their  involvement  with  any  Ball  State  University  athletics  program.     7.
