Talk about it at work. Bring a guest to a chapter meeting Talk to instructors at various seminars or classes that you may be attending. Make sure your chapter has a brochure and that it is updated. Carry chapter brochures with you all the time. They can be left in doctors’ offices, on bulletin boards, in classes and seminars, anywhere you feel might help to get the word out. Gainesville will send out the letter that they use for potential membership.
Sometimes, no matter what you do, or how encouraging you are, you cannot get a member to a chapter meeting let alone get them involved in a committee or something. Discussion – Times a non-member can attend a chapter meeting Some chapters had no limit, and some had 2 or 3 meetings tops. Things discussed were: 1. How do they pay for their meals? 2. Do the other members feel it’s unfair for non-members to get the same educational benefit as a paying member? 3. Do other organizations have some sort of a policy on this? Discussion –New Member Orientation and Mentoring Both of these topics kind of blended into one another during this discussion. Items to help new members included: 1. Give them a package that would include a chapter brochure, a chapter directory (which led to discussion as to how many chapters had directories of their membership for their membership and surprisingly, there were quite a few that do not have a complete directory either given to the members or posted on their web sites), Info on certification, some breakdown of the structure of IAAP, instruction on the various web sites, a list of acronyms, committee descriptions, etc. 2. Do you hold orientation meetings? If so, how many per year or do you do it every time you have a new member? 3. Do you explain the various acronyms to new members? 4. Do you print out the membership card that they no longer get from headquarters? 5. Does your membership chair explain to them about requesting a pin when they sign up? 6. Do you assign a mentor to new members or do you have a new member orientation meeting and leave the chapter members to try and get info to the “newbies”? 7. Does someone go over everything in an orientation package and continue to tell them their value to the organization and the chapter. In other words, the personal touch? 8. Are there questions asked so that the membership can get a feel for the new member? It doesn’t need to be a one-onone relationship to get the same effect as a mentor. The entire chapter needs to stay involved. 9. A small group of mentors for each new member could be an ideal situation also. All the chapters seemed to have some sort of a program either already working or in the works to begin but all the information above seemed to help them with info to take back to their boards, membership chairs and chapter members.

Discussion – Chapter Web Sites There were various things that everyone felt should be included on a chapter web site: 1. The chapter brochure should be there and available for all members to utilize as we talked about above. 2. Every chapter should have a directory of its membership that includes all info that the chapter members would like to know about you. This should be kept in an area that is not open to the general public so that members know that their personal information is safe. 3. Every chapter should be putting out some sort of a newsletter to its membership AND all members should be shown how to become active in the egroups so that when these are posted, everyone is aware that they are there to read. It should be posted to the chapter web site AND to the egroups so other chapter members and officers can read it. 4. There are various web site carriers such as WIX or WEEBLY that are free along with sites that are inexpensive such as “homestead”, etc. Being with the web community is convenient because there is no designing necessary as everyone has the same branding, but it is expensive at $300.00 per year. If your chapter works toward Chapter of Excellence (COE) and they attain it, they receive $150.00 which can always go towards the total cost for maintaining a web site. 5. It is also helpful, as mentioned by the Gainesville chapter, to have a sheet with all the sign-ins and passwords to all things chapter (including banking, emails, web site, etc.) that is given to the board members so that any mistakes or misses concerning payments or anything can be handled by any one of them without a disruption of services. 6. Question: How Does a Chapter President “Connect” with Their Member? was asked by a First Coast member Suggestions from the group included: 1. Develop a cohesive relationship with the members one-on-one 2. Have some sort of a social event or a “retreat” where everyone can get to know one another 3. Have a “special” meeting once or twice a year that is strictly social Miscellaneous Discussion The question was asked whether any chapter had utilized Skype or Facetime so that members who could not come in person to a chapter meeting could still be included. The general consensus was that no one had tried that. A discussion ensured concerning trying to separate people at event meals, etc., so that the membership would be forced to network. Sometimes it works, sometimes not for reasons like the people switching their assigned seating or refusing to participate in it. The person who arranges this type of activity is usually the one who has to take the blame for it. Adjournment The meeting adjourned at 12:05 PM
