Purpose • Provide counts and measurements which can be used to forecast or estimate state and national YIELDS per acre • Provide counts and the weight of cotton left in the field after harvest • These data will be used to estimate HARVEST LOSS per acre

Purpose • Provide information about changes in ACREAGE intended for HARVEST that will result from fields being plowed up or destroyed after the June Agricultural Survey, but before harvest

Every Sample is Important • Accuracy Counts!! • Sample dimensions -> count area • 10 ft. count area + 3 ft. count area = 13 ft. x 3.2 feet (avg. row spacing from 2016) x 2 units per sample = 83.2 square feet per sample

• 83.2 / 43,560 (sq. ft. per acre) = .00191 acres per sample. • 6,600,000 planted acres • Each sample represents MANY acres • Small errors get amplified!

Pay attention to Details • Details, Details, Details • Everyone needs to follow procedures exactly the same way • Avoid careless mistakes • If you forget or are confused, refer to Interview’s Manual

Selecting a NEW FIELD (IM p.305) • If no cotton was planted in the sample field, an alternative field can be selected only if a new field (not originally listed on Table A) has been planted to upland cotton

Refusals Explain with a note and send all forms and kit envelop to Austin (Don’t estimate for Refusals)

Inaccessibles • If a Form A is inaccessible, do not make the field observation unless you know the operator personally, are sure no pesticides have been applied within the past three days and know for sure that the operator will allow you to use his field. – You must interview the farmer and complete Form A during the next visit to the sample field

• B forms for EVERY sample must be accounted for and needs to be sent in EVERY month until harvest – If inaccessible, make notes on the form and send into the office by the due date

Special Situations when returning to Field in Subsequent Months See page 501-503 of Interviewers Manual What if : 1. You can’t find unit – lay out new unit, add 5 more rows – code unit location box as 2 2. Farmer destroyed part of field – record dashes, and write note “Unit Destroyed” 3. Entire field final harvested, plowed, disked, etc. – write descriptive note. “Field final harvested” “Field hailed out and plowed”, Field abandoned”

Special Situations when returning to Field in Subsequent Months 4. Part of field containing one unit has been final harvested and other unit is still standing – Complete Form B for the unit still standing and answer items 18 & 19 5. Farmer will final harvest the sample before the next survey period – If 10 or more days - make counts just prior to harvest. If 9 or less days, this will be your final visit 6. Farmer is unsure when the field will be harvested – treat the sample as if will be the final harvest 7. Field was final harvested before the final visit – No counts are made, but complete item 18 on Form B, write note to say “field final harvested”

Shipping Procedures • UPS OY FORMS to the Southern Plains Regional Office (Austin) with Express envelopes

• UPS COTTON SAMPLES to the NOC (St Louis) using Tyvek envelopes

Turning in Completed Forms and Cotton Samples • Review your work for each sample before sending it • Make notes fully explaining problems or unusual situations

Shipping Procedures to Austin For A & B Forms: • Each supervisor will be provided UPS Return Service Labels & Express envelopes to hand out as needed • Business Reply envelopes for secure wrapping provided as needed

Shipping Procedures to National Lab For cotton samples and E Forms: • Each enumerator has 6 UPS Return Service labels per sample • Each sample kit bundle has 6 Tyvek envelopes • Gleaning bundle has one large and one regular Tyvek envelope • Let office know if you need more supplies

Ship UPS cotton samples to the lab the same day that you work the field

Weighing Cotton • • • •

All cotton should be weighed at home Select good location, garage, draft free Weigh same day the fieldwork is done Be sure to ID each bag before leaving field

Weighing Cotton Each reading should be checked twice before recording on Form B

Place the seed cotton from the first 10 bolls (or less) from both Unit 1 and Unit 2 in one poly bag, immediately after weighing

This ensures that the cotton maintains the same moisture as it had when it was initially weighed

Place cotton from both units in one bag, do not send separately

After placing the cotton into the poly bag, press all of the air out of the bag

Secure the poly bags tightly so air cannot get in the bag, using only One orange rubber band

Each poly bag must be identified by attaching a completed Sample ID tag to the outside of the bag with a rubber band

DO NOT insert the ID tag inside the poly bag

Moisture from the cotton can be absorbed by the paper ID tag

The ID tag will have the Form B and Form E date broken out on two separate lines

Use Form B (or Form E) to complete ID tag, information given should match the corresponding B or E Form

Shipping Procedures • The poly bag is then placed in a Tyvek envelope • Multiple samples can be placed in one envelope

When a gleaning sample requires more than one poly bag, use an ID Tag with each poly bag

Remember to write on the Sample ID tag 1 of 2 and 2 of 2, etc.

When shipping the Post-Harvest Gleanings, put the Form E inside the Tyvek envelope, rather than shipping it separately

Shipping Procedures • When shipping the Post-Harvest Gleanings, check the ( ) beside “Post-Harvest Gleanings” • Securely attach 1 ID card to each poly bag

When shipping the Post-Harvest Gleanings, check the box that tells whether the cotton is “From Plants” or “From Ground”

The lab will handle hundreds of samples a day, so try to pick out debris before sending cotton to the lab

For Pre-harvest Samples: • • • • •

Include1 ID tag for Unit 1 and Unit 2 Place cotton from both units in one bag Press all of the air out of bag Use only one orange rubber band Secure tightly such that air can’t get in

For Post-harvest Gleanings: • Include 1 ID tag for loose cotton gleaned from the plants • Include 1 ID tag for cotton from the ground • Put E Form inside Tyvek bag rather than shipping it separately

• Completely fill out ID tag, making sure date and POID match date and POID on Forms B & E • Each poly bag is identified with ID tag attached to outside of bag. • OK to send more than one sample in Tyvek bag

Preferred Packaging- Cotton OY • NO Staples • NO Duct Tape • NO Wrapping of any sort • One strip of packing tape is sufficient over seal if needed
