Editing an Exam 1.

Hover over ‘Exams’ Tab and select ‘Browse Folders’ to view the Browse Exams by Folder display.

The exam folder and a gridbox containing the exams will appear on the right. Click on the ‘Exam ID’ and the exam will open for editing.

Editing an Approved Exam – when ETs have NOT downloaded the exam 1.

If an exam has been posted, it is in Approved Status. If Exam Takers (ETs) have NOT downloaded this exam, EMs are able to make minor revisions to the posting details only.

After clicking the ‘Exam ID’, the exam creation tabs appear. In the ‘Post Exam’ tab, select the ‘Edit’ pencil.

After clicking the ‘Exam ID’, the ‘Edit Exam’ button will be available at the bottom of the page. Click ‘Edit Exam’ and make your changes to keep your exam in DRAFT status. Click ‘Save’ when finished.

Edits to exam items can only be added or deleted when the exam is in DRAFT mode. 3.

Edits to an item should be made in the Items folder. Any changes to the item affect all current and future use of that item. When EMs return to a DRAFT exam in the Exams folder, they will be prompted with a message stating there is a new revision to an item. EMs will have the option to refresh the item before saving the exam.

Types of edits that can be made at this point:  Assigned Course  Instructor Name  Download Dates  Maximum Number of Downloads  Email Upload Reminders  Email Download Reminders  Exam Scheduling Date

If other types of edits need to be made (such as altering the items content or security settings) they must be done by duplicating the exam. This can only be done if ETs have NOT downloaded the exam. Refer to section #6 of this guide on Duplicating an Exam vs. Reposting an Exam.

In the ‘Post Exam’ tab, select the ‘Unpost’ icon. After the exam has been unposted, the exam can then be duplicated by going to the ‘Basics’ tab, and clicking on the ‘Duplicate Exam’ button. Now you are able to make the necessary edits to this exam. EMs should always rename a duplicated exam and provide a new password. An exam should be duplicated when changes to the exam items need to be made. Duplicating the exam allows it to continue to gather the historical data that will provide statistical analysis of item performances overtime.

Editing an Exam Editing an APPROVED Exam – when ETs HAVE already downloaded the exam 1.

Once an exam has been downloaded by ETs, the exam cannot be unposted. However, minor changes to the scheduling can be made.

From the CHP, click on ‘Exam Management’, and then ‘Exam Tracking’. Use the filters at the top to find the correct exam.

Find the exam name, and click on the ‘Edit’ pencil icon.

Within the Edit Exam Posting display, you can make minor changes to be made to the exam posting such as:  Download Dates  Email Reminders  Course Assignment  Upload Deadline Date  Max Downloads per Exam Taker  Exam Scheduled for Date The Exam Scheduled for Date enables ExamSoft to make preparations for the administration of multiple exams on the same day during high volume periods. Please be sure to enter this date.

Duplicating an Exam vs. Reposting an Exam Duplicating an Exam When an exam is duplicated, it creates a separate Exam ID. The items and categories included will continue to provide statistical and performance data; however, they will be separated from the previous exams. The information cannot be combined with other results for comparison. The use of exam duplication is best utilized when:  There have been revisions to exam items  Overall changes have been made to an exam Reposting an Exam A reposted exam maintains the same Exam ID. Reposting an exam allows EMs to setup the same exam for multiple sections of a course. Each posting can have its own password, download start and end dates, along with separate email reminders. Each reposted exam will permit EMs to compile the data from all ETs to review their academic progress on the same assessment and to evaluate the statistical data on item and category performance on the same exam. 1.

After posting an exam, go to the ‘Post Exam’ Tab and click the ‘Post Exam’ button to repost the same exam.

Enter all pertinent information for the exam posting, and then click ‘Post Exam’.

The new postings will appear in a table format under the Distribution History section. The Performance History will display all statistics for the items included in the exam.

If other changes are required, EMs should follow these additional steps: Change the Download End Date for the exam posting to an expired date by clicking the ‘Edit’ pencil icon. Changing the date ensures no additional students will be able to download the exam. Duplicate the exam and edit the content and settings. It is recommended to provide a new exam password so students will not accidently take the wrong exam. Post the exam with the new changes and email ETs a Download Reminder.

ETs that have already downloaded the original exam will still have a copy of the unedited exam on their computer. They may perform a reverse download to remove the file.

Retiring an Exam Retiring an exam will make it inactive and inaccessible. This means that any data associated with the exam, such as item statistics and ET results, will be deleted as well. To retire an exam, click the ‘Retire Exam’ button instead of the ‘Edit’ button. Once an exam is retired, you will no longer have access to it.
