GAHA Board Meeting Minutes July 11, 2017
Meeting was called to order at 6:04 by President, Jason Mallum. This meeting is taking place this evening at Blandin Foundation and notification of venue change was posted on Website and Facebook prior to meeting. Roll Call: Jason Mallum, Star Jorgenson, Kelly Groshong, Traci Gangl, Lauren Larson, and Amy Carpenter. Treasurer report by Lauren Larson: Checking Acct. balance at this time= $13,923.63; Hunting Raffle Savings Acct. = $4306.77; and Jersey fund savings= $1271.57. Traci has set up an online Quick Books Acct. for GAHA with access for Lauren and Traci and Jason. Read -only access for other GAHA Board Members. Lauren will create a draft budget with approximate incoming and outgoing expenses to discuss at August 1 GAHA meeting. Lauren will also talk to someone at Timberlake to get their logo. Secretary Report by Amy Carpenter: Reviewed June minutes. Motion made by Jason to accept minutes and Traci 2nd that motion, minutes approved. Amy will update draft as final approved minutes on website. Letters will be going out to families the week of August 1, 2017 notifying parents of the $100 Non-Concession fee increase and informing them of the new 5 DIBS that are required. Amy will finalize this letter and bring it to next meeting. Website Director/Registrar Report by Traci Gangl: Goal is to have online registration open by September 1, 2017. We discussed the possibility of setting a time for new families registered in our program to meet with some of the board members so they can have a little introduction to hockey and our program, what GAHA expectations are as a parent and player, and information of how GAHA works. Also at that time set up a time to teach scorebooks and scoreboards. It was also a suggestion to have seasoned players come and show what equipment is needed and how to put it on properly. Traci will check with SportNgin to see if there is a way to flag unpaid accounts. Currently, there is about $1500 of outstanding balances owed to GAHA. Families with unpaid balances have been notified. The invoices are to be paid by the end of August, 2017. The idea was brought up of not allowing those families players not be allowed on ice until last season’s bill has been paid in full. Traci will also be checking with SportsNgin regarding possible payment plan options. Traci will also be updating the job descriptions as needed. Team manager positions will be updated. Traci will also double check on age for penalty box workers. Traci also presented an introduction to the website and showed board members some helpful hints and information. This is so GAHA Board members know how to use the website as a tool for updating each other and applying information on GAHA Website. THANK YOU TRACI!!!
Some new ideas on advertising for GAHA brought up were: Bridge banners-Kelly will check with Pepsi on this. Possible yard signs in the future, possibly doing a Try Hockey for free day as the season gets underway. We also discussed targeting ISD 316 and nearby Pre-K age kids in the Fall. Fundraising Director Report by Kelly Groshong: Gun Raffle will begin on September 1, 2017. 500 tickets will be printed and sold. Tickets will $20 per ticket. Drawing will be held tentatively on December 8, 2017 during Greenway High School game. Todd Luoma donated a signed Sidney Crosby Jersey to be raffled. Kelly will make up a board with 100 squares and each square will be sold at $20 per square. Drawing will take place when board is full. Tournament Director report by Star Jorgenson: Most tournament dates for all levels have been scheduled at this time. Star took into consideration the level of tournament, cost of tournament to enter, available hotels near tournament sites, and distance of travel per level. She spoke with board members of other hockey associations and got some insight about what activities there are for the younger level tournaments. AWESOME JOB, THANKS STAR!! Star previously presented 2017-2018 Sportsmanship Opportunities packet for options for our sponsors to choose from. The GAHA board unanimously agreed on the 2nd option with the elimination of magnetic signs. New Business: The Greenway Joint Rec board does not want aluminum cans and trailer at the arena. So GAHA discussed options and it was decided to sell trailer, for $100, as it needs work and was previously donated to GAHA to transfer aluminum cans and minimal profit went to GAHA. Traci made the motion to sell trailer and 2nd by Jason. All were in favor. An idea was discussed to talk with Pat and discuss having a coach committee, in which a member of GAHA Board, Greenway Joint Rec. Board, and High School coach rep. are present during coach meetings. These reps. could represent their entity and bring about questions and concerns as they arise. Things like: having try-outs, and parent coaches vs. non-parent coaches, and other concerns. Farmers Day Parade discussion was table topped at this time. Next meeting will August 1, 2017 6pm at Nyberg Center. Meeting Adjourned at 9:11 by Jason Mallum, all in favor.
