Stillwater Area Fast Pitch Association Meeting Agenda Wednesday 1/4/2017 7:30pm

Purpose The Stillwater Area Fastpitch Association (commonly referred to as Stillwater Fast Pitch) was established in 1984 to promote the development of a quality, competitive level of girls fast pitch softball in the St. Croix Valley Area. This program is committed to the development of potential Stillwater Area High School (SAHS) softball players

Board Attendees: Mike Gray (President), Mark Johnson(14U), Kevin Corbid (10U), Gary Lindahl (Treasurer), Jessie Batchelor (Secretary), Bob Beedle (18U), Mike Meyer (16U) Audience: None 1. Call To Order 7:46 PM Mike Gray called the meeting to order. 2. Review and approval of December Minutes Gary Lindahl noted one change to the Winter Clinic registration totals updating the total from $2,200 to $2,175. Gary motioned to approve the December minutes. Mike Meyer seconded it and it was approved by all. 3. Tri County Update – Mike Gray a. The Tri County Fee is going to stay as $550 and the State Tourney fee will stay at $100. b. League Play: 10U starts on 5/4; 12U starts on 5/1; 14U starts on 5/16. c. 6/23-25 is the Tri County Qualifier for 10U and 12U d. 7/14-16 is the Tri County Qualifier for 14U e. 7/8-9 is the State Tourney for 10U and 12U f. 7/22-23 is the State Tourney for 14U 5. Fundraising in 2017 – Jessie Batchelor The Grand has been booked on Saturday, 4/1 from Noon – 3pm for the Pasta Feed and Silent Auction. Emily Dollerschell has agreed to be the Silent Auction coordinator. Each family will be asked to purchase 6 tickets ($10 per ticket) to either use themselves or sell to others to attend the Pasta Feed. Families are encouraged to purchase additional tickets as well. 6. Down n’ Dirty Mike Gray completed the team registration online this week. One team is registered at each level - 10U, 12U and 14U. 7. Winter Clinics/Varsity Hitting Clinics The Varsity Hitting clinic started today. There are between 15-20 girls in each one. The Winter Clinics start up again on Sunday, 1/15. 8. Board Elections Kevin Corbid moved to nominate Nicole Perkins as Treasurer and Bob Beedle seconded it. Approved by all.

Bob Beedle moved to nominate everyone else to return to their current positions and Gard Lindahl seconded it. Approved by all. 9. Appointed Positions For the equipment manager position the board has agreed to review the current inventory to see what is needed and make recommendations of the consumables that we need to purchase to be included in the budget this year. 10. Parent Meeting Planning Reserved 1/24 at SJHS Media Center from 6 – 7:30 PM. An email blast will be sent to the association regarding the Parent Meeting. The first 45 minutes is for 10U and the second 45 minutes is for 12U. Each coordinator will give an overview for their age level and Bob will be available to talk as well. 11. Pony Picnic – Coordinator/Date Friday, 4/28 is the Pony Picnic and Monday, 5/1 is the rain date. Mary Gray has confirmed she will coordinate the Pony Picnic again. 12. Volunteer Buyout/Sign Up Genius The draft of the volunteer buyout opportunities were sent out to the board and there were a couple of suggestions on how to adjust the tiers for a few of the opportunities. The Volunteer Sign Up genius site will be sent out with the email blast announcing the Parent Night. The buyout will remain the same as last year. $250 Volunteer Buyout checks will be collected at Spring Clinics and the checks will be destroyed as families meet their volunteer commitments. The description of the 12U Tryout station volunteers will be updated to state that you can only fulfill that opportunities if you do not have a 12U player participating in the tryout. 13. Field Reservations Mike Gray is confirming a coordinator for the field reservations. 14. Uniforms and Spirit Wear Mike Gray to confirm that the red jersey are still available to order from Bill at Streamline for this season. We also plan to add a black jersey to the uniform that will be included as a part of the of registration fee. 15. Budget/P&P Meeting 1/19 @ 7PM, Location TBD 16. Registration Opening and Close Date a. Open Jan 24th (same night as Parent Night) b. Close Feb 26th 17. General Tryout Dates for 10U, 12U a. 12U – Sunday, April 2nd; Start at Noon. Planning to move to a fall tryout for 12U next year like 14U.

b. 10U – March (Evaluations during Spring Clinics) 18. Pitching Tryouts Dates for 12U There is a conflict with the gym space on 3/29 so Mike Gray will review with Dan McKay other potential dates/gyms/times. 19. Open Forum a. The Junior High School ball registration is not working online. Bob Beedle will follow-up with the Junior High Athletic Director. b. The Little Ponies Clinic info has been sent home in the Friday fliers and published in the Community Ed book. 20. Next Meeting February 15th, 2017 @ 7PM in the SAHS Teacher’s Lounge 21.
