Treasurer Report ● Bill, not in attendance. Per Todd, $29,000 in account. There is $5,000 or $6,000 outstanding. Most from park clean up
Commissioner Reports
● TBall Andy, not in attendence. No report ● 8U Softball Mike, not in attendence. Per Todd, the games that were rained out have been rescheduled for May 20 ● 8U Baseball Bob. Everything is going well. People have responded well to the draft that was done and the leveling of the teams. One play quit because he did not have any friends on his team. ● 10U Baseball Marc, Everything seems to be going well. ALthough the coach’s just wanted to play each other, Marc is attempting to find some interleague games for them. ● 12U Baseball, Marc Everything is “rolling along.” Eby’s team (Bubb’s Funeral Home) is down to 9 players from 11. One quit because of medical reasons, one never showed up. Each team has 3 home and 3 away games with Harris, 1 with Penn Park, and themselves. Marc will schedule interleague with Mattys. **Saturday, Garza decided not to play. He called Ben Eby and told him. ● 10U Softball Clint, they made up their rainout and everything is going great. ● 12U Softball Clint, full schedule and no complaints
Old Business GROUNDS: ● The maintenece company, Inside the Lines, LLC, is supposed to “pick up trash and empty trash into dumpster” per their contract. This is not being done everywhere and needs to be done daily. ● The field maintence shall be as follows: Which ever team sets up the field for the game, will rake after the game and the other team shall tear down the field. Raking is limited to areas surrounding the bases and home plate. This is to happen on every field. EQUIPMENT: ● Everything is good ● Need to make sure Andy knows that there is $400 for Dick’s ● Clint needs the catching gear from Chad Marshall’s bag that was turned in SPONSORSHIP: ● There are still some outstanding balances
● There are 31 sponsors ● This year the revenue from sponsors was (will be) $10,600. This is an increase of $760 over last year and that includes all new signage ● There will be $200$250 spent on some additional signs that will be promoting East End ● From the banner guy: there will be 3 one way signs ordered, 4 EE MBSA signs ● ADDITIONAL IDEAS ABOUT BRANDING: yard signs for families, painting new logo on building, EE MBSA flags CONCESSIONS: ● Concessions for the first week was over $2200 ● Credit card machine was down about ½ way through opening day and is now (as of 5/6/2016) working again ● Online volunteer sign up has been activated, please let coach’s know to let parents know ● The treat tickets for Tball have been a huge hit. There is a 6 item menu that they can choose from ● There will be a volunteer contest starting next week. The team that registers the most volunteers will win a party ● By using the volunteer system, the savings for the park will be $7$8 in labor costs. WEB SITE REPORT: ● Access areas have been cleaned up by Dominic ● Some access levels had been canceling each other out ● There are approximately 10 users will full access ● If you cannot figure something out, call the Blue Sombrero 800 number ● Dominic will add Krista to full access of web site **For more detailed information on sponsorship, concessions, and web site, please see attached notes from Dominic** FUNDRAISING: ● Granite City give back will be on SUnday, June 12. ● A portion of all sales that day will go to EEMBSA ● They are going to deck the place in maroon and grey ● All teams will have a number and granite city will throw a party for the team with the most sales. In addition, park is going to be broken up into 4 divisions: TBall, 8UBB, 10U and 12U Baseball, and all of softball. These divisions will compete against each other for a prize within the park. SCHEDULING: ● Rainouts: the only people, in the park, who can officially call a rainout are Todd, Bill, Tina, Marc and Clint ● Todd will make the call for a parkwide cancellation and submit it to the website and mass email and text ● When a rainout is called, the following people need to be notified immediately: vice presidents of baseball and softball, Krista, the grounds crew and concessions. ● When called, the baseball and softball vice presidents will notify their commissioners who will notify the coach’s. Krista will make needed changes on the calendar. ● When a rainout is called, we are to use the days that are built into the schedule to make them rainout up as soon as possible. ● This information will be explained and emailed to the park parents by Todd. ● Parents need to know that we WILL play in rainy weather and temperatures above 40 degrees Travel Teams (that are at the park and wish to use our park) ● There is a contract between the park and the Maurauders and the Meyhem for 8 games. There is no restriciton on practice, EXCEPT the park takes priority for the field with the exception of Wednesday’s.
● We need to get an idea set on how we want to charge these types of teams because we have been contacted by other travel teams who want to use the park
New Business Travel Teams (within our park) ● The model we would like to try is with the 8U cactus league. ● There is a need to find out what kids are available, as this would be an additional time and money committment from the parents ● Need to have a tryout soon so the kids can start practicing together. They will remain on their respective rec team, this is just an added team ● There needs to be a fair and open, publicised tryout ● It is sold as travel ball. ● The above is one team ● In addition, there will be a tryout for allstars, this is separate from travel ball ● There will be an open , publised, fair tryout for this as well. This teams primary focus is to play in the state tournament only. IF the parents want to do more they can ● Both teams will be from East End MBSA. Both teams will get $400 for expenses. The $400 must include the fees forthe state tournament ● Reasons to do this : we are losing kids every year to travel ball. This may help retain some of those kids. Details need to be worked out ● Marc and Todd are going to work out a plan for the tryouts for the travel ball team. This tryout may happen as soon as Saturday (May 14). The all star team should tryout the first week or so in June so they can begin practicing. ● Interested coach’s should contact Marc FALL BALL: ● We neeed to begin the registration process in the next couple of weeks so we don’t lose kids ● We need to establish coach’s for this as well ● Possibly get this worked out in the meeting on May 23, 2016, so we can have the next meeting at the firehouse and have ALL the coach’s attend the meeting ● Interested coach’s should contact Marc REFUNDS ● Aris Koehler, from 8U cactus, has dropped out of the league and his parents have requested their money be refunded. He dropped out because he was not happy that he wasn’t on a team with any of his friends. We will refund $100 of the fee. LATE REGISTRATIONS: ● There are 2 children who want to play 12U Baseball (?), yes we will allow them to register. They will need to pay full fees and fill out a paper form.
