Chapter of Excellence 2011-2013 Inside this issue:

President’s Message— I would like to take this opportunity to wish everyone a Happy New Year! I can't believe it is 2014 already! I hope that everyone had a nice and relaxing holiday season with their friends and family. I know I did, and boy was the break well appreciated! I just want to take some time to remind everyone about two big events occurring later this year, the first is the Canada Division's Conference taking place May 29-31, 2014 in the lovely Prince Edward Island. If you have not had the opportunity to visit this spectacular Province, I encourage you to do so. The

second event is the Education Form and Annual Meeting taking place July 26-30, 2014 in Milwaukee, Wisconsin. I am looking forward to attending both events and representing the Ottawa West Chapter proudly. Don't forget that the February meeting on February 19 is our Executive Night. I encourage everyone to bring their bosses along while we listen to professional speaker Majeed Mogharreban. The February meeting also qualifies for one recertification point!

Michelle Robb

will be discussing "Learn from Achievements - Learn from Mistakes". If you have any questions or concerns or if you have any suggestions for Ottawa West, please feel free to email me at [email protected].

I look forward to seeing everyone next week at our meeting where Bill Caswell

reminded me about taking risks. Sometimes you just have to jump right into something you may not initially feel comfortable with, but as time goes on you will know that it is the best decision you may have made. I

Algonquin College Perth Advisory Committee Meeting Melanie Lambert – National Research Council Canada & IAAP Ottawa West Chapter Member

This year’s first Perth Office Administration Advisory Committee meeting was held on November 7, 2013 at the Algonquin College campus. I have been a part of the advisory committee for a few years and value the programs, size and capability of the staff, Monique Cochrane and the college. The Academic Chair, Brian Duffy, gave a report regarding the general information on the program. The college now has an Office Administrative General Program running. This is a shortened version of the regular Office Administrative course for anyone wishing to pursue the first part of the regular program. All programs now have mobile learning, which requires students to have laptops. The college has completed a rebranding to increase their visibility in the community. They are working on becoming less of a “rural” Heritage Institute college and more regional college. The college also has a new campus in Jazan Saudi Arabia, which is in addition to one in India, Chine and Montenegro. The Office Administration Program has 16 full time students this year, which is a low enrolment. One of the potential changes for this program is the use of e-textbooks. Some students prefer physical textbooks and some courses are better taught with textbooks. The initiative with IAAP Ottawa West Chapter will continue through this year. Last year’s Office Administration Program saw 13 students graduate and one working towards graduation. Six of those students have found full time employment and two have contract positions. The college continues to offer continuing education credit and noncredit courses. As well, they offer a dual credit program for high school students. There is a Program Enrolment management Committee within the college that is looking at enrolment numbers in this as well as the other programs. The advisory committee was asked for advice on how to increase enrolment and we hope that the rebranding from “Algonquin College Heritage Institute” will help as people don’t associate an Office Administration Program with that college name. Another way the college is helping to increase enrolment is to speak to high school students (in class) and their parents (at an evening session). The Town of Perth donated a police vehicle to the college for the Police Foundations program to use, both academically and as a marketing tool. If you have any suggestions on how the college can promote the Office Administration program, or any of their other programs, please let me know.

Don’t make a Resolution— Find a Word

What if one word could transform your life? I don’t blame you if you’ve stopped making resolutions. You’re busy enough and the last ones didn’t work. One Facebook contributor summed up the challenge of personal change when she wrote, “Successful personal change requires a lot of hard work!” Plus, you’re already maxed out. But… Do you have room for one word?

More powerful than resolutions: You don’t need a list of resolutions. You need, “One Word That Will Change Your Life.” Dan Britton and Jimmy Page have practiced and taught one word since 1999. They shared the idea with Jon Gordon a few years ago. One word always works. It may not deliver what you expect. It usually delivers more.

One word: Choose one word that embodies the essence of life for 2014 and let it speak to you everywhere you go. The possibilities are endless. People have chosen: Love, Discipline, Rest, Integrity, Smile, Finish, Kindness, Joy, Patience.

Your word in three easy steps: First, look in by finding silence and asking three questions. What do I need? What’s in my way? What needs to go?

Find your why: “The why is always more important than the what.” From, One Word.

Second, look up by asking God for your word and listening. Don’t stress about your word. Receive it from your maker.

Third, look out by living out your word everywhere you go. But, look out, because one word isn’t predictable. It surprises. “Don’t check the box; experience the journey.”

Tip: Keep your word front and center every day. Source: leadershipfreak.wordpress.com

December President’s Message—Judith Vannarelli, CAP-OM Where did 2013 go? I’m sure you’ve asked yourself the same question as 2014 approaches. I can vividly remember preparing for 2000 and the turn-of-the-century. Remember Y2K? Companies formed task groups to tackle what they thought was going to be the complete meltdown of all computers, servers, etc. I served on a Y2K task group that was organized three years in advance of December 31, 1999. As we all know, nothing happened. Computers kept whirring; servers didn’t implode; and, work continued without interruption. All files devoted to Y2K are now archived in a dusty warehouse. These include millions and millions of sheaves of paper and discs, as well as rolls of timelines with contingency plans. The computers fooled us all and continued to make an impact on the daily work accomplished in business and elsewhere. The moral here is the old Scout pledge, “Be Prepared.” We can’t fool ourselves by thinking that coasting along each day and collecting a paycheck at the end of the week brings self-satisfaction or pride in our work responsibilities. Education allows us to expand our horizons so we can be the best at what we chose to do as administrative professionals. Let’s juxtapose the Y2K event with career preparation. Are you prepared? Do you keep relevant by participating in educational opportunities including online webinars, certification exam preparation, night classes and college courses? Need I go on? It’s necessary to remain relevant in your career of choice; otherwise you risk becoming stagnant, restless, and less than happy in your daily work. In order to stand out, you must stand up and embrace every educational opportunity that will increase your productivity and self-esteem. TEC14 is an educational event offered by IAAP, which will enable you to rise up and grasp an opportunity to learn, lead, and excel in your profession. You can begin by registering for the three-day conference. You’ll network with other colleagues, listen to subject-matter experts, and add to your educational resume. Even though I’m not a proponent of resolutions (because history proves I always break them) registering for TEC14 is one resolution you may want to consider for the New Year. If you plan to attend, we’ll meet in Atlanta, Ga., March 13-15, 2014. I’ll be there. I hope you will be, too. While I’m talking about expanding horizons, applying to be a volunteer leader in IAAP is only one click away. First, there is the application for the 2014-2015 Standing Committees, to serve on the Bylaws and Standing Rules or Nominations Committee. Second, the candidate applications for the IAAP Board of Directors and The Foundation of IAAP are also available. IAAP cannot survive without leadership. Along with members, it’s the foundation of the association. Pay it forward by giving sincere consideration to advancing your leadership in IAAP. Another important aspect of the Y2K preparation was having the foresight to prepare for a possible eventuality. Although it never occurred, most companies spent three years in anticipation of the expected. Which brings me to IAAP’s preparation. Yes, we have a new strategic plan; however, even though we are an “instant” society, bringing the goals of the plan to fruition takes time. You and I have no idea of the amount of pre-work that occurs behind-the-scenes including working groups, emails, teleconferences, strategic discussions, planning, more planning, and even more planning. My only request is that you reach deep down to exercise your patience. As I wrote previously, we will be publishing the progress made on reaching the goals. It begins with a virtual Town Hall Meeting at the end of January 2014. In January members will receive an invitation to participate in the event, so be on the lookout. In the meantime, Jay Donohue, IAAP’s CEO, prepared a first-quarter report. Read it and, most importantly, division and chapter leaders should plan to share with their members. Remember, knowledge is power and an educated member is an asset. On another front, I am most impressed with IAAP’s marketing and communications team. Ray Weikal, communications specialist, and Tarah Brown, organizational marketing manager, presented a Branding Webinar. Please take time to listen to the webinar recording. Also, read the Social Media Sharing Guide, which provides aid in spreading the word about IAAP through social media. These tools can be used to great advantage in aiding in IAAP’s branding efforts, attracting new members, and raising your social medial skills. They also prove that IAAP is moving forward in a positive direction “ensuring individuals working in the office and administrative professions have the opportunity to connect, learn, lead, and excel.” Our thanks and appreciation goes to all the members of the marketing and communications team for stretching our horizons. Finally, as we approach the holiday season, from the Yannarelli family to you and yours, may everyone experience the joy of giving and receiving and may the New Year 2014 bring continued success, good health, happiness and prosperity. Have a relevant month. We’ll talk soon.

Stress Management for Women!   A young lady confidently walked around the room while leading and explaining stress management to an audience with a raised glass of water. Everyone knew she was going to ask the ultimate question, 'half empty or half full?'... She fooled them all .... "How heavy is this glass of water?" she inquired with a smile. Answers called out ranged from 8 oz. To 20 oz. She replied , "The absolute weight doesn't matter. It depends on how long I hold it. If I hold it for a minute, that's not a problem. If I hold it for an hour, I'll have an ache in my right arm. If I hold it for a day, you'll have to call an ambulance. In each case it's the same weight, but the longer I hold it, the heavier it becomes." She continued, "and that's the way it is with stress. If we carry our burdens all the time, sooner or later, as the burden becomes increasingly heavy, we won't be able to carry on." "As with the glass of water, you have to put it down for a while and rest before holding it again. When we're refreshed, we can carry on with the burden - holding stress longer and better each time practiced. So, as early in the evening as you can, put all your burdens down. Don't carry them through the evening and into the night... Pick them up tomorrow. 1 * Accept the fact that some days you're the pigeon, and some days you're the statue! 2 * Always keep your words soft and sweet, just in case you have to eat them. 3 * Always read stuff that will make you look good if you die in the middle of it. 4 * Drive carefully... It's not only cars that can be recalled by their Maker. 5 * If you can't be kind, at least have the decency to be vague. 6 * If you lend someone $20 and never see that person again, it was probably worth it. 7 * It may be that your sole purpose in life is simply to serve as a warning to others. 8 * Never buy a car you can't push. 9 * Never put both feet in your mouth at the same time, because then you won't have a leg to stand on. 10 * Nobody cares if you can't dance well. Just get up and dance. 11 * Since it's the early worm that gets eaten by the bird, sleep late. 12 * The second mouse gets the cheese. 13 * When everything's coming your way, you're in the wrong lane. 14 * Birthdays are good for you. The more you have, the longer you live. 16 * Some mistakes are too much fun to make only once. 17 * We could learn a lot from crayons. Some are sharp, some are pretty and some are dull. Some have weird names and all are different colours, but they all have to live in the same box. 18 * A truly happy person is one who can enjoy the scenery on a detour. 19 * Have an awesome day and know that someone has thought about you today . AND MOST IMPORTANTLY 20 *Save the earth..... It's the only planet with chocolate!*

January President’s Message—Judith Vannarelli, CAP-OM Here it is, the New Year 2014 with emphasis on the “new.” New beginnings, challenges, goals and expectations. There is one “old” assignment we should consider—compiling a list of what you accomplished in 2013. Did you learn a new skill; take a class(es), exceed your expectations, or wow your executive with an impressive list of completed tasks? Now is the time to make that list and bask in your accomplishments. When you participate in your annual review you’ll be ready and some of the information can be used for your P2E Member of Excellence application. Speaking of MoE, I do have a request for you to consider. Now that the application has been posted, why not submit it now instead of waiting until the deadline? The majority of members wait until the end of the MoE program year (June 15) to submit, which might delay the process of receiving your certificate at EFAM. Many of you don’t know that the process is very labor-intensive. You can help if you’ve already accomplished your chosen criteria by submitting now instead of later. Amy Randolph, the membership marketing manager, and Tonia Nelson, chapter/division relations specialist, who I speak for here, would be eternally grateful in receiving the majority of applications sooner rather than later. Make it a goal for the New Year! January 2014 brings a plethora of opportunities for members, so stay with me as I relate them to you. First, the EFAM scholarship application, sponsored by The Foundation of IAAP, is available. The deadline is February 10 so don’t delay. This is the third year scholarships have been offered. Any board of directors’ member will tell you how exciting and proud we are when we meet a first-timer at EFAM who is a scholarship recipient. Who knows? Perhaps you will be selected to give your testimonial to the attendees at IAAP’s EFAM. Next, there’s still time to consider paying your leadership forward by submitting applications for the 2014-2015 Standing Committees, deadline February 1 and the IAAP Board of Directors, or The Foundation with a deadline of March 1. One of the many accomplishments of IAAP over the past 71 years is the production of outstanding leaders, who excel in the association and their profession. The Conferences and Professional Development department, headed by Tracy Orpin, manager, with Meagan O’Donnell and Rachel Reynolds, conference and professional development admins, has developed a series of on-demand webinars. Perhaps you’ve already participated in one or two offered in 2013. Here’s a partial peek of what’s on the schedule for 2014: Adobe Photoshop, Pivot Tables in Excel, Prezi, the Newest in Presentation Software and Innovate Like a Mouse are just a few to expect in the coming weeks and months. Speaking of surprises, have you seen the January/February edition of OfficePro? If you haven’t received it, expect it in the next few days. Emily Allen, managing editor, along with members of the Organizational Marketing team—Ray Weikal and John Naatz –have given the magazine a design and content facelift of IAAP’s award-winning publication. Did I say award winning? Yes, Emily and John both received the 2013 APEX Awards for Publication Excellence, two in writing and one in design, respectively. Another reason for pride and confidence in our Headquarters staff. Note the APEX award logo in your OfficePro. There’s one additional event I would like to invite you to consider and that’s the IAAP Virtual Town Hall Meeting, Wednesday, January 29, 6 p.m. CST. Registration is now open. A review of the 2013-2018 Strategic Plan and an update on progress toward strategic initiatives and AMS software update are two of the topics that will be addressed by Jay Donohue, CAE, CMP, CEO, Antoinette Smith, CAP-OM, president-elect, Kelly A. Reggio, CAP-OM, Foundation chair and myself. The webinar can accommodate up to 1,000 attendees, so ensure your attendance by registering. Finally, but not least, let’s talk about EFAM 2014, July 26-30, 2014, Milwaukee, WI. Registration for the event, as well as hotel accommodations, will open soon. I’ve said it in a previous message and it bears repeating—you are going to love Milwaukee! When you have time investigate everything the city has to offer. Nancy Arnold, CAP-OM and Julie Thomas, CAPOM, co-coordinators, along with the EFAM Host Committee have been working tirelessly in helping to plan the volunteer’s part of this stellar event. Did I mention that the city is the festival capital of North America? Well, be prepared to enjoy German Fest while attending EFAM 2014. In fact, the city built Maier Festival Park right on the banks of Lake Michigan. So, what does all this mean, you ask? In my incoming president’s speech I talked about IAAP’s race for relevance. Without question, we are in the race to win it and all of the opportunities and events I’ve mentioned are the proof. We, all of us, are ensuring individuals working in office and administrative professions have the opportunity to connect, learn, lead, and excel. Have a relevant day, week and month. We’ll talk soon.
