OPW Board Meeting JULY MINUTES Meeting Date: Wednesday, July 13, 2016 Start Time: 7:45pm End Time: 9:36pm Location: Westminster VFW Attendees: Celina Leger, Michael Buckley, Amy Smith, Darlene Hayden, Kristen Munroe, Erica McElrone, Scott Aubuchon, Mike Garofano, Susie Eriole, Greg Morgan, Traci Podrazik, Sean Nally  





Call to Order Treasurer’s Report o Account Balance/Outstanding Items o Proposal - Add Service Fee for all credit card transactions  The Board decided not to charge a fee at this time, we will revisit the idea in the future if needed. PayPal is a simple way to track transactions and we don’t want to discourage people from using it.  If needed in the future a suggestion was made to tack on a fee to all items that are sold not just the ones sold via PayPal. This way the fee is covered and pricing remains uniform. Secretary’s Report o Registration Numbers to Date- 89 Total  Football-(10 Tiny Mite, 24 Mitey Mite, 24 Jr. Pee Wee, 8 Pee Wee)  Cheer- (20)  3 with unknown team/squad placement, due to lack of paperwork.  More registrations were turned in at the meeting. We would like to see more registrations for Tiny Mite, Pee Wee and Cheer registrations. o CORI Forms Ken Heffernan will be running our CORI’s, all checks must be completed by July 29th.  To date we have 22 completed. Cheer Director’s Report o Squad numbers to Date-(3 Tiny Mite, 4 Mitey Mite, 4 (possibly 5) Jr. Pee Wee, 8 (possibly 10)  If numbers stay the same squads will be combined and younger squads will become mascots. o Coaches Pee Wee- Head Coach, Morgan Martino- has both YCADA and Hands On Certification  Pee Wee- Assistant Coach, Laurie Benson- has both YCADA and Hands ON Certification  Jr. Pee Wee- Head Coach, Angelica Torres- needs both YCADA and Hands On Certification (Attending Hands On August 6th)  Cheer Director/Jr. Pee Wee Assistant Coach, Kristen Munroe- has YCADA Certification, needs Hands On (Attending Hands On August 6th) o Customization for Warm-Ups- Susie is sending Kristen the logo from this seasons T-shirt. o Fun Comp Registration- Celina has our registration form to submit. o Board approved the following purchases.  Sneakers- $31.99 a pair with free shipping.  Midriff & Spanks- same as last year, Navy  Bows- $5.95 each (purchase one for Celina & Ginger)  Pom Pom’s- Kristen will purchase more based on numbers, she is going to contact Julie and Morgan to see where last year’s pom poms are.  Socks- the girls will wear white ankle socks, and the budget for pink socks will be $4.



 



Football Director’s Report o REMINDER Online Course (Due prior to August 1st)  USA Football Heads Up Online Course, FREE with Promo Code - 2016 USA Football Level 1 Tackle Certification: https://login.usafootball.com/ Oakmont Promo Code: cmpwoakmont16 ALL rostered personnel are required to take the online test  Email certification to Erica o Tiny Mite Team- we need to push for a few more to register, 1 or 2 currently on the roster may need to push up to Mitey Mite because of weight. Scholastic Director’s Report  Darlene will be attending the Central Mass Meeting on July 20th.  Darlene will be planning the Recognition Dinner. A proposal will be submitted. Equipment Manager’s Report o Jersey Update  Sent out majority of jerseys to be fixed, if they can’t be fixed they will be replaced.  Ordered additional jerseys for 2016 season o Recent Orders  Tackle Wheel (Received), Step Over Bags (Received), Game/Practice Balls (Received), Kicking Tees (Received), Team Equipment Bags (Received), Helmets (Received), Game Shirts (on order), Game Belts (Partial Order Received), Knee Pads (on order), Helmet Decals (on order) o Equipment Hand-Out  Volunteers should be there at 7am.  Stations:  Registration/Raffle Tickets (Erica & Darlene)  Helmet, Shoulder Pad, Practice Pants/Knee Pads/Mouth-Guards/Belt- Mike Buckley will assign workers to these stations.  Retail: (Susie & Traci)  Girdles (A4=$20, Riddell=$25), Padded Rib Shirts (Riddell=$25)  “To-Go” Bags – Mike Buckley is looking into these, either from Dicks or Dunkin Donuts.  Equipment Release Forms -each player must have a guardian sign off on equipment received.  Bringing Tables-Celina, Traci and Susie  Clipboards & Pens- Greg Morgan will bring them.  Information email – What to expect!  Email blast will be sent to everyone registered on Thursday, July 14th. o Socks- Navy & Pink, Mike Buckley will order them from Riddell, TCK brand. o Medical Kits- Jess Heffernan will take care of putting these together. o Individual Team Equipment Managers- each team needs to assign their own. Apparel Coordinator’s Report o 2016 T-Shirts $10, shirts will be picked up by Susie on July 28th, our cost per shirt is $6.25.  Charlie Raff will be given a shirt at All Squads. Gloves $25 each  Pre-Order Form was sent via email.  Erica will collect the orders and Mike Buckley will place the orders.  Ordering 30 extra pairs to have in stock, price will be $30 each. o Other Items on hand to sell- Winter Hats, Decals, Baseball Hats and possibly Water Bottles. o Sideline Apparel (Coaches/Team Parent) – Mike Buckley and Susie will price and order these.





 

New Business o Open Conditioning  20- 30 participants are attending each week.  Charlie Raff is looking for more high school volunteers to work the stations. o Shed Update and Goal Post Thank you to Shawn Hayden and Crew, GAAMHA has donated close to $3000 in parts and labor.  Celina, Mike B., Shawn and Crew will decide on interior shelving. o All Squads  Format, Stations – Aubuchon  Head Coaches need to tell Scott what stations to put their coaches.  First Draft was sent to all head coaches for feedback and suggestions.  There may be a few players participating in All Squads to see if they want to play football, if they decide against it, they will be refunded their full registration fee.  Cheer- Munroe  Coaches are meeting July 18th or 19th to decide how they want to run it.  Coaches Meeting prior to All Squads to Kick Off Season will be held July 31st at Overlook, Time TBD. o UMASS Game: September 10th  Central MA set a fee of $20, OPW will receive $8 per ticket sold, tickets need to be preordered by August 8th.  We will be the only youth organization there that day, should be a lot of fun.  Sean will organize this event and set up PayPal. o Snack Shack Coordinator-Mike Buckley is working on this. o Dick’s Sporting Goods – Shop Day, July 16th, reminder will be sent on July 14th.
