IAAP - R ESTRUCTURING Our association is needed more now than ever, and so are the resources, training and professional development we provide. At a time when we are in demand, it is also the time to critically look at IAAP, how we are structured and how we deliver member value.

branches that meet minimal critical mass required for formation, will replace chapters, divisions and districts. We need input from the members in defining the scope, size and how the branches will operate. But most importantly, these branches will be critical in delivering new educational resources and offerings.
Over the last 18 months and through extensive research, surveys and focus groups that ultimately culminated in the Futures Conference, we came away with one key take-away. In order to survive and remain relevant, we must reimagine IAAP. We must do what we do better than we ever have before.
The board of directors met several times over the last eight months, via conference call and in-person meetings, to determine the very first steps in revitalizing our association. Armed with the excellent work from data-driven information, the Futures Conference and the working groups, the board worked around the clock with the best consultants in the association industry to lay the groundwork for a revitalized IAAP and a new organizational structure.

As of today, how has the organization’s structure changed? And how does it impact me? The new IAAP won’t happen overnight, nor would we want it to. Today signifies the start of a yearlong initiative where we will create platforms for you, the membership, to help us define IAAP and our future path. The IAAP Board of Directors, along with input from members along the way, was successful in building the framework to get us to the new and revitalized IAAP. They focused on areas that were operating on a broken model and not reflective of association standards and best practices. This included action in the following areas:
Transitioning the association to a member-centric organization and a one-member, one-vote model. We’re shifting the organization from a hierarchical one to a member-centric one. We feel strongly that everyone in the organization should have his and her voice heard. Starting with elections for the 2015-16 board, IAAP will be a one-member, one-vote organization, electing the board of directors directly. Introducing a new model in which IAAP is divided into branches. Our membership is active and we have many, many more divisions, districts and chapters than most organizations; and more than is stipulated in association best practices. Although engagement is good, it’s not evenly distributed across North America. With so many entities, our association has become disjointed and disconnected. No two membership experiences are the same. The solution is that

If you’ve always wanted to be a leader on the board of directors but didn’t want to spend 20 years getting there—this new process will help guide you through the leadership journey.
R ESTRUCTURING AND R EVITALIZATION H OW IT E FECTS THE C HAPTERS http://community.iaap-hq.org/communities/resources What will constitute a branch? What will the criteria be? How will they be drawn? How can members be physically active in a branch? A working group on the branches has just formed and will be determining criteria, reporting to the board of directors in June. Details will be available no later than EFAM 2014. We anticipate that members will be able to be active in a branch. No successful association runs without committed volunteers. We know this. We want and need your service. We ask for your patience while details are determined. This working group consists of current and incoming division presidents, current and past chapter presidents and members who have not served in a leadership role. How will the new branches be funded? We anticipate that funding will come from IAAP dues (not branch dues) and from event registration fees. The board of directors has received input from the dues working group and is currently weighing their input. Who will run the new branches? We anticipate that branches will have volunteer branch advisors that help to run the branch as well as educational programming advisors to help with content selection, but this has yet to be determined.

[email protected] R ESTRUCTURING AND R EVITALIZATION H OW IT E FECTS THE C HAPTERS How will we be able to network? Members will be able to network through conferences, face-to-face branch events, localized Special Interest Groups (SIG) and online through the IAAP Web Community. For example, let’s imagine that a branch sees the need for a mentorship SIG and puts in place the leadership and venue for new admins to connect to seasoned one—or reverse mentoring where the young teach the seasoned. This will self-form and meet as often as the local group determines it needs to meet. A SIG might decide to meet to exchange job leads; technology advances; social networking tips and tricks or to practice giving that presentation in front of a group—just to name a few ideas. We anticipate the SIG to meet specialized needs of the area where they’re located. Again, all this has yet to be finalized, but please know that “connecting” is part of the core purpose of IAAP. We want members to connect in meaningful ways that advance their careers. How will content offered at the branch level be selected? In 2012 we formed a member-driven working group that determines the education for IAAP conferences. We anticipate something similar for the branch-level education. Will there be monthly meetings at all? The self-forming SIFs that will meet on a local level may choose to meet monthly. We do not anticipate monthly meeting of branches. Is everything becoming web-based and no face-to-face contact? Not at all. Face-to-face contact is very important. IAAP wants to create opportunities for members to interact outside of the internet. How will Administrative Professionals Week (APW) be hosted in the future? APW will be hosted by branches and through headquarters. We want to celebrate the profession and the hard work that our members put in every day. That is not going to change. What additional professional training will be offered? Will it be affordable? We will be hosting more than one TEC in 2015 in different locations (it will be the same content repeated) to make it easier for attendees to partici-
pate/attend. Additional education will be offered through an on-line and on-demand web-based learning portal. Pricing will be competitive within the market with significant discounts for members. We will continue to add other educational face-to-face opportunities. How will one continue to grow by speaking in front of a group or being a president of a chapter? The core purpose of IAAP is to…“ensure individuals working in office and administrative professions have the opportunity to connect, learn, lead and excel.” We are committed to providing all aspects of our core purpose for members. One can grow by volunteering to serve in working groups, in Special Interest Groups and other positions within IAAP. After chapters are dissolved, can groups of members coordinate from time to time for educational opportunities and be approved through HQ for recertification points? Or will recertification points only be offered through IAAP-HQ? We will not be processing requests for individuals who get together for education. The branches will be set up to provide education, we anticipate TEC to be on a regional level, we will continue to provide webinars, and plan to add additional on-demand education. Why were all chapters painted with the “not all membership experiences were positive” when there are chapters who are functioning properly ? We have always acknowledged that there are AMAZING chapters in IAAP. However, unfortunately those are the minority. It’s imperative for IAAP to create a cohesive brand and consistent experience for members and attendees when they are attending IAAP programming, which is why chapters will go away and the new branch structure will be put into place. How do we go about recruiting new members unless we have a home base for potential members? IAAP member benefits will not change, and there will still be a local component with opportunities to connect through the branches. Encourage members to join because of the member benefits, professional development, and opportunities to learn online and at in-person events provided by the branches and through IAAP conferences.

[email protected] R ESTRUCTURING AND R EVITALIZATION H OW IT E FECTS THE C HAPTERS CONTINUED How closely will IAAP HQ be taking into consideration Canadian geography when contemplating ‘branches’? The ECA Chapter, for example, is on the island of NL with the only access to the mainland being a very expensive plane ride, or an eight-hour drive and then six-hour ferry ride. Small communities are a challenge for any association that strives to include all members. We have been, and will continue to be, committed to Canada as a part of IAAP. How will you prevent the branches from ending up having the exact same problems as the chapters currently have? (becoming social entities - especially with your SIGs, leadership burnout, lack of attendance, etc.) We anticipate branches avoiding the problems of chapters because there will not be governance the same as we have now. There will be fewer meetings so programming across the branches will be standardized. We do not anticipate the Special Interest Group being “branded” IAAP. While we anticipate giving branches a slate of SIGs they can form, these will be self-governing and will meet independently. So, for example, when a potential member comes to a branch meeting, all they will see and take part in is education, professional development and networking that looks the same as any branch they may walk into. Any planning for the next branch meeting will not take place at the meeting, as does so now in many meetings. If a certain branch has a SIG on social networking in the workplace, this forms through the people in a branch area, not through headquarters. New members can go or not but it’s not a branded IAAP
event; it’s an associated event.. What happens to the monies in the Chapter bank accounts upon the dissolution planned for December 2014? That depends on what is written in your chapter/ division bylaws. Our model bylaws state that funds go to IAAP or the Foundation or be spent at the chapter level on education consistent with IAAP’s core purpose. If the division bylaws state that funds go to the chapters in the division if the division is dissolved, then the bylaws need to be amended. Will student chapters at colleges disband too? Corporate chapters? Yes. All chapters will dissolve. We are moving to a new branch structure.
Will HQ allow chapters to make changes to their current bylaws in the area of: “Dissolution of the Chapter” to indicate remaining chapter funds be provided to the division if a conference is being hosted? If you want to earmark your funds to go the division for education, it’s fine. In addition, if chapters and divisions do not have a dissolution clause in their bylaws, they should amend their bylaws to include a dissolution clause in one of three ways:

CERTIFICATION CAP Exam – Computer-Based Training. One of the initiatives of our Strategic Plan 2013-2018 is to move our CAP certification exam and OM specialty exam from paper and pencil testing to computer-based testing. We are excited to announce that we currently plan to move to computer-based testing in 2015. We can’t share a lot of specifics yet; however, we can say that computerbased testing will be done through a company with secure testing centers and a consistent delivery system, with testing locations throughout North America. In order to make this a smooth transition, we will not be providing testing for CAP certification or the OM specialty in November 2014. As such, the only test date in 2014 will be the upcoming May exams.
ACHIVE AWARDS The IAAP Achievement Awards are new this year. IAAP members who have demonstrated achievement over the course of the fiscal year are selected through a nominations process to receive the IAAP Achievement Award. This awards program recognizes contributions and achievements that exemplify IAAP’s vision, core purpose, core values, and applauds excellence in the administrative profession. Each award will be based on a number of criteria with specifications for submitting applications, which will be decided upon by a working group. Also, with the change to computer-based testing, we will be changing our application deadline dates and the actual exam dates. Our plan right now is to offer the exams in March and September, replacing our current schedule of May and November.
This is an exciting change for our certification program, and we know there will be many questions. Once all of the details are finalized, we will provide updated information. Our goal is to have this information available by EFAM 2014
Recertification: The Key to Continued Professionalism. Professional certification attests to the competence of those in a given profession. To ensure maintenance of these high standards, periodic reassessment is used to verify that competencies are maintained. For IAAP certification, that reassessment is accomplished through a program of recertification. Recertification is required every five years to keep their professional certification status. Points are earned in the categories of continuing Education, Other Certifications, and Leadership. A total of 60 points are required every five years. The IAAP certification makes a powerful statement of both meeting initial high standards and maintaining those standards through recertification. All individuals who applied for certification January 1, 1988, or later are required to recertify. Individuals not keeping current through recertification will have their rating marked inactive and are no longer eligible to use the ratings.
