President’s Message I turned the calendar page to December and wondered where the year had gone. December becomes the month of writing Christmas cards, baking holiday treats, shopping, wrapping and shopping some more, of finding time to call and visit friends that are near and dear to us. It is the same with our IAAP chapter members, making a date to have a social opportunity to get together, to share memories and to support each other in a year that has had many changes both professionally and personally. Moving into the New Year allows us to incorporate new changes, new ideas, and new goals. Have you considered a position on the Central Canada Division Board? If you have held an executive position on your Chapter Board and would like the opportunity to continue to learn and grow, take the step! Or, submit your name for a Division Committee position. Talk to a member who has held a Division Committee position that you may be interested in chairing; ask questions about the length of commitment, the work involved and the learning and growth you will take away from this opportunity. You will find the current committee chairs listed on Page 3 of this newsletter. Greetings from CDD As Santa starts his flight in Canadian airspace across Newfoundland and Labrador at midnight Christmas Eve, the west coast of Canada is wrapping up a day spent snow-boarding, playing tennis (or golf), a quick run around Stanley Park, then home to slip on our Lululemon wear, sip latte’s (with non-fat eggnog of course), another quick jog and then to bed to dream about the Tofurkey, glutenfree side dishes, and Christmas pudding made of lentils, kale and brandy – lots of flamed brandy! And a green Christmas because we can’t handle a white one! We know the rest of Canada laughs at Vancouver when the city shuts down after one-inch of snow. (that’s why we use coloured golf balls!)

We have much to celebrate, to be thankful for, and to offer others. We are July 17, 2010 thankful for our families, our network of friends; and grateful for our homes and work. We strive to embody the joys of this season in our daily lives. We offer a warm hand to those who no longer smile. From coast to coast to coast, Canada embodies the spirit of this season. We celebrate one another’s holidays, share and blend traditions, give generously of our time, energy and money, and reach out our hands to those in need at home and around the world. However you recognize and celebrate this time of year, I wish you a Merry Christmas, a belated Happy Hanukkah, Joyeux Noël, Happy Holidays, Joyous Kwanzaa, and Seasons’ Greetings. EFAM Scholarship Application First-time attendees can apply for The Foundation scholarship for the 2014 Education Forum and Annual Meeting (EFAM) to be held in Milwaukee, Wis., July 26-30, 2014. To be considered for a scholarship, you must not have attended any of IAAP’s previous EFAM’s in any year. All applicants must be working as an administrative professional and able to verify information contained in your completed application upon request. EFAM scholarships will be awarded to successful applicants for the EFAM 2014 only in the amount equivalent to the 2014 Early-Bird Registration fee. This does not include transportation, lodging, or other expenses incurred as part of attending EFAM. Scholarship recipients will be required to stay in IAAP’s EFAM host hotel and will not be allowed to serve as a delegate. All applications must be submitted no later than Monday, February 10, 2014, for consideration. Successful applicants will be notified by April 4, 2014.

Dealing with Office Gossip By Rhonda Scharf (Wednesday, November 13th, 2013 ) “Did you hear the latest about Rhonda? Last week she….” And so it goes. Typical office conversation. Gossip. It happens in every workplace and in every family. For some reason, we just love to talk about others. Perhaps it makes us feel better about ourselves, and maybe it reassures us that no one is perfect. Whatever the case, it can make for some pretty interesting lunch conversation. Until that conversation is about us, that is. When we’re the subject of office gossip, it no longer seems like harmless entertainment. It is unrealistic to think that you will never be the subject of gossip. And when you are, it may not be in your best interests to ignore it. Because occasionally that gossip will be damaging to your reputation, whether the information is accurate or not. So what do you do? Do you confront the gossips? Do you deny? Do you ignore? Ultimately it is your choice; but you need to recognize that there will be consequences for any approach you take. Think through the potential consequences of all your approaches before you take action.

When the gossip is about my personal life (such as my kids, my money, my vacation spots), I July 17, 2010 tend to ignore it. If the gossip is damaging to my professional reputation (such as alleged inappropriate relationships with co-workers, excessive alcohol, bad behavior in a professional environment), then I will address it. Here are some tips to keep in mind about gossip:
If you are going to have a conversation with the perceived ‘gossip’ be sure to have that conversation in private. No one else needs to be part of the discussion.
Be sure that you don’t attack, accuse or intimidate the person.
Do not bring others into the conversation (“Marlene told me that you said…”) as it will derail the point of the conversation.
Be clear on why you are approaching this person. What is your purpose? Is it to have the gossip stopped altogether, or to correct the information? Be sure to have your intent in mind.
Be clear on what you expect to happen as a result of your conversation.
For example, here’s what not to say: “Caroline, you and I need to talk. Marlene told me that you were spreading gossip about me around the office. I want it to stop—you have no idea what you’re talking about and Marlene isn’t the only one who told me you are doing it, either. You stop talking about me or I’m going to Human Resources tomorrow. Do you understand?”
Office Gossip –cont’d Here’s what you should say: “Caroline, I’m hearing some gossip about me that is damaging to my professional reputation. I’m not accusing anyone of anything. I don’t know if you’ve heard the rumors going around about me or not, but they’re really disturbing. If you hear of anyone talking about me, I would appreciate it if you would ask them to stop. “ Yes, this is a very passive approach to the gossip, but it is likely to be far more effective than if you take the first approach and go in guns blazing. If the gossip continues, you may choose to escalate the matter a bit, or take a different approach: “Caroline, rumor has it that I’m the subject of some hurtful gossip recently. The rumor also states that you’ve had an active part in spreading this gossip. I can’t prove anything and sometimes gossip is just not true, as you know. I’m just going to ask that if you have any questions about what happened, that you come directly to me rather than talking to others about me.“ If your professional reputation is being compromised, you have to do something about the Colin & Amelia gossip.

It’s that time of year when we celebrate with family and friends. Chapter meetings will be filled with the sounds of holiday greetings. Homes will be decorated with trees covered in glowing lights and ornaments. Good cheer will be spread over everyone like a warm blanket on a chilly night. 2013 has been a year of change for IAAP and 2014 will include even more changes. We look forward to working through these with you. The Foundation of IAAP Board of Regents met in October for its fall meeting and a strategic planning session. Because The Foundation is still relatively new, we are further defining the focus, purpose and direction to ensure we put The Foundation’s time and money toward projects that will support its mission to invest in the success of administrative and office professionals. It’s essential we have a clear path to where we want to go. While we’ve already accomplished a lot in the inaugural year, we still have a lot of planning and research left to do to help us determine our strategic plan. We will be working throughout the coming year to define and implement this plan and will keep you informed as we continue on that journey. The Foundation Board is pleased to announce that we have approved a grant to IAAP to create a review guide for those sitting for the Certified Administrative Professional exam. There is currently no review guide based solely on the exam and the CAP Review Guide created by IAAP will fill that gap. The regents approved a $128,000 grant to be dispersed in three phases, each dependent upon successful completion of the prior phase. IAAP is currently in the first phase of this 12- to 18-month project.

for EFAM scholarships will soon be available on The Foundation website. Last year we sent 40 recipients to EFAM 2013 to help further their careers by attending the professional development sessions offered. We encourage all IAAP members, students as well as non-IAAP members to apply for this scholarship so they have the opportunity to see all that EFAM and IAAP have to offer the administrative and office professional. We will have future educational initiatives we want to fund with continued financial support. · The Foundation awards scholarships to those who have never been to EFAM. This year it could be you or someone from your chapter or division. For EFAM 2013 we awarded 40 grants, which was an investment of approximately $25,800. · We help administrative professionals in need who can’t meet the cost of their housing in retirement communities. That’s taking care of you after you’ve spent your life taking care of everyone else. · We continue to support Vista Grande. It’s important to you, which makes it important to us. · As you already read, we are supporting IAAP in its efforts to create a CAP Review Guide. The Foundation has two major annual fundraising efforts: Amazing Ride (known as the Amazing Walk in 2013) and the EFAM Silent Auction. More details will come after the first of the year for both campaigns so you can get involved and take part in the fun! You don’t have to wait to help The Foundation. We hope to continue to fund exciting new initiatives to help in the advancement of administrative and office professionals. As we head into the holidays, think about your year -end giving and keep The Foundation in mind. Giving to The Foundation of IAAP is always in season (donations are tax deductible in the U.S.).
