INTERNATIONAL ASSOCIATION OF ADMINISTRATIVE PROFESSIONALS BAHIA CHAPTER, NEWPORT BEACH, CALIFORNIA
JANUARY 2013
PRESIDENT’S MESSAGE What a wonderful 50th anniversary celebration we had last month! Evelyn Zupka, CAP-OM, Toni Consiglio, CAP, and Kathy Bastas worked very hard planning and organizing the meeting. They attended to every last detail, with the help of Vee Molinari, CAP-OM and Joan Snyder, CAP-OM. Sydney Alexander, CAP-OM found some historic pictures of previous events. All was wonderful. Thank you all, ladies, for making this event so special. Joan Snyder, CAP-OM has taken some pictures that can be found in this newsletter. Some VIPs in attendance (beside Bahia members, of course) were Karlena Rannals, CAP-OM, IAAP International President; Donna Kendrena, CAP-OM, California Division Vice President; and Angie LaCarte, who will be coordinating the 2013 EFAM (along with Sydney) next year in Anaheim. There were also several spouses and guests attending. It was so much fun! The speaker for the January 10 meeting is Barb Schmit from Esselte. Barb is a very interesting and multitalented lady. Some of her lovely wooden ornaments were for sale at the Professional Development Day event in October. Beside that, she loves IAAP! She comes bearing samples and information for everyone. Please try to attend her presentation. See the attached meeting flier for more information. Chapter of Excellence is moving along. All 19 eligible California chapters have completed Criteria #3. The next deadline is April 30; we need to submit Bahia’s business plan for #4. Criteria #5 is to hold at least one membership drive before May 31. Criteria #6 is holding at least one new member orientation by June. These will not be difficult if we have a couple of members on each committee to help plan these functions—or at the very least, to attend a board meeting with your ideas. That’s how we all learn. As 2012 comes to a close, and 2013 is just around the corner, I want to wish everyone a happy, healthy, prosperous New Year. As I store away the Christmas wrap and bows, and take down the cards and decorations, I always feel a kind of “letdown” after the hustle and bustle of the holidays and trying to squeeze so much into so little time. If you’re like me, you’ve left many things undone, many words unspoken, and many people wondering, “What the heck is she doing?” But, never fear, in the New Year there are still many more chances for things to be done, many more words to say, and some people will never figure out what I’m trying to do. There are those members who had a good year (grandbabies born, new job, new friends, etc.) and those members who didn’t have such a good year (lost loved ones, lost jobs, or contracted an illness of some sort), but there is still hope for all. It is my hope that with the New Year will come new life to our chapter. If we gain two new members, and lose three, that’s not very hopeful. It would be better if we could do it in reverse. Let’s not keep IAAP a secret; please share with your friends and coworkers. Until next month,
Beverly Lipscomb, CAP-OM

NOTE FROM THE EDITOR First I would like to thank JoAnn Thompson for all of her hard work over the years and for the great job she did as our Newsletter Editor. When I offered to take over the position, I didn’t realize I no longer had access to the Publisher software. So now it’s a new year with a new look. It was necessary for me to use Word software for the creation of the new Spinnaker. However, I did try to make it as much as possible to our previous editions. Now that it is in Word, which almost everyone has access to, perhaps someone would like to work with me as a co-editor. I will not be able to continue as editor for very long, so I would like to have someone else ready to take over. It is a fun task with a real feeling of accomplishment in the end. Please don’t hesitate to contact me with any questions you might have, as well as suggestions for what you would like to see in our Spinnaker. Joan Snyder CAP-OM

IAAP NEWS SOUTH PDNF The Southern California Professional Development and Networking Forum will be held on Saturday, January 12, 2013. It will be at the DoubleTree Hotel in Claremont, which is the site of the Annual Education Forum/California Division Meeting in June. There will be a site tour and overview of the weekend, but more importantly chapters will be trained on how to complete the process of creating folders in the Web Community. Registration is now open; deadline is January 3, 2013. These meetings hold a lot of information, and are fun as well. http://www.planetreg.com/E101715223917411. Flier is also attached.
INTERNATIONAL NEWS—2013 EFAM Every day brings new challenges for office professionals. This means every day is a new opportunity to sharpen your skills and once again be the superhero in your office. IAAP’S EFAM 2013 will equip you with the professional tools, techniques and networking needed to make your office effective and efficient every day. Stop playing catch-up when new demands dawn at work. Get the right training in technology, communication and professional development. Registration is now open for 2013 EFAM being held this year in our own back yard. Plan now to attend. Register online at iaap-hq.org now!
DINNER MEETING PRICE INCREASE As was previously announced, the contract for next year with the DoubleTree Club Hotel has been signed with an increase in the meal price. Most of us have enjoyed the meeting room, the variety of meals and the service. The Director of Catering has been very accommodating and we still have free parking. So, remember, beginning in January 2013, the price of the meeting will be $27 instead of $25. The chapter does not make money on the dinners; we keep the price as low as possible for our members. The price we pay is well worth the investment in our careers.

ARE YOU ON THEIR RADAR? GET THE RECOGNITION YOU DESERVE AT WORK You work hard, do a good job and uphold high performance standards for yourself. But if you think this is
common knowledge among your manager and the other executives at your firm, think again. In a recent survey from our company, respondents said lack of recognition in the workplace is the second-most common mistake companies make, cited by 28 percent of those interviewed. It’s a career imperative to take proactive steps to ensure your accomplishments and contributions win the attention and recognition they deserve. The following suggestions may help keep you on your supervisor’s radar: Don’t be invisible. No one wins recognition by toiling away in quiet obscurity in his or her cubicle. While it’s admirable to be able to work independently and autonomously, don’t be a constant loner. Speak up at staff meetings if you have a worthwhile idea, praise the work of colleagues and update your manager on a regular basis about the projects you are working on and any notable issues or accomplishments. Document, document, document. Never assume that your manager is keeping detailed track of your achievements. It’s up to you to do that. The best way to build your track record is to meticulously document all your assignments, as well as what the outcomes were. Record any problems and how you dealt with them. If you worked on a group project, note your contributions to the team effort. Even if these documents are never read by anyone but you, they will ensure you don’t forget details of your accomplishments when the time comes to relate them to your manager. Offer to help before you’re asked. Be observant of others’ workloads as well as your own. If you can find the time, approach them with an offer to help by taking something off their plate. Likewise, when your supervisor mentions upcoming projects, volunteer for them. Your own workload won’t allow you to be this proactive every time you sense a need, of course, but be aware of the positive impression it can make when you do have time. Just make sure that you don’t overextend yourself and end up missing deadlines or making mistakes on other assignments. Toot your own horn. Humility and modesty are admirable traits, but too much of either will ensure that your accomplishments go unrecognized. You don’t have to brag, but there’s nothing wrong with mentioning to your boss that you beat a deadline, helped a client find ways to save money or developed a procedure that will cut out turnaround time on projects by 25 percent. The key is to quantify your accomplishments— that way, you’re not merely giving your own opinion of your work, but providing evidence to support it. Network in the office. Just as you network within your professional field, also expand your circle of contacts in the workplace. Step outside your own department and get acquainted with your colleagues in other

divisions. Volunteer for cross-departmental teams so you have the opportunity to work with others and demonstrate your skills to different managers and supervisors. Gather endorsements from clients and coworkers. When appropriate, ask clients and colleagues to provide endorsements for you via email or on professional networking sites. Also take note when someone compliments your work or work ethic. You can cite these during performance reviews. Solicit feedback. Lastly remember that you don’t have to wait for your annual performance review to ask your manager how you’re doing. Asking for a “spot performance review” is a good way to focus his or her attention on your most recent work. It’s also a smart way to find out about any areas where you need to improve, so you can work on them before they become liabilities.

Word Pair of the Month: learn, teach These are powerful words, both referring to information, but sometimes they are misused. While the verb teach means to give knowledge, the verb learn means to receive it. (If you teach them, they will learn.) Examples:
Please teach (not learn) me the new entry procedures. Jim taught (not learned) me the old codes by mistake.

BULLETIN BOARD BOARD OF DIRECTORS MEETING: The next Bahia board of directors meeting will be at 2 pm on Saturday, January 26 at the home of Norma Baltodano, CAP-OM. [email protected] BINGO FUNDRAISER Mark your calendar now for March 9, 2013! Just a reminder—Bahia will be holding our annual Bingo fundraiser on March 9, 2013 at the Tustin Field Clubhouse. This is an opportunity for the Chapter to build up our treasury but we need everyone’s help. Please invite friends, relatives or coworkers to join us. In addition to raising funds for the Chapter, this event will be a lot of fun. Further details to come.
WEBMASTER NEEDED The Chapter needs a webmaster. It’s pretty sure that JoAnn Thompson will be moving to Texas. She has a new grandbaby (her first), and wants to be near. As some of you know, the website has been down for a long time. The website should be instrumental in bringing in new members. I was contacted by a person who wanted to view the Bahia website, and she reported it looked as though it was “under construction.” Since Bahia achieved the Chapter of Excellence designation, we can annex to the international website and give information about our chapter, our members, our meetings, etc., at a very good annual rate. We need to get Bahia’s website underway. Once it’s set up, it should be fairly easy for someone to keep it current. Ben McClanahan, Internet Communications Specialist for International headquarters, is very accommodating and responds to e-mails almost immediately. He will be a big help. He has forwarded complete instructions in the Sitebuilders Guidelines (with examples). If you would like to help or would like to look at the Guidelines, please call Beverly (562-260-9527) or send me an e-mail:
