Volunteer Roles & Responsibilities Special Interest Group Community Facilitator June 1, 2015 – May 31, 2016 The Special Interest Group (SIG) volunteer leadership team shares the responsibility of delivering education and networking to their community. One Community Facilitator should be designated as the Year-Round Community (YRC) lead, one as the ASUG Annual Conference Program Committee lead, and one as the Influence lead. We will monitor your fulfillment of shared and specific responsibilities below throughout your volunteer term.

Active ASUG member Possesses strong leadership, communication, collaboration, and organizational skills Exhibits an ability to comfortably interact with and manage teams Can establish and maintain professional relationships with SAP, ASUG Chicago Office, and industry peers Is knowledgeable of the ASUG organization and committed to ASUG’s values

Adhere to the Volunteer Code of Conduct and ASUG Bylaws Participate in monthly Standing Leadership Calls Follow the Volunteer Workspace, including the Volunteer Announcements wiki Opt-in to receive volunteer related emails, including the monthly Leadership Connection newsletter Actively engage with your Community on the ASUG website

Update the SIG jump page on ASUG.com with timely and relevant news Consistently participate in and monitor SIG and volunteer team discussion areas on ASUG.com Attend the majority of SIG events Work collaboratively with other SIG volunteers, your ASUG Communities Coordinator, and SAP Point of Contact (POC) to plan and execute a 12-month YRC calendar o Ensure that each SIG within the SIG Community executes at least one educational webcast per quarter o Distribute a SIG newsletter at least once per quarter o Conduct an annual survey with the SIG community to determine the needs of the community Assist ASUG Chicago Office in recruiting SIG volunteers by evaluating applicants within two weeks of receiving application Coordinate with ASUG Chicago Office on the succession and transition of SIG volunteers
Community Facilitators Build an Active YRC (One Community Facilitator serves as lead)
Lead the organization of at least one SIG event or Community webcast Recruit speakers and organize logistics for YRC activities noted above Recommend hot topics that will drive ASUG member participation, both for face-to-face and virtual activities
Serve as an ASUG Influence Ambassador (One Community Facilitator serves as lead) • • • •
Participate in Influence activities (Influence Councils, Customer Connection, and Customer Engagement Initiative) and monthly calls with the ASUG Chicago Office Influence team Facilitate and promote volunteer and membership participation in Influence activities related to your community Review, approve, and provide feedback when an Influence Council has been submitted Work with other volunteers to understand and prioritize Influence abstracts for YRC and Annual Conference programming
Play a Key Role on the ASUG Annual Conference Program Committee (One Community Facilitator serves as lead)
Participate on the monthly program committee call, follow the Program Committee Workspace, and distribute the information to relevant SIG volunteers Work with other SIG Community Facilitators to develop the overall program structure Collaborate with ASUG staff and relevant SIG volunteers to ensure a cohesive schedule that minimizes session conflicts Work with ASUG Chicago Office to ensure the SIG Program Chairs have secured appropriate speakers and are maintaining contact with them throughout the event Oversee program onsite at ASUG Annual Conference and attend Program Committee/Speaker Orientation meeting Provide feedback on sessions and conference logistics during an on-site debriefing meeting and post-event conference call
