Westfield Athletic Booster Club Meeting Minutes December 12, 2012

Call to Order: Bill Davis called the meeting to order at 7:00 p.m. Present (14): Bill Davis, Bill McAfee, Beth Ellis, Mark Jordan, Brad Harrison, Debbie Harrison, Ernie Crawford, Tim Hill, Pam Williams, Bonnie Verhoff. nd

President’s Report – Daryle was not in attendance – no report Coaches Report – Cheerleading – Beth Ellis – cheerleading tryouts held – have 24 cheerleaders, 2 Rocky’s and 3 managers Community Service projects: 1. Kohls gave discounts – purchased teenage gifts for Amanda Strong foundation 2. Collecting food at the girls basketall game & new coats for the Julian Center – having a competition with the boys. If boys win, the cheerleaders will make the boys bball team cookies. th Cheer/Alumni night is January 4 . Have already heard from many alumni and trying to get a college cheer team. Purdue & Ball State cheerleaders cannot come; waiting to hear from IU. Injured cheerleader getting some motion back but still in therapy.

WHS Bill Davis reported: Boys Basketball – Record 2/2 – were beat by Zionsville in OT Girls Basketball – Record 7/1 – Playing Thursday & Saturday in the Shelbyville Shootout Wrestling – WHS did well in the Calumet invite Swimmers – have done well – meet against HSE had 5 boys sick Treasurer’s Report – Bill McAfee advised that all spirit club accounts are in good standing and the general accounts had minimum activity. Shannon, Brenda & Chris Rogers received updated membership list this morning. Spirit groups received detailed activities for their accounts. 

Motion was made to accept the treasurer’s report by Tim Hill, Beth Ellis 2 the motion. All approved.

Athletic Director’s Reports WHS - Bill Davis – gave uniform report for scheduled purchase of all uniforms. This is not set in stone but a guideline to use. Some coaches elect not to replace uniforms exactly on schedule and are very good about not requesting without a real need. Example: Soccer coach passed on warm-ups the last rotation. Football uniforms are due next year – white ones, which will cost approximately $15,000. The former coach wanted the same uniforms each year, but do not know what new coach will request. The uniforms this past year bled when washed so some are being replaced. Jerseys are approx. $102, pants-$54, helmets-$210 – they last 10 years and are often times reconditioned for ~$6000/yr. rd Basketball uniform warm-ups are expensive and are replaced at WABC expense ~ every 3 year. Younger groups get the leftover uniforms and are very nice these days. Capital Campaign Report – Steering committee put together. An anonymous source committed to purchasing the scoreboard - $350,000. The committee is working on potential large donators. There is a “Championship” committee – with WYSI heading up one group and Jake Gilbert heading up the Gridiron group. Also will have 1000 bricks for sale – should bring in ~ $500,000 Bill commented on athletes from Westfield include the IU National Soccer Champions – Eriq Zavaleta and Jamie Vollmer. Eriq is reported to be the #1 pick for MLS. Bill also reported on the conference change of WHS. Westfield to leave the HCC. The MIC has shed the Terre Haute teams and picked up Pike & Lawrence Central. The 3 Lafayette schools will no longer be in our conference. The HCC may have to dissolve. We are currently scheduled to have 7 teams in our conference, including HSE, Fishers, th Noblesville, Avon, Brownsburg & Zionsville beginning in 2014/2015…will try to get an 8 . We may have to play one of

the Lafayette teams for non-conference games. Ernie asked about what drove this change. Bill said that HSE drove it because of having 2 schools in their district that have to travel to Lafayette schools. Question was asked by Ernie Crawford regarding a Lucas Oil Stadium game .. Bill answered that he tried to set it up this year but Harrison decided they had a better option. Bill discussed how the weather affected the Athletic Department revenue this year – was down approximately $14,000 due to having to move 2 games to Saturday this year alone when only 2 games in 17 years had been moved to Saturday. WMS – Doug Luce – not present – sporting event @ WMS Spirit Club Reports 

Boys Basketball – Mark Jordan reporting for Deb Kreig o JV/Varsity record 2/2 – Freshmen 5/1 o 12/8/12 had Amanda Strong event delivering food o Saturday evening were delivering clothes to the Wheeler Mission o Fundraising doing well as reported by Coach Rauch – money continues to come in o Shelbyville Shootout will be on Saturday 12/29 for boys and Girls will be on 12/28. o The Pep Band will play for the last 3 basketball games

Committee Reports 

WABC Golf Outing – Bill to chair the event again. Will begin to fill out the necessary forms again and work to implement.



Fan Club – no report



Mike’s Car Wash – Question asked whether letter was sent to Mike’s – Brenda?



Membership – Shannon – it was reported that Shannon didn’t get the email about this meeting so no report. Membership was discussed with the wrestling group.



Website – Beth Ellis asked again about the website. Ernie Crawford volunteered to look into the same website as baseball/football use and research options and report. Need decision by the end of January. School website more difficult. Guerin high school uses good website if anyone wants to view. Home Teams Online supports multiple teams – approx 20 teams @ WHS. Basic is $165/$1000/year. Bill to email VNN to Ernie and to ask Daryle to extend the current contract so Cheerleading doesn’t lose their website for now.

Scholarship Committee – no report.

Old Business – no report New Business Elections – Brenda Jordan to resign as secretary. Bill Davis wanted to personally thank the Jordans for all their hard work over the past years. The group was better because of their work and dedication.
