WHAT DO STATE LEVEL USERS SEE? WHAT DO GRANTEE LEVEL USERS SEE? State level Users and Grantee Users see the same Center profile and APR input data. The difference is that state level users see ALL grantee profiles and their centers for their state. Grantee users see only the centers associated with their grant.

I ADDED CONTACT INFO TO A GRANTEE PROFILE, BUT IT DID NOT CREATE A USER ACCOUNT. WHY? Adding contact information to a Grantee Profile does not automatically create a user account for that person. If you are authorized to Manage Users for your state: To create a user account, you must go to  Home > Manage Users > Add User and follow the steps to create a new user and send them an activation email. *Note: The 21APR System is designed this way because not all states allow grantees to enter data.

HOW DO I NAVIGATE TO APR DATA ONCE I HAVE ADDED A CENTER PROFILE? You can reach the APR sections (Activities, Staffing, Participation, and Outcomes) from each Center Profile in two ways: 1. Click the Activity arrow in the top right:

HOW DO I REPORT HOURS FOR ACTIVITIES?

For each activity entered you are asked to report the average hours per session:

Select 1-2 hours for activities whose duration are on average 1 hours or more but less than 2 hours.

Select 2-4 hours for activities whose duration are on average 2 hours or more but less than 4 hours.

WHEN DOES INPUT FOR SUMMER 2014 END?

Summer 2014 data entry will end on: December 10, 2015 at 11:59:59pm Hawaii–Aleutian Time.

Because this window closes soon, we strongly encourage you to prioritize adding grantees who were active in Summer 2014. There will be a future, limited opportunity to update Summer 2014 data during the Certification window from February 12 – February 19, 2016. (See slide #8)

WHEN DOES INPUT FOR FALL 2014 BEGIN?

Fall 2014 data entry will begin on: December 11, 2015 at 12:00:00am Hawaii–Aleutian Time. Elements for Fall 2014 (and Spring 2015) are exactly the same as the elements in Summer 2014 – Activities, Staffing, Participation, and Outcomes.

WHAT IF I DON’T HAVE DISAGGREGATED DATA FOR FALL AND SPRING? Do your best to disaggregate. No new data elements are being collected. You will not be asked any questions that you do not have the answer to as the new system is based on the same GPRA indicators you have always had to report. If you have not been collecting information by term, we will work with you on how to enter the data that you do have.

HOW SHOULD I PREPARE TO ENTER 2015-2016 DATA? 2015-2016 data will be collected by terms:  Summer 2015  Fall 2015 and  Spring 2015 States are responsible for determining the start and end dates for each term. States should determine the end date of Fall 2015 now and communicate it to your Subgrantees.

HOW CAN I GET A FASTER RESPONSE FROM THE HELP DESK? To expedite a response, follow these tips:  Ask only one question per email. (Send as many as you need!)  Be specific in the subject line.  Be detailed in describing your question or issue.  Include screenshots with your inquiry if possible. Help Desk aims to reply within two business days. A resolution will follow as soon as possible.
