Concord Bridge Swim Team 2015 Parent Handbook (Keep for your records)

ELIGIBILITY Eligible participants are children aged 4 to 18 years. There are no tryouts to join the team; however, due to size constraints, limited staff/volunteers, and limited practice times, all our participants should be comfortable in the water and not be a hazard to themselves or others while in the water. If your child is under the age of 6 and has never had swim lessons, it might be a good idea to enroll him/her in swim lessons before registering for the team. Our coaches are not available to teach individual beginner swim lessons during our practices. Due to liability issues, no swimmers will be allowed in the water until they have registered.

FEES The Concord Bridge Swim Team is funded through registration fees, donations, team fund raisers, sponsorships, and ad sales. The registration fee includes the cost of a swim team T-shirt, swim suit, swim cap, and a trophy. The fees for the entire 2015 season are: Registration Fees – “early bird Mar 16 - 20” 1st child in family $140.00 2nd child in family $130.00 3rd child in family $120.00 4 or more children $110.00 each Aged 15 and over $65.00

All fees can be made in one or two payments (first payment due when registering. Final payment due by April 13)

Registration Fees – “early bird Mar 21- April 12” 1st child in family $150.00 2nd child in family $140.00 3rd child in family $130.00 4 or more children $120.00 each Aged 15 and over $75.00 NOTE: Please note that fees will include one team suit, 10 weeks of practices, a team swim cap, a swimmer team t-shirt There will be no refunds given after First day of practice. *Exceptions to refund policy * - A $50 refund will be given to any family that has a swimmer that does not qualify to remain on the team due to inability to swim and the unused team suit is returned to CBST - All swimmers will be notified of this status on or before May 1st No full refund, for practice conflicts, or any delays in communication.

LATE FEES WILL BE ASSESSED IF REGISTERING AFTER APRIL 13 - $10/FAMILY Post-Season Invitational Meet Fees Swimmers are required to pay if they sign up for the Invitational Meets. Fees generally range from $3.00 per event to $5.00 per event. Not all swimmers will qualify to swim in an Invitational Meet, and swimmers are not required to attend the Invitational Meets.

Concord Bridge Swim Team 2015 Parent Handbook (Keep for your records) Volunteer Deposit Fee Each family is required to leave a separate payment of $175 as a volunteer deposit at the time of registration. At the end of the season, after you have worked your required volunteer hours, your deposit will be returned to you. If you pay by check, your check will be held and not cashed. Parent Survey results from prior years overwhelmingly showed "No pay, no swim" if the volunteer deposit is not submitted. Therefore, in accordance with the wishes of the Concord Bridge Swim Team families, the Board will enforce this policy. See the section on Volunteering for more information about our Volunteer Program.

Swim shops will come to the Concord Bridge pool on this day. Swimmers will be fitted for this season’s suits. Please have your swimmer there that day. If you cannot pick up your child’s suit this day, you will need to make plans to pick up the suit from D and J sports - store located at 11407 Spring Cypress Rd # 100 (281-370-7946).; PARENT MEETING April 23, 2015 Important information will be handed out, and Board Members will be available for a Question-andAnswer session. We want all our families to feel informed and feel like a part of our team! TIME TRIALS May 2, 2015 Time Trials are a mock meet in which our swimmers swim each of the strokes they are capable of swimming so that "seed" times can be established. It is very important that all swimmers attend this meet if possible. If for some reason you are unable to attend Time Trials, then you MUST see the coach during practice the following week so that times can be obtained before our first meet. The deadline to have times established is May 14. PICTURE DAY/T-SHIRT DISTRIBUTION May 7, 2015 Times vary; however the team photo is usually taken at approximately 6:00 p.m. Individual photos will be taken beginning at about 5:00 p.m. and continuing again after the team photo. Packages and pricing information will be available prior to picture day. SWIM – A - THON May 17, 2015 The Swim – a – Thon is a fun team activity and fundraiser. All swimmers are expected to participate at some level. A $25.00 fee per kid will be accessed if your child decides NOT to participate. This fundraiser is being used to continuously buy NEW equipment

Swimmers are required to be at the meet around 6:30 a.m. for warm-ups and check-in (for home meets) and around 7:00 a.m. for warm-ups and check-in (for away meets). The meets usually start by 8:30 a.m. and end by 2:00 p.m. See Section on Meets for more information.

APPAREL A swim team t-shirt is included with the registration fees. Please take care when ordering your child’s shirt size; there will be NO EXCHANGES. Additional shirts can be ordered at the time of registration at a cost of $10.00 each (child’s size) or $15.00 each (adult’s size). A team swim suit is a part of the registration fees. If you would like additional suits and/or goggles, they can be purchased onsite at April 16th (team suit pick up day) from D & J Sports. A team suit comes with registration. Use of a practice suit during practice times will help maintain your suit quality. Team swim gear may be purchased from D & J Sports at their store located at 11407 Spring Cypress Rd # 100 (281-3707946). To help identify CBST swimmers, each swimmer is required to wear the team swim caps. Swim caps are included in the registration fees. Additional caps can be purchased at the time of registration for $10.00 latex, $20.00 Silicone.

Concord Bridge Swim Team 2015 Parent Handbook (Keep for your records) PRACTICES Attendance is not required at every practice, but each swimmer is encouraged to attend as many practices as possible. Excessive absences from practice may affect a swimmer’s placement on a relay team. Practices are held Mondays through Fridays at the Concord Bridge Pool. In the case of inclement weather, a practice cancellation notice will be posted at the pool and on the website. Dry-land practice will be held in the event of water problems (too cold, chemical imbalance, etc.). Therefore, swimmers should bring tennis shoes to each practice. Swimmers should also make sure to bring their bathing suits, a towel, swim cap, and goggles to each practice. Only Dolphin swimmers participating in their swim team practice session and their parents should be in the pool area during swim team practice. Anyone else will be asked to leave unless there is a specific need for him or her to be in the pool area. Please do NOT help the coaches during swim practice and do NOT deal with the lifeguards. Contact a Board member if you have problems with the coaches or lifeguards. PARENTS ARE INCHARGE OF GOVERERING THEIR SWIMMER -This includes, but is not limited to, behavior and whereabouts at all times. Please reframe from interacting with your swimmers during practice (stay away from the edge of the pool – the deck area is only for the coaches and swimmers). This distracts the kids from listening to the coach “coaching” – please remind your kids to go the restroom BEFORE practice. (the pool is NOT a place to use the restroom NOTE: The times below are subject to change based on number of swimmers attending each practice. APRIL 13 – June 05 (1st week dry land practice only)

MEETS Our Coach or Clerk of Course needs to know by Tuesday each week if a swimmer cannot participate in the meet on the following Saturday or if a swimmer will arrive late to/leave early from the meet. The Coach submits information about the events each swimmer will swim so that heat sheets can be printed on Thursday. An Attendance Sheet will be posted on the bulletin board for you to complete or you can notify us via email ([email protected]). Please do not hesitate to contact us after Tuesday if an emergency arises and you know your swimmer will not be at the meet! Warm-ups before a meet are MANDATORY for all swimmers. If your swimmer chooses not to attend warm-ups and he/she is entered in the first relay event, then they will be scratched from that relay event. It is very important with the card less meets that we know all swimmers are at the swim meet and at warm-ups, ready to swim in the relay events. Swimmers will be placed on relay teams based on a number of factors: event time, attitude, and attendance at meets and practices. Placement on a relay team will be at the coach’s discretion and will not be automatic based on a swimmer’s time in a particular event.

TROPHIES & AWARDS Trophies and other awards are included in the registration fees. Only those swimmers participating in at least two meets will be given a trophy in recognition for their participation on the swim team. Trophies and other awards are given out at the year-end party.

RULES OF CONDUCT We want our children to enjoy themselves while building their swimming skills. To ensure that everyone receives the full benefit of our program in as safe an environment as possible, please review and discuss the items below with your child. Our coaches and board members have the authority to expel unruly swimmers and/or parents from practices and meets.  Park bikes in the racks outside the fenced pool area.  Pick-up and clean up after yourself in the bathrooms.  Refrain from wrestling or horseplay in the pool; do not push or throw others into the pool  Walk within the fenced pool area.  Use only language befitting successful athletes.  Keep your hands to yourself; please maintain appropriate discipline and behavior.  Listen and follow instructions of coaches and leads of volunteer groups.  Wait your turn.  Be polite and courteous to fellow swimmers and parents.  Have FUN!!! PARENTS ARE INCHARGE OF GOVERERING THEIR SWIMMER -This includes, but is not limited to, behavior and whereabouts at all times. The NWAL Parent/Coach Code of Conduct is included in the registration information and must be signed by at least one parent and returned with your paperwork.

COMMUNICATION We have a website!! Check us out at www.cbstdolphins.com for important information about the team and for daily updates regarding practices, events, etc. Please note these other forms of communication:  A Family Folder will be made for each family. Please check this folder at least weekly for important information.  Newsletters will be sent via email and will be available on the website and facebook. Newsletters will be placed in the Family Folders for those families that do not have internet access.  Important notices, flyers, and meet results will be posted on our bulletin board at the pool and will be available on the website.

VOLUNTEERING The Concord Bridge Swim Team is a volunteer-run organization. The success of our swim meets and our team depends on the help of all our families so the workload is manageable. We need to be able to provide capable volunteers in sufficient numbers to run our meets safely and efficiently. In order to maintain a fair level of participation from ALL the CBST families, we have found it necessary to implement a volunteer deposit. (See page 1 regarding the Volunteer Deposit.) You must work at least 20 hours to get your deposit returned to you at the end of the season. All volunteers should check in prior to every meet. If you don't remember what Volunteer Team you are on, then you should check in with our Volunteer Coordinators and they will tell you that information from what you signed up for during registration. If you did not sign up for a particular Volunteer Team at registration, you should check in with our Volunteer Coordinators, and they will find a Volunteer Team for you. You will always need to check in with your Volunteer Team Coordinators prior to every meet to sign up for the shift you can work that day. Shifts will be assigned on a first-come, first-served basis. If you are concerned you are not going to complete all your volunteer hours, then please talk to one of our Volunteer Coordinators. There are many, many opportunities to get volunteer hours! Besides the regular swim meets, there is work that can be done during the week and at year-end. Our divisional meet and yearend party are also great opportunities to get volunteer hours as well. A description of all volunteer positions can be found on the next page.

Maintains volunteer hours for each worker. Assists Clerk of Course/Computer Team Coordinator by entering meet results into computer and printing/posting results as needed. Places stickers on the ribbons and places ribbons into Family Folders. Collects score sheets from scribe and delivers to the computer people during their shift of the meet.

CONCESSIONS TEAM Concession Team Coordinator Concession Helper

Ensures availability of relief helpers. Coordinates purchase of food, set-up and take down of concession stand, and collection of money. Maintains volunteer hours for workers. Assists with purchase of food, set-up and take down of concession stand, and selling of food items during each home meet.

EQUIPMENT TEAM Equipment Team Coordinator Clean-Up Crew Equipment Crew (Setup or Take down)

Ensures availability of relief crew helpers. Coordinates set-up and take down of all equipment needed for each meet. Maintains volunteer hours for workers. Changes out trash can liners during home meets. Helps clean up all areas after every swim meet. Puts up/takes down “No Parking” signs on street before/after each home meet. Helps set up/take down all equipment (tables, chairs, tents, ready benches, starting blocks, flags, etc.) before and after each home meet. Helps transport and setup/take down tents to/from each away meet.

HERDER TEAM Herder Team Coordinator

Herder

Ensures availability of relief Herders. Leads Herder meeting before each meet to coordinate distribution of information about each age group and to hand out supplies as needed. Maintains volunteer hours for workers. Gathers particular age group of swimmers and gets them all to the ready bench when needed. Stays with the group of swimmers during the meet. Helps to police the area of the kids to pick up trash, belongings, etc.

OFFICIALS TEAM Official Team Coordinator Clerk of Course

Coordinates recruitment, training, and certification of officials. Ensures availability of relief officials at each meet. Maintains volunteer hours for workers. The official who inputs swimmers’ times, generates results, and submits team’s entrants prior to meets. Determines eligibility and seeding of swimmers at each meet. Requires NWAL training and certification. The official who is in charge of the entire meet. Has full authority over swimmers and other officials. Requires NWAL training and certification. The official who starts each event of the meet. Requires NWAL training and certification. The officials who ensure that rules relating to proper stroke and turn positions of the swimmer are being maintained. Requires NWAL training and certification.

Ensures availability of relief helpers. Coordinates delivery of score sheets and seeding of swimmers. Maintains volunteer hours for each worker. Seats the swimmers on the ready bench in the correct order and sends them to the starting blocks when needed. Maintains event numbers to ensure timely seating of swimmers on the ready bench.

TIMER/SCRIBE TEAM Timer Team Coordinator

Ensures availability of relief Timers and Scribes. Coordinates heat starts with Starter and timers. Maintains inventory of team’s stopwatches. Leads Timer/Scribe meeting before each meet. Maintains volunteer hours for each worker. Verifies swimmer’s name shown on score sheet and records swimmer’s time. Times swimmers in a lane with stopwatch during the events.

VOLUNTEERS TEAM Volunteer Team Coordinator

Coordinates sign in of volunteers at all meets and works with Team Coordinators to adequate staffing of all positions and shifts. Maintains hours of all families and communicates that information to the families.

Checks in with Volunteer Team Coordinator at each meet and helps where needed. Helps write event numbers on swimmers' arms when they check in. Sets up email addresses for all families and sends out information via email throughout the season as needed. Maintains supplies of First Aid kit and monitors First Aid station at home meets. Designs the sponsor pages that go into the heat sheets. Helps with distribution and sale of T-shirts, swim caps, and other team gear. Organizes and runs 2-3 pep rallies per season.

OTHER IMPORTANT INFORMATION Bathrooms... Please help us keep them clean. We could be restricted from using the bathrooms if we continue to leave them messy. We request your attention to cleaning up after yourself...be a good citizen. PARENTS ARE INCHARGE OF GOVERERING THEIR SWIMMER -This includes, but is not limited to, behavior and whereabouts at all times. Lost and Found... Please check with a Board Member or with Coach it if you have misplaced an item. A box of “found” items will be kept in the storage area.

Concord Bridge Swim Team 2015 Parent Handbook (Keep for your records) PLEASE NOTE: The Concord Bridge Swim Team is a member of the Northwest Aquatic League (NWAL) and has adopted the NWAL SafeKids Guidelines shown below. For more information about NWAL, go to their website at www.nwal.org.

NWAL SafeKids Guidelines The Northwest Aquatic League is organized to foster competitive swimming and good sportsmanship in the youth of the area. NWAL is committed to ensuring the safety of the children who participate in this program and to provide a safe environment and to prevent child abuse and sexual misconduct. NWAL will make every reasonable effort to ensure that every person involved in coaching/training will abide by the SafeKids guidelines. NWAL will make every reasonable effort to exclude any coach/trainer with a legally documented history of child abuse/molestation or any other record that would bring unnecessary risk to the health and safety of the participants of this organization. Therefore, every person applying for a position as a coach/trainer (whether paid or volunteer) must complete a Coach/Trainer Disclosure Statement. The team representative will provide the Coach/Trainer Disclosure Statement to coach/trainer applicants. These statements must be completed and returned to the NWAL League Manager prior to the new Coach/Trainer beginning their work with the children in any team training/practice, meet or other team activities. NWAL will take appropriated action on allegations of child abuse and/or sexual misconduct. All allegations will be reported immediately to the authorities for investigation and NWAL will cooperate fully with any such investigation. The following is a list of guidelines that should be taken by each NWAL team:      

Physical, mental, and verbal abuses are forbidden Inappropriate touching is forbidden Coaches/trainers should not socialize with the participants outside of the sponsored activities of the organization Coaches/trainers should not ride solo with a child Parents are encouraged to attend sponsored activities If a child needs special attention (one – on – one), do it with the assistance of another adult.
