GGSA Board Meeting Minutes for December 20, 2016, Nelson Library Board Members present: Karen Henning, Alice Cole, Dick Cole, Maria Valverde, Phil Grass, Scott Bacon, Erik Moy, Chad Baker. Others present: Pete Cardoza, Indra Kyrabadi Proceedings:  December 2015 minutes approved  Treasurer’s report distributed and accepted Correspondences:  U16 softball player with Ewing’s sarcoma in Maine and they are looking for donations, board approves $50  Southern Worcester deputy JO (Junior Olympics) is now Pete – ASA (rebranding to Mass/USA softball)  Rec dept Jen Anderson – meeting w/all sports team to hear issues – how to support, etc. (Meet/Greet)  Sutton and Millbury – reached out to them about Rec season, will discuss rules for inter-town play, Sutton on board GGSA:  Indra is apparel coordinator – do we want to use the same logo? Indra will get samples (options) for the next meeting  Scott to investigate about art work for logo (ball with flame)  Enrollment update by Maria o U10 girls at practice who haven’t paid  Heather Masera to send electronic flyer to schools to see if we can get more enrollments  Town signs need to come down to impending snowstorm and winter weather  Maybe Unibank or another sponsor can run an electronic message about GGSA enrollment  Sponsor update, - 16 sponsor letters out on Jan 4th to past ones, 44 new ones went out on Jan 11th  Key Dates: o Opening day is April 30th o Registrations close on 2/27 o Coach’s meeting week of 3/21 or so o Field prep day TBD based on weather, but before Opening Day o Youth umpire training at end of April – open position o Maria to send e-mail out about volunteer positions  Equipment needs o Check bases on fields o Shade ‘umbrellas’ – check for season – two were thrown out last season o Koopman’s has fold-up picnic tables, but probably none left o Need catcher’s equipment for all ages, existing is ‘ratty’ o Need new softballs o Need second lining machine



Opening Day o Need silent auction sponsors (items) o Need committee members

Small business that will do the payroll and tax filings for the paid staff (Complete Payroll Solutions) o Board motioned to accept for one year, to be reevaluated next season o 9-10 employees - $69/month o We need to issue 1099 forms ATV update – Chad to post ATV for sale on Craigslist or other online sites o Can unload it now for $2500 – interested buyer – but will wait for online interest o Maria to put on Facebook also o Scott to get photos of ATV and model no. miles, etc. o Need to determine selling price – probably $3500 - $4500

Diamonds Program Update:  Tournaments o 10U – Seven teams o 12B – Twelve teams, 5 paid o 12 Open – Three teams unpaid o 14U – sold out 

Fields need to be prepped



Pants update – get two pairs, will be getting samples, will be white or black
