Glenwood Athletic Boosters Meeting Board Meeting: March 15, 2016
Board Members present: Gilmore, Dierkes, Hobbie Members Present: Margy Smith, Kathy Hochstein
Gilmore called meeting to order at 7:00 at the GHS commons. Approval of Minutes: Hobbie presented Minutes from the February 2016 meeting were presented and approved. Treasurer’s Report: Dierkes reported Provided financial report for YTD August 2015-February 2016. Balance as of the end of February is $84,155.22; however, there are checks outstanding of $12,000. Awards noted for this past month include $7,752 in uniforms for track, softball and girls soccer as well as $870 in wrestling bags. Old Business: Gilmore and Direkes reported on the discount card fundraiser. It is closed and we have submitted he final numbers to the promotion company. Total sales were $20,045. That number is going to be split approximately 55/45 with the promotion company. The Boosters’ profit will then be split with each participating team. A check and a tally sheet will be submitted to the teams once final numbers are calculated.
Gilmore reported on the 50/50 raffle. The volleyball team collected $209 with a small amount still outstanding from the last home game. It was originally decided that that amount would be split evenly between the boosters and the team. However, the board decided that they would give the total amount of the proceeds, minus the cost of the raffle license, to the volleyball team. The board will revisit the issue of the 50/50 raffle next season and decide then if it is worth pursuing again.
Hochstein reported on the Sadie Hawkins Dance. There was a total of $1,723 worth of admission tickets sold. Expenses will include payment to the DJ in the amount of $250 and approximately $60 in security fees. Hochstein stated she will take all the cash and get a cashier’s check to Dierkes for the proceeds as there was too much cash to bring to the meeting. Hochstein voiced concerns regarding her communication with board members and their involvement and/or lack of interest in the dance. A lengthy discussion was had between Hochstein and the board members. Dierkes attended the dance and worked the admission table. While the board voiced appreciation for the fundraiser, Hochstein concluded that she would seek a different connection or sponsor for next year’s dance. If the booster concession stand is needed or wanted for the event, Hochstein was advised that she would need to communicate that need to the board president at least two weeks in advance of the event so as the necessary items can be purchased ahead of time. \
New Business: Glimore reported that plans have been made, if it has not happened already, for any unused inventory inside to be moved outside for the upcoming spring sports. An email was sent out to all spring coaches asking for a lead parent contact and to date not many have responded with a contact so she is unsure which sports will be wanting to run a concession stand. She has sent a follow-up email and is awaiting responses.
Hobbie reported that she received an update from Roy Gilmore on the efforts regarding the golf outing. Plans are moving forward and he has spoken with Piper Glen to confirm the date and rates for the event.
Gilmore reported that she has been in communication with AD Rourke, the athletic trainer and Mike Szabo, the athletic custodian, was present during this part of the discussion to discuss the need for a couple new/used golf carts. Golf carts are used for many different things throughout the day during the spring and fall and are of a valuable use. They have two at the present time. One is not functioning at all and the other is being repaired. Hobbie has done some research and found several different options for purchasing a used cart. Those different options were presented. AD Rourke is contacting local businesses to see if he can possibly secure some sponsors. If we are able to secure sponsors, those sponsors will be listed on the golf cart. The board agreed to pursue the purchase of one or possibly two used golf carts as it is believed this is a very good use of funds as it benefits all sports.

Gilmore reported that as of this time there have been no new requests from coaches/teams but she was advised there may be bigger requests coming as the district is alluding to needing more financial help.
Gilmore advised that there is a GMS basketball shootout scheduled for June 9 th and 10th. If we choose to run a concession stand, volunteers will be needed. She plans to contact the coach and see if he can arrange for volunteers.
A discussion regarding election of new officers was put on hold.
