Glenwood Athletic Boosters Meeting Board Meeting: December 9, 2015

Board Members present: Gilmore, Dierkes, Hobbie Members Present: Terri Jacobs, Margy Smith

Gilmore called meeting to order at 7:00 at the GHS commons. Approval of Minutes: Hobbie presented  Minutes from the November 2015 meeting were presented and approved. Treasurer’s Report: Dierkes reported  Provided financial report for YTD August-November 2015. Balance as of the end of November is $57,553.27. Old Business:  Gilmore reported that she has spoken with Dan Rourke and the kitchen staff has advised there will be no issue with our use of the kitchen when needed for the concession stand as long as it is left clean. The idea of purchasing a hotdog rolling machine was discussed and Dierkes brought information from MJ Kellner about their costs and that information was forwarded to Zach Thornton as he has past experience buying these machines. Zach relayed that he thought a few years ago that the boosters actually purchased one of these machines so it was investigated and the machine was found in the outside concession stand at the high school. It has since been moved indoors and will be utilized as needed by the lead parents. 

Gilmore reported that there was an issue with Godfather’s pizza during the wrestling meet in that the pizza didn’t seem to be cut properly. She has addressed this with Godfather’s and they have assured us that there will be no further issues. Godfather’s advised us that there is no need for the lead parent, or whoever is calling in the order, to have the credit card number as it is on file. Godfather’s has asked that we use the pizza boats that they have provided. That request will be relayed to the lead parents and efforts will be made to use them. There was discussion about how the pizza vendor is chosen and that at the beginning of each school year we need to re-assess who we use and possibly get bids. This will be revisited towards the end of the year.



Hobbie reported that a new raffle license has been purchased from the county clerk. Terri Jacobs was in attendance and she has agreed to be the lead parent for volleyball who will be organizing the 50/50 drawing at all home men’s basketball games. A discussion was had regarding where the tickets are located, what time volunteers need to be there, filling out the form for the county clerk, etc. All questions were answered and Ms. Jacobs has Gilmore’s contact info if she has any further questions. It was agreed that all proceeds will be given back to the boosters and then after the season the treasurer will tally the proceeds and split them with the volleyball team.

New Business:  Hobbie reported that sales of spiritwear have picked up quite a bit the past couple of weeks. Hobbie opened the store at Greco Graphics during Black Friday and Saturday. Sales for those two days totaled just under $500. 

Gilmore reported that she has been in contact with Dan Rourke and the company leading the discount card fundraiser idea. The company will have a meeting in January with all coaches in anticipation of getting the cards ready to distribute sometime by the end of January. Dan Rourke is going to encourage all athletic teams to participate and that the hope is that all athletes will sell 10 cards. There will be incentives and prizes.
