Newcastle (Staffs) Triathlon Club AGM –Monday 13th January 2014 Trent Squash Club, Birches Head. Present: Philip Dawid, William Harvey, Andrew McDonald, Julia Matheson, Ken Matheson, Graham Kemp, Jo Elward (Donnelly), Helen Towers, Carl Dunn, Tony Perry, Jackie Perry, Tim Twentyman, Halen Barr, Matt Eardley, Ian Sparks, Allison Thomas, Ian Hassal, Graham Carr, Kelvin Amos, Tanya Crofts, Phil Rowley, Dave Mulroi, Peter Swinnerton, Wendy Proctor, Sarah Taylor, Ray Morris, Fiona Ridley, Jane Holt. 1. Apologies: Beth Dawid, Chicken Cox, Hazel Gibson, Billy Fishwick, Roy Hackney, Stuart Fisher. The NTC Constitution recommends that the quorum for attendance at an AGM is 30. Unfortunately only 26 people were in attendance but there was a unanimous vote that was deemed acceptable and the meeting continued. 2. Election of officials – Ian Hassal proposed that this was done as a group rather than individually and there was a unanimous vote in favour of this. Cath Dulla will not be continuing as member representatives. All other officials wish to be re-elected. Jo Donnelly - proposed to re-elect all of the committee members. This was seconded by Phil Dawid. 1 place vacant for a member representative – Julia Matheson - proposed Jo Donnelly. This was seconded by Ray Morris. 3. Chairperson’s Report – Ken Matheson 2013 was our seventh year and it was another excellent one for the club. We had a good increase in membership, an increase in the number of our own coached sessions, more success in national and international competition. We have remained true to our ethos of being an open, inclusive and equitable club, with a continuing increase in female, male, family and junior memberships. This mix ensures that we maintain a friendly, welcoming atmosphere, which I believe is an important part of the reason for our success. 1

The Management Committee continues to listen to our members, instigate changes, and plan for the future, to ensure that the club meets the needs of its membership. As a prime example, at the request of our members, we applied and have just been accepted, for affiliation to England Athletics. As a direct result of our increasing membership the Management Committee made the decision to create the role of Membership Secretary. The role of Secretary therefore becomes General Secretary, taking on some of the duties previously carried by the Chairperson. Despite a delay (caused by personnel changes at Triathlon England) we are almost through the process of becoming Club Mark accredited. This is a nationally recognised standard given only to clubs which meet strict criteria set by the sport’s governing body. The club is in excellent health. 4. Secretary’s Report – Sarah Taylor For me 2013 has firmly established NTC within the Triathlon and Athletics arena. Membership continues to increase and alongside this, the number of coaches and volunteers has increased to support the sessions available and indeed allow for additional coached/supported sessions. We have athletes of all ages competing locally, nationally and internationally and successfully flying the flag for NTC. The committee meets regularly every 6 to 8 weeks and we have support from Triathlon England, ensuring that the club runs smoothly and represents all of our members needs. Thanks again to everyone who is involved with the club and for making it a club I remain proud to be a part of. 5. Financial report – Andrew McDonald On the whole a good year for the Club. Income from membership and activities were approx £6k. Due to updated Kit Design, the club has increased its stock holding that they hope will reduce the risk of having to wait for lead times on kit orders. The club also used funds to purchase more equipment (2 bikes and 6 turbo trainers ) to facilitate improved training for members. Current stock levels £9,400 and Bank account £5,200. See attached NTC Income and Expenditure Statement of Accounts on pages 5 and 6. 6. Head Coach Report – Julia Matheson During 2013 we have focused on consolidating our existing club training sessions and providing new exciting opportunities in order to meet the needs of members for triathlon training and racing. Two pool swim sessions at Newcastle Community High School (plus access to Masters session at Fenton), supported by three regular coaches and helpers. It includes underwater swim analysis. 2

One open water swim session at Astbury Mere. New during 2013 – starts again spring 2014 Four run sessions (including 1 track session) 2013 has seen the development of steady group runs and progression of structured track sessions Three bike sessions: Weekend road ride (3 groups), now including a development group Friday evening skills session during specific periods of the year Watt bike – winter/Chain gang – summer (2 groups) We have also had many additional social/mid-week group rides and held sessions for bike position set-up throughout the year. Club training has provided sessions for juniors in each discipline (including open water) which have mainly run alongside the seniors sessions enabling ‘family training’ and has seen numbers grow considerably. We are fortunate to have the support of physiotherapist Catherine Dulla who offers discount to club members, and Ian Smith; level 3 VTCT accredited offering free sports massage and rehab to members. This year we have organized 2 club aquathlons and we plan to host an open event in the future. It’s no coincidence that enthusiasm for aquathlon racing was evident at the 2013 Inter-Club Aquathlon held at Blithfield Reservoir. On a cold Thursday evening we had a huge NTC turnout, all proudly wearing our easily identifiable kit. In our first year of entry we were 3rd, in 2012 we were 2nd but in 2013 we were rewarded with our first inter-club victory hugely raising the profile of NTC amongst local clubs. For 2014 we continue with lead coaches in each discipline meeting regularly to schedule phasing for the year ahead: Lead Cycling Coach:

Pete Swinnerton

Lead Swim Coach:

Fiona Ridley

Lead Run Coach:

Julia Matheson (and Head Coach)

Lead Junior Coach:

Fiona Ridley (and Club Welfare Officer)

Coaching Mentor:

Ken Matheson

We have 4 BTF level 2 coaches in the club: Catherine Dulla, Pete Swinnerton, Fiona Ridley, Julia Matheson (trainee level 3 BTF). Other trainee coaches within the club are working towards Level 1 & 2 British Triathlon Coaching Certificates.

We will be repeating our training camp in 2014; Les Stables, Dordogne, France, this year extending to 10 days. 7. Membership - this was at 310 members at the end of 2013. This will change at the beginning of the year but we will end the year with increased members although eventually it is likely that this will flatten out. Ken stated that at some point we will need to think about membership capacity i.e. what the club can cope with in terms of coached sessions/number of coaches etc. Subs - the Committee had previously proposed that membership remains at the same price. There was a unanimous vote in agreement with this. 8. Any other business – Ray Morris asked about sponsorship. Ken replied to this and stated that it is not felt necessary at this point, particularly as any sponsorship would mean changes to kit. However, we are always open to any offers/discounts from potential suppliers and these should be brought to the attention of the Committee.

Bill Harvey took the opportunity to thank the Committee for all of their hard work over the last 1 2months. Ken brought the meeting to a close.
