REQUEST FOR QUOTE Annual Reports/Newsletter and Flyer Templates
PROJECT BACKGROUND & PURPOSE Cornell Cooperative Extension Sullivan County (CCESC) uses annual reports, a monthly newsletter, and flyers to further the mission and vision of the organization. CCESC seeks to support economic vitality, ecological sustainability, and social wellbeing by translating the science and research of Cornell University and the national land grant system into common language that Sullivan County residents and visitors can use to improve their quality of life. To improve efficiencies and maintain a consistent, professional image, CCESC requires a CCESC association-wide annual report document, and Ag & Food Systems annual report, two fillable monthly newsletter templates and at least seven fillable workshop/event flyer templates to reflect CCESC program areas.
To that end, CCESC seeks a designer for the aforementioned materials. Upon use, the materials will be used for outreach efforts in all media channels including, but not limited to mailings, the organization’s website, social media accounts, promotional publications, and advertisements. The selected firm or individual is required to have experience in marketing and design, preferable for a municipality or nonprofit business entity. The templates should build upon and be usable in the context of the existing CCESC branding framework. SCOPE OF WORK Component 1: Association-wide Annual Report. Twenty four to twenty eight page annual report highlighting annual accomplishments in each program area (Agriculture & Food Systems, Environment & Natural Resources, Community & Economic Vitality, Nutrition & Healthy Families, Youth & Family Development). CCESC will provide content. Vendor may provide quote to design and print, or just design. Deadline will be dependent upon printing. Component 2: Ag & Food Systems Annual Report. Component 3: Two fillable newsletter templates.

4-H: Anyone ages 5 to 19 can enroll in 4-H for free. 4-H members must identify membership status at time of payment to receive discount.

Caregiver Resource Center: CRC is supported by the Office for the Aging of Sullivan County with a grant from the NYS Office for the Aging’s Caregiver Program.

Ag & Food Systems (+Catskills Kitchen): Anyone can enroll in CCESC for an annual contribution of $25 per household.
Upon completion of each component, the vendor will provide the product electronically on a flash drive. CCESC will own the rights to all materials developed for this project. CCESC retains the right to alter any final products to meet specific needs of size, resolution or crop ratio as required by specific applications and uses. Credit will not be given to the designer awarded this contract either through captioning or by using a watermark signature on the final products. The selected vendor will be allowed to use any and all products created for this project in demo purposes only.
CREATIVE DEVELOPMENT Future advertising and promotional material content and design In the future, CCESC may need additional creative development for this or similar projects. CCESC wishes to contract with a vendor who is available to work on multiple projects over time to ensure a consistent and cohesive creative approach and design style.
QUOTE REQUIREMENTS The quote should include the following information: Proof qualifications (resume, client references, etc.) 5 Samples/examples of previous work (link to website sufficient) Budget breakdown
DELIVERABLES The following are the anticipated deliverables for the project to be reviewed and signed off by CCESC. Design scope to include: One Association annual report. Vendor may propose to design and print annual report in entirety. If vendor agrees to print, deadline for this component is December 16, 2017. If vendor opts to design, but not print, deadline for this component is December 9, 2017. One Ag & Food Systems annual report. Vendor may propose to design and print annual report in entirety. Deadline for this component is January 13, 2017. Two newsletter templates. Deadline for first approved template is January 13, 2017. Deadline for second approved template is February 10, 2017. At least seven flyer templates (Ag & Food Systems, Community Horticulture with optional Master Gardener Volunteer program subtitle, Caregiver Resource Center, Catskills Kitchen, 4-H, Creating Healthy Schools & Communities, CCESC General). Deadline for approved flyer templates is January 27, 2017. Vendor to meet with assigned CCESC staff prior to materials development to set style framework. Vendor to submit two drafts for edits prior to final approval of each component. Vendor to engage in one training in select software with assigned CCESC staff if requested. SUBMITTAL Potential vendors may submit one proposal for all components or separate proposals for each component. Deadline for Association-wide annual report component due by Monday, November 28, 2016. Deadline for remaining components due by Monday, December 12, 2016.
